How to Capture and Organize Game Screenshots for Reference

Use built-in capture controls, export important images beyond platform libraries, and file them with consistent names so game screenshots stay useful as reference.

Capture screenshots with the game platform’s built-in controls when possible, then move the images you want to keep into a clearly named folder you control. Platform libraries make recent captures easy to find, but they are not all equivalent to a long-term archive: some sharing features expire, and important images should have a separate copy.

Start with the platform’s capture control

Built-in capture tools are usually the simplest way to save a game image. The precise control and library vary by platform, so check that the capture appears before moving on.

Steam on PC

With the Steam Overlay available, press F12 to take a screenshot by default. You can change the key and other screenshot settings in Steam’s in-game settings. Steam can add captures to its screenshot library and open the Screenshot Uploader after a game session. If a screenshot does not appear, verify that the Overlay is active and that F12 is still the assigned key. See Steam’s screenshot documentation.

Nintendo Switch

Press the console’s Capture Button, then open Album from the HOME Menu to view the image. Nintendo’s instructions cover Nintendo Switch, Switch Lite, and Switch OLED. See Nintendo’s capture and viewing guide.

PlayStation 5

Press the DualSense Create button and choose a capture method. Open Media Gallery to browse and manage captures. It supports sorting and filtering, favorites, multiple selection, per-game grouping, renaming, and copying captures to a connected USB device. The Recently created card can show up to 15 recent captures; that is a view of recent items, not a guarantee of how long all captures are stored. See PlayStation’s Media Gallery guide.

PlayStation 4

Open Capture Gallery, select a screenshot or clip, and use the console’s sharing flow. The PlayStation 4 sharing guide explains sharing, but does not establish a complete current export or backup procedure. For important images, do not assume that a sharing workflow alone creates an independent archive.

Use a computer capture only when it suits the job

On Windows, Snipping Tool can capture what is displayed on screen, and Microsoft says a captured snip is automatically saved in the Screenshots folder. This can help with a PC game or emulator when the platform capture path is inconvenient. However, an operating-system capture may record the displayed screen rather than a clean image rendered by the game. Prefer the game or platform’s own screenshot tool when native capture quality or game-related context matters. See Microsoft’s Snipping Tool instructions.

Export captures you want to keep

A platform library is convenient for finding images, but keep a separate copy of captures that would be difficult to recreate. Export options differ by system.

Copy Nintendo Switch captures to a computer

  1. Connect the Switch directly to the computer with a USB cable that supports data transfer; do not connect it through the dock.
  2. On the console, go to Settings > Data Management > Manage Screenshots and Videos > Copy to a Computer via USB Connection.
  3. Follow the on-screen directions to access and copy the captures.

Nintendo documents this USB transfer for Windows. On non-Windows systems, MTP support may require additional software, which Nintendo does not guarantee. A microSD card is another transfer route if USB transfer is not suitable. The data-transfer cable is separate from the console’s built-in capture function. See Nintendo’s transfer instructions.

Copy PS5 captures to USB

In Media Gallery, select the captures you want and use the option to copy them to a connected USB device. This provides a copy outside the console’s gallery; the PlayStation guide describes the supported gallery controls and transfer flow.

Treat PS App access as temporary

Eligible PS5 screenshots and video clips uploaded to the PlayStation App are available there for 14 days after creation, according to PlayStation Support. Auto-upload depends on linking the console to the app and meeting the stated online and rest-mode settings; availability is limited to supported countries or regions and supported file types. Build a folder structure you can search

Once captures are on storage you control, organize them around how you expect to look them up. A simple starting structure is Game / YYYY-MM-DD / location-or-purpose. For example:

  • Game: use a consistent game title for the top-level folder.
  • Date: use a year-month-day format so folders sort chronologically.
  • Location or purpose: use a chapter, area, character, build, or question you are documenting.

Use filenames to add context that a thumbnail cannot show, such as 2026-10-07-map-north-gate.png. Review new captures soon after copying them and remove accidental duplicates or unusable frames. If you annotate or crop an image, preserve the untouched original and save the edited version separately. These are practical organization recommendations, not features that every platform applies automatically.

Keep still screenshots separate from temporary recordings

Steam screenshots and Steam Game Recording are separate features. In Steam’s background recording mode, recordings can be overwritten when the allocated disk space fills; save clips you want to keep. This overwrite behavior concerns recordings, not the F12 screenshot workflow. See Steam’s Game Recording support page.

A practical capture-to-archive routine

  1. Capture with the platform’s built-in control when available.
  2. Check the platform library to confirm the image is there and usable.
  3. Remove accidental duplicates or poor frames during a quick review.
  4. Export important captures to computer, USB, or microSD storage where the platform supports it.
  5. File them under the game and a date or topic, using a descriptive filename when extra context helps.
  6. Keep originals apart from edits, and make a second copy of images that would be hard to recreate.
