The most reliable way to add a handwritten signature in Word is to scan the signature, save it as an image, and insert it with Insert > Pictures. Crop the image with Picture Format > Crop, then save the cleaned picture if you will use it again. Word for the web accepts the same image through Insert > Picture, but it has no dedicated signature-insertion command. If you need a signer placeholder, use a signature line; if you need proof of identity and document integrity, use a certificate-backed digital signature instead of relying on a picture.
Which signature method should you use in Word?
The right method depends on whether you need appearance, a place for someone to sign, repeatable layout, or cryptographic assurance. A pasted image looks handwritten but is not authentication. A signature line marks where a signer belongs. A digital signature ties the file to a signing certificate and protects it from unnoticed changes.

| Method | Best use | Where it works | What it provides |
|---|---|---|---|
| Inserted signature image | A visual handwritten mark | Desktop Word and Word for the web | The appearance of handwriting; no certificate authentication by itself |
| Signature line | Printed forms or a designated signer area | Desktop Word; construction with tables also works for online forms | A visible placeholder that can also be digitally signed |
| AutoText signature block | Repeated use of a signature plus typed details | Desktop Word | A reusable building block |
| Digital signature | Authenticity and integrity controls | Desktop Word signature workflow | Certificate-backed authentication; the signed file becomes read-only |
| Word eSignature request | Sending a document to named recipients for electronic signing | Eligible Microsoft 365 channels and eSignature-enabled sites | A recipient-based request workflow, subject to administrator and site prerequisites |
How do I insert a handwritten signature image in desktop Word?
Use this process when you want the signature to appear on the page as handwriting. Microsoft’s documented workflow requires a scanner and supports common image formats such as .bmp, .jpg, and .png; the signature-line guidance also lists .gif.
- Write the signature on paper. Use a clean sheet and leave enough surrounding space for cropping.
- Scan the page. Save the scan as a
.bmp,.jpg, or.pngfile. A.giffile is also listed in Microsoft’s signature-line instructions. - Open the target document in Word. Place the cursor where the signature should appear.
- Insert the picture. Select Insert > Pictures, choose the scan, and insert it.
- Remove the excess paper. Select the picture, open Picture Format, choose Crop, and drag the crop handles until only the signature and the minimum surrounding area remain.
- Save a reusable copy when needed. Right-click the cropped image and choose Save as Picture. This creates a cleaned image you can insert into other documents without rescanning.
The result is a visual signature. It does not, by itself, establish who inserted it or prove that the document remained unchanged afterward. Those are digital-signature requirements, not properties of an ordinary picture.

How should the image be positioned?
After cropping, resize the picture from a corner so its proportions stay intact. Keep the image close to the signature line or name block, and check the page in Print Layout before sending it. If the scan includes a large white margin, crop it again rather than shrinking the entire page-sized image.
How do I create a signature line for a printed form?
A printed form usually needs a simple line that tells a person where to sign, not a pasted image. Microsoft describes two dependable ways to create one.
Use an underlined tabbed line
- Place the cursor at the intended signing position.
- Press Ctrl+U to turn on underline formatting.
- Press Tab one or more times to create the required line length.
- Press Ctrl+U again to turn underline formatting off so text after the line is not underlined.
This approach is quick for a paper form. Because it is based on tab stops and text formatting, it can move when surrounding text or margins change.
Use the Signature Line command
In desktop Word, place the cursor and choose Insert > Signature Line > Microsoft Office Signature Line. The Signature Setup dialog can include the suggested signer’s name, title, email address, instructions, a comment or purpose, and whether the signing date should be displayed. This creates a formal placeholder that a signer can complete, including with a written-signature picture or inking on a touch-capable PC.

How do I keep a signature line aligned in an online form?
For a form that people will complete on screen, a table is more stable than tabs because the cell boundary keeps the line aligned as text is entered.
- Choose Insert > Table and insert a 1×1 table.
- Resize the cell to the width needed for the signature.
- Set all table borders to None.
- Apply only the Bottom Border to the cell.
For a labeled line, insert a 1×2 table. Apply the bottom border to the signature cell and type a label such as Signature or Date in the other cell. This keeps the label and line together when the form is edited.

How do I save a handwritten signature and contact details for reuse?
AutoText stores a signature image together with typed details such as a name, title, phone number, or email address. It is useful for letters and forms that use the same sign-off repeatedly.
- Insert and crop the signature image.
- Type the accompanying details beneath it.
- Select both the image and the typed text.
- Choose Insert > Quick Parts > Save Selection to Quick Part Gallery.
- Give the building block a name and set Gallery to AutoText.
- To use it later, place the cursor in the destination document, choose Insert > Quick Parts > AutoText, and select the saved block.
Save the selection only after checking its spacing and line breaks. AutoText reproduces the selected block, so unwanted blank paragraphs or labels become part of every insertion.

Can I add a handwritten signature in Word for the web?
Yes, but Word for the web does not have a dedicated command for inserting a signature. Scan and crop the signature outside the browser, then insert the resulting image with Insert > Picture.
- Prepare the scanned, cropped image on your computer.
- Open the document in Word for the web and place the cursor.
- Choose Insert > Picture and select the saved signature file.
- Resize and position the image in the document.
The desktop application offers additional signature features, including the Signature Line command and the broader digital-signature workflow. Menu wording can vary by platform and release. Microsoft’s insert-signature guidance covers Word for Microsoft 365, Word 2024, Word 2021, Word 2019, and Word 2016, including listed Mac versions; the signature-line guidance is scoped to Microsoft 365, Word 2024, and Word 2021 desktop Word for Windows.

Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →When should I use a digital signature instead of a picture?
Use a digital signature when the recipient must be able to verify the signer and detect changes to the file. Microsoft describes it as an electronic, encrypted authentication mark tied to a signing certificate. A picture can be copied and pasted; a certificate-backed signature is designed to provide identity and integrity controls.
How to sign a signature line digitally
- Insert a Microsoft Office signature line if the document does not already contain one.
- Select the signature line and begin the signing command.
- Enter a name, use inking on a touch-capable computer, or choose Select Image to use a written-signature picture.
- Apply the digital signature using the available signing certificate.
After the digital signature is applied, Word makes the signed document read-only to help prevent modifications. If your requirement is only a visual sign-off, inserting the image is simpler; if the requirement includes authentication or integrity, use the certificate-based process.

How does a Word eSignature request work?
Word also documents an eSignature request workflow for sending a document to recipients. It is separate from merely inserting a picture or adding a local signature line.
- Confirm that your account is on the Beta, Current, or Monthly Enterprise Channel.
- Confirm that an administrator has enabled the capability and that the document comes from an eSignature-enabled site.
- On the Insert ribbon, select eSignatures fields.
- Add the recipients and place the required fields in the document.
- Optionally write a message, then select Create request.
Microsoft Learn’s documentation for this workflow was last updated on August 4, 2025. If the eSignature controls are missing, the channel, administrator setting, or site eligibility is the first thing to check; inserting a scanned image will not activate the request workflow.

- The signature looks tiny or huge: crop the scan first, then resize from a corner rather than stretching a side.
- Paper edges remain visible: select the image and use Picture Format > Crop again; saving the cropped result as a picture prevents the same margin from returning.
- A line shifts when someone types: replace tabbed underscores with a 1×1 or 1×2 table whose only visible border is the bottom border.
- The Signature Line command is absent: check whether you are using Word for the web, where Microsoft provides image insertion but no dedicated signature-insertion command, or a desktop release whose menu differs.
- A recipient needs proof of signing: do not treat the image as authentication; use a certificate-backed digital signature or an eligible eSignature request.
- The document changes after signing: a digitally signed file is made read-only, so plan all text, images, and layout changes before applying the signature.
What is the practical choice for most Word documents?
For a one-off letter or form that only needs the appearance of handwriting, scan the signature, crop it, and insert the image. For a printed form, create a clear line; for an on-screen form, use a bottom-bordered table cell. Store frequently repeated sign-offs as AutoText. Move to a digital signature or Word eSignature request only when the workflow requires certificate-backed identity, tamper detection, or recipient routing.
Frequently Asked Questions
Is a pasted signature image secure enough for a contract?
A picture is an editable document object and can be copied into another file, so it does not independently authenticate the signer. Use a certificate-backed digital signature when the contract process requires identity verification or evidence that the file was not altered.

Why can’t I find Signature Line in Word for the web?
Word for the web supports inserting a scanned signature as a picture but does not expose the desktop Signature Line command. Open the document in desktop Word when you need the Microsoft Office Signature Line setup dialog.
Do I need to rescan my signature every time I use it?
No. After cropping, save the image, or combine it with your name and contact details and save that selection as an AutoText entry through Quick Parts. You can then insert the saved block wherever it is needed.
Why are Word eSignature fields unavailable in my account?
The documented request feature depends on the Beta, Current, or Monthly Enterprise Channel, administrator enablement, and an eSignature-enabled site. If any prerequisite is missing, the eSignatures fields control may not appear on the Insert ribbon.
