What should I record before troubleshooting?
Write down the complete error and the exact action that produces it. This prevents applying a high-risk data-file fix to what is actually an account or server problem.
- The code exactly as displayed: check every zero, letter and digit.
- The full message, including the account or task name.
- Whether the failure occurs at startup, when opening one folder, during Send/Receive, or during a freeze.

Safe Mode is the least-invasive way to test whether a COM add-in or startup customization is involved. It does not repair Outlook; it starts Outlook without the usual add-ins.
- Close Outlook completely. In Task Manager, end any remaining
OUTLOOK.EXEprocess only if it is clearly hung. - Press Windows+R, type
Outlook /safe, and press Enter. Include the space before/safe. - Open the folder or run Send/Receive that normally triggers the error.
- If the error disappears, open File > Options > Add-ins.
- At the bottom, set Manage to COM Add-ins and select Go. Clear one add-in, restart Outlook normally and retest. Repeat one at a time until the conflicting add-in is identified.
Leave a problematic add-in disabled or obtain an updated version from its publisher. If the error occurs in Safe Mode too, continue with the system, profile and data-file checks rather than assuming an add-in is responsible. Disabling every add-in at once makes it harder to identify the cause, so change one item per test and keep a note of the result.
How do I update Windows and Office 2016?

- Save work and close Office applications.

On managed computers, update controls may be set by an administrator. Do not substitute an unofficial Office installer for a signed update package. How do I repair the Outlook 2016 installation?
Office repair replaces damaged program components without immediately removing your mail profile. It is appropriate when Outlook will not open, crashes after an update, or continues to fail in Safe Mode with no clear data-file symptom.
- Close Outlook and other Office programs.
- Open Control Panel > Programs > Programs and Features.

When should I create a new Outlook profile?
Create a new profile when Outlook starts inconsistently, account settings behave differently from webmail, or the existing profile remains broken after updates, Safe Mode and Office repair. A new profile changes account configuration, so keep the old one until required mail, contacts and calendars are confirmed.
- Close Outlook.
- Open Control Panel > Mail (or search Windows for Mail (Microsoft Outlook)).
- Select Show Profiles > Add, give the test profile a distinct name and follow the account sign-in prompts.
- Choose Prompt for a profile to be used or temporarily set the new profile as the default.

How do I repair a damaged Outlook PST or OST?
Use data-file repair only when the symptom points to a specific folder or file, such as repeated failure on one folder, indexing or synchronization warnings, or a prompt that Outlook cannot open the data file. Back up the file first. Repair can alter data, and an OST is different from a PST.
A PST is a personal Outlook data file and may hold mail, contacts or calendar items that exist only on the computer. An OST is normally a cached copy of a mailbox whose authoritative data remains on the server. That distinction determines whether repair or recreation is safe: preserve a PST, while a confirmed-server OST can usually be rebuilt.

- Close Outlook and wait for
OUTLOOK.EXEto exit. - Copy the PST or OST to an external hard drive or another protected location.
- Do not overwrite the backup with a repaired copy until you have checked the results.
Run the Inbox Repair Tool
- Locate
SCANPST.EXEin the Office 2016 installation folders. The exact folder varies by 32-bit or 64-bit Office and installation type; Windows search forSCANPST.EXEis usually quickest. - Start the tool, select the backed-up PST or OST and choose Start.
- Allow the scan to complete. If errors are found, select the option to make a backup of the scanned file, then choose Repair.
- Open Outlook and check the affected folders, recent messages and calendar items.
Do not repeatedly repair the only copy of a PST. If the file contains irreplaceable local mail and the repair result is incomplete, stop and obtain professional data-recovery or administrator help. A successful scan does not prove that every message or calendar item was restored, so compare important folders with your backup or another trusted view.
Recreate an OST for cached Exchange synchronization problems
An OST is a cached copy of mailbox data. Microsoft’s Outlook guidance states that, in Outlook 2016, deleting and recreating the cached-mode OST can resolve some synchronization errors. This is suitable for a mailbox whose authoritative data remains on the server, not for a PST containing local-only mail.
- Confirm that important messages are visible in webmail or another trusted mailbox view.
- Close Outlook.
- Open Control Panel > Mail > Email Accounts, select the account and choose Open File Location if available.
- Close the Mail control-panel window, then rename the OST rather than deleting it immediately.
- Start Outlook. It should create a new OST and resynchronize the mailbox.
If Outlook cannot recreate or use the OST, test the account in a new profile. Do not apply this procedure to a PST simply because both files are called Outlook data files. Allow synchronization to complete before judging the result; folders may appear gradually as the mailbox is downloaded again.
How do I fix 0x80004005 that appears only during Send/Receive?
Send/Receive-only failures require account and connectivity checks before local-file changes. Test the same account in webmail: if webmail also fails, the problem is more likely an account, authentication, mailbox-limit or service issue than an Outlook installation issue.

- Open Send/Receive > Send/Receive Groups > Define Send/Receive Groups and confirm the affected account is included.
- Check whether the mailbox is at or near its provider or organization limit.
- Temporarily isolate mail-scanning integration from antivirus or security software only as a controlled diagnostic test approved by your administrator. Do not leave protection disabled; security changes can expose the computer and are not a permanent fix.
- Retest after each change and restore the original security setting immediately.
Repeated authentication prompts, conditional-access messages or policy blocks should be handled by the account administrator rather than bypassed with profile edits. If only one account fails, compare its webmail status and mailbox limits with a known-working account before changing shared Outlook settings.
Could the Outlook 2016 folder-sync error be server-side?

Why does Outlook work in a browser but not in the desktop app?
