Excel’s “Not enough system resources to display completely” and “Out of Memory” messages mean that Excel could not obtain enough usable resources for the operation you requested. They do not prove that your computer has run out of physical RAM: Microsoft says these messages are generic and may be caused by a large or complex workbook, add-ins, other applications, rendering components, or a feature-specific defect.
Start by saving a copy and identifying the exact action that fails. Then simplify the workbook, install Windows and Office updates, disable add-ins, close other applications, and retry. If large files repeatedly exceed the limits of 32-bit Excel, compare a compatible RAM upgrade with moving to 64-bit Excel; those remedies address different limits.

Why does Excel say “Not enough system resources to display completely”?
The message is a resource-allocation failure, not a precise diagnosis. Excel may be unable to obtain memory, address space, or rendering capacity for one operation even when Windows still shows available RAM. Microsoft describes the wording as generic: it “doesn’t always identify the real cause.”
The failure may be limited to one workbook or may occur across many files. Common contexts include large formula ranges, complex PivotTables, charts with many data points, numerous shapes, macros, add-ins, printer rendering, and other applications competing for memory. A defect in a particular Excel feature can produce the same wording.

- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
- Workbook-specific pressure: one file contains more formulas, objects, views, or code than Excel can handle for the requested action.
- Computer-wide pressure: other applications or background processes leave too little usable memory for Excel.
- 32-bit address-space pressure: Excel reaches its per-process ceiling even if the computer has unused physical RAM.
- Feature or rendering interaction: a chart, control, printer, preview pane, or add-in fails while Excel is displaying or recalculating content.
Because the same message covers these cases, the first useful question is not “How much RAM is installed?” but “Which workbook and which operation trigger it?”
How do I identify what triggers the error?
Use a copy of the file and reproduce the failure deliberately. The pattern tells you which branch of troubleshooting is most likely to work.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →- Save a working copy. Do not experiment on the only original. Give the copy a new name so that deleting objects or formulas can be reversed by reopening the original.
- Record the exact operation. Microsoft lists inserting a row or column, sorting, calculating, copying and pasting, opening or closing a workbook, and running VBA as possible triggers.
- Test another workbook. If a clean or unrelated file works, concentrate on the failing workbook. If several workbooks fail, investigate add-ins, other applications, Office updates, and the computer’s available resources.
- Repeat after reopening Excel. Note whether the error appears immediately or only after several operations. A failure that clears after closing other applications or rebooting points toward temporary system pressure.
- Check whether the trigger is display-related. If the error appears while opening, closing, previewing, or rendering rather than while editing data, examine the default printer, preview panes, and add-ins as well as the workbook itself.
Which workbook features can consume enough resources to cause the failure?
A workbook can be “too large” because of calculation complexity or because it contains many non-cell objects. Inspect both categories before changing Office architecture.
Formulas and recalculation
Inserting a column can force dependent formulas to recalculate. Microsoft gives an example with 1 million formulas: the insertion may exceed available resources depending on the formulas, overall workbook complexity, and whether Excel is 32-bit or 64-bit. A column insertion that fails is therefore often a recalculation problem rather than a simple formatting problem.
Look for formulas copied far below the actual data, duplicated calculations, volatile or unnecessarily repeated logic, and sheets that recalculate large ranges when only a small area changed. On the copy, remove or simplify one suspected range at a time, save, and repeat the exact action that failed. Keeping a change log makes it possible to restore the last working version.

Shapes, charts, PivotTables, and macros
Microsoft specifically identifies excess shapes, complex PivotTables, macros, and charts containing many data points as possible memory contributors. A dashboard with hundreds of objects can be expensive to redraw even when its cell count is modest.

- Delete unused shapes and duplicate objects from the copied workbook.
- Reduce chart series or the number of plotted data points where the visual does not need every row.
- Remove obsolete PivotTables or simplify their source ranges and fields.
- Temporarily disable or remove macros from the test copy if the failure occurs while running VBA.
Retest after each category of change. If the error disappears after one change, you have a practical workaround and a likely cause without having to rebuild the entire file.
Custom Views in shared workbooks
For shared workbooks, Microsoft suggests deleting unused Custom Views through View > Custom Views. A Custom View stores items such as saved print areas and filters. Removing one can reduce workbook overhead, but users may need to recreate those print and filter settings afterward.
What should I do when only one workbook fails?
Treat the file as the primary suspect and work from least destructive changes to more invasive cleanup.
- Make a copy and isolate the sheet. Test the operation on a duplicate sheet or a reduced version containing only the relevant data.
- Remove unnecessary objects. Check shapes, charts, PivotTables, macros, and unusually large used ranges.
- Reduce calculation pressure. Simplify formulas and eliminate copied formulas outside the real data region. Recalculate and retry after each controlled change.
- Review shared-workbook views. Open View > Custom Views and remove views that are no longer needed, documenting any print areas or filters that must be restored.
- Save under a new file name. After a successful test, reopen the new file and repeat the original action. This confirms that the change survives a full reload.
Do not assume that adding memory will repair a structurally heavy workbook. More physical RAM can help the computer overall, but it does not remove excessive formulas, chart points, controls, or workbook metadata.

Can Office updates or add-ins fix Excel out-of-memory errors?
Yes, particularly when the failure is intermittent or occurs in multiple workbooks. Microsoft places updates and add-in testing after workbook inspection in its troubleshooting sequence.
Install current updates
Install available Windows and Office updates, restart Excel, and repeat the same operation. Updates can correct defects in calculation, rendering, or compatibility, but an update will not make an inherently oversized workbook small enough for a 32-bit process.
Disable add-ins temporarily
Disable Excel add-ins, then reproduce the error. If the message disappears, re-enable add-ins selectively to identify the contributor and contact that add-in’s vendor. Keep the test temporary: disabling an add-in may remove commands or integrations your workflow depends on.
Close other applications or reboot
Close memory-intensive applications and retry. If that works only until the computer has been running for a while, reboot and observe whether the same pattern returns. Microsoft says temporary relief after closing applications or restarting indicates that other processes may be consuming memory.
Check rendering dependencies
Excel uses the default printer when launching and rendering. Test a different default printer, such as Microsoft XPS Document Writer, if the error occurs during opening, printing, previewing, or display. On legacy Windows 7 systems, Microsoft also documents testing with Explorer and the Office Preview and Details panes disabled.

Test antivirus interaction only under policy
Microsoft documents that continuous antivirus scanning can interfere with Excel files. Any temporary test should follow your organization’s IT and security policy; do not leave protection disabled as a general workaround.
What is the difference between 32-bit and 64-bit Excel memory limits?
Physical RAM and process address space are different constraints. Microsoft states that 32-bit Excel has a 2-GB limitation. A computer can have more than 2 GB of RAM installed while a single 32-bit Excel process still cannot use enough address space for a demanding workbook.
| Excel configuration | Documented address-space detail | What it means |
|---|---|---|
| 32-bit Excel, general limit | 2 GB | A large workbook can hit Excel’s process ceiling before the computer’s physical memory is full. |
| Updated 32-bit Excel 2013 or 2016 with Large Address Aware (LAA) on 64-bit Windows | Up to 4 GB user-mode virtual memory | Microsoft describes this as doubling the available memory for the Excel process. |
| Updated 32-bit Excel 2013 or 2016 with LAA on 32-bit Windows | Up to 3 GB | Microsoft describes this as a 50 percent increase over the 2-GB baseline. |
| 64-bit Excel | Not stated as a single ceiling in the cited guidance | It avoids the 32-bit Excel address-space limitation, subject to available system memory, Windows support, and application compatibility. |
Large Address Aware reduces memory pressure; Microsoft explicitly cautions that it does not solve every memory problem. Some workbooks still need cleanup, and moving to 64-bit Excel may require 64-bit Windows and compatible add-ins, VBA components, ActiveX controls, and legacy files.
Should I add RAM or move to 64-bit Excel?
Choose based on the limit you have identified. RAM helps when the entire computer is short of physical memory. A 64-bit Excel migration addresses the per-process address-space ceiling that constrains 32-bit Excel. Neither option substitutes for cleaning an oversized or defective workbook.
| Decision factor | Compatible RAM upgrade | Move to 64-bit Excel |
|---|---|---|
| Scope | Computer-wide physical memory relief | Excel process architecture change |
| Limit addressed | Low available physical RAM | 32-bit Excel’s address-space ceiling |
| Compatibility risk | Requires the correct memory type and device support | Add-ins, VBA, ActiveX controls, and legacy files may need testing |
| Reversibility | Hardware changes can require opening the device and reinstalling compatible modules | Office architecture can be changed, but migration planning is required |
| Best fit | Several applications run short of memory, not just Excel | Large workbooks repeatedly approach the 32-bit process limit |
Before buying hardware, verify the exact device-compatible module specification; an incompatible RAM module will not solve the problem. Before changing Office architecture, inventory add-ins, VBA references, ActiveX controls, and files that must continue to open. Microsoft recommends considering 64-bit Excel when a process needs more memory, but also notes that some workbooks still require cleanup.

Could a specific Excel feature be causing the message?
Yes. An older Microsoft Office bulletin describes an Excel 2010 case involving an ActiveX combo box or list box. When the control used a cross-sheet ListFillRange and the worksheets had different zoom factors, changing the selection could produce the same “Not enough system resources to display completely” wording.
This example matters because it separates a feature interaction from general RAM exhaustion. If the error appears only when a particular control is changed, compare sheet zoom settings and the control’s cross-sheet range in a copy of the workbook. If the file depends on that control, preserve the original and test the smallest possible change before redesigning it.

What is the safest troubleshooting order?
Use this sequence so that reversible, workbook-level tests come before architecture changes.
- Save a copy and write down the exact failing operation.
- Test whether another workbook fails under the same action.
- Remove or simplify unnecessary formulas, shapes, PivotTables, macros, chart points, and unused Custom Views in the copy.
- Install current Windows and Office updates.
- Disable Excel add-ins temporarily and identify any one that changes the result.
- Close other applications or reboot, then repeat the test.
- If display or printing is involved, test another default printer; on Windows 7, also test with Explorer and Office Preview and Details panes disabled.
- Under an approved IT procedure, test whether antivirus scanning is interacting with the file.
- Only after these checks, decide whether the remaining limit is physical RAM or 32-bit Excel address space.
- For persistent 32-bit limits, evaluate 64-bit Excel and compatibility testing; for broad system memory shortages, evaluate a device-compatible RAM upgrade.
This order preserves evidence: changing several variables at once can make the error disappear without revealing which condition caused it.
Frequently Asked Questions
Will restarting Excel permanently fix the problem?
Usually, a restart is a diagnostic rather than a permanent repair. If the same workbook fails again after you perform the identical operation, treat the recurrence as evidence of workbook complexity, an add-in, or an address-space limit rather than relying on repeated restarts.
Does 4 GB mean a 32-bit Excel workbook can always use 4 GB?
No. The up-to-4-GB figure applies to updated 32-bit Excel 2013 and 2016 with Large Address Aware on 64-bit Windows. It is a user-mode virtual-memory range, not a promise that every workbook can allocate that amount or that physical RAM is sufficient.

Can changing the default printer affect an Excel memory error?
It can when Excel is launching or rendering because Excel uses the default printer in those stages. A temporary test with Microsoft XPS Document Writer can distinguish a rendering-path problem from a formula or workbook-size problem.
