The Office 365 NDR 550 5.4.1 Recipient address rejected: Access denied usually means Exchange Online’s Directory-Based Edge Blocking (DBEB) cannot find the recipient as a valid object in the recipient’s Microsoft 365 directory. Start by checking the address exactly as it appears in the bounce, then test another recipient in the same domain. One failed address points to a recipient-object or synchronization problem; failures for every address in a domain point to the accepted-domain configuration or directory synchronization. The fix is normally performed by the recipient tenant’s Microsoft 365 or hybrid Exchange administrator, not by changing Outlook on the sender’s computer.

What does “550 5.4.1 Recipient address rejected: Access denied” mean?

This exact wording identifies a recipient validation failure in Exchange Online. Microsoft says the non-delivery report (NDR) is generated when Directory-Based Edge Blocking (DBEB) blocks an incoming message because the recipient address is invalid or missing from the Exchange Online directory. DBEB checks the recipient before Exchange Online accepts the message, so the rejection happens at the service edge rather than inside Outlook.

“Invalid” does not necessarily mean that nobody has ever used the address. A mailbox, alias, public folder, or group can exist on-premises while its synchronized representation is absent, stale, or incorrectly typed in Exchange Online. A recently changed proxy address can also leave DBEB with an old view until synchronization completes.

The Microsoft troubleshooting article for this NDR was updated on October 3, 2026. Its guidance applies to Microsoft 365 and Office 365 tenants, including hybrid Exchange deployments. Exchange Online labels can change, so confirm the current wording in the admin center before making a production change.

Is this the same as “550 5.4.1 Relay Access Denied”?

No. The number is the same, but the SMTP response describes a different failure path. “Recipient address rejected: Access denied” is normally a DBEB recipient-directory problem. “Relay Access Denied” means the receiving server will not relay mail for the destination domain or the sender is not authorized to use that SMTP service.

Exact symptom Likely owner First action Typical fix
One recipient fails with “Recipient address rejected” Recipient tenant administrator Verify the address and recipient object Correct the object or reset a synchronized hybrid mailbox proxy address when applicable
Every recipient in one accepted domain fails Recipient tenant administrator Test another address in that domain Toggle the accepted domain from Authoritative to Internal relay and back to Authoritative
An on-premises mail-enabled public folder fails Hybrid Exchange administrator Check whether the folder is visible in Exchange Online Synchronize the public folder with Microsoft’s documented process
An on-premises dynamic distribution group fails Hybrid Exchange administrator Confirm the object type Create an Exchange Online mail contact with the group’s external address
The NDR says “Relay Access Denied” Sending or receiving mail administrator Inspect SMTP authorization and server settings Correct authentication, authorized network or IP, outgoing-server, DNS, or relay configuration

Do not apply the accepted-domain toggle or mailbox-resynchronization procedure merely because the status code contains 5.4.1. Match the remedy to the complete SMTP text in the NDR.

How can I tell whether one address or an entire domain is affected?

Use a controlled comparison before changing configuration. This separates a misspelled or unsynchronized recipient from a domain-wide DBEB problem and limits the chance of disrupting valid mail flow.

  1. Copy the rejected address from the NDR. Do not retype it from memory. Check every character before and after the @, including hyphens, dots, apostrophes, and any subdomain.
  2. Check the intended alias. Ask the recipient administrator whether the address is a current primary SMTP address or proxy alias. An old alias may still appear in an address book, signature, cached autocomplete entry, or application configuration even after it was removed.
  3. Send one controlled message to another known recipient in the same domain. Use a mailbox whose address has recently been confirmed by the recipient organization. Keep the subject and attachment simple so the test isolates recipient acceptance.
  4. Classify the result. If only the original address fails, investigate that recipient object. If multiple known recipients in the same accepted domain fail, investigate the domain configuration or synchronization state. If only a public folder or dynamic group fails, follow the object-specific hybrid procedure below.

Repeated retries do not repair a DBEB directory entry. Once you have captured one representative NDR and completed the comparison, stop sending test messages until an administrator changes the relevant object or domain setting.

How do I fix a single rejected recipient?

For a one-address failure, correct the recipient data first. The exact repair depends on whether the address belongs to a normal mailbox, an on-premises mailbox in a hybrid deployment, a mail-enabled public folder, or a dynamic distribution group.

Check spelling, aliases, and the domain

Microsoft’s first prescribed step is to verify the address exactly as shown in the NDR. Compare it with the recipient’s current address in the organization’s directory or with a confirmed address supplied by the recipient. Check for a stale autocomplete suggestion, a copied trailing space, a changed company domain, or an alias that was deleted during a migration.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If the address is wrong, replace it and resend. If the address is correct but the recipient administrator cannot find a matching mail-enabled object in Exchange Online, the issue is not an Outlook formatting problem; it requires directory or hybrid administration.

Repair a synchronized hybrid mailbox

This branch applies when the failing address belongs to an on-premises user mailbox and directory synchronization is enabled. Microsoft’s documented workaround is to change the mailbox’s SMTP proxy address to a temporary value, allow that change to synchronize, and then restore the original address.

  1. In the on-premises directory or Exchange management tool, record the current primary SMTP address and every proxy address.
  2. Change the affected mailbox’s SMTP proxy address to a temporary, unique address in a domain that your organization controls. Avoid assigning the temporary value to another object.
  3. Allow the directory synchronization cycle to publish the change to Exchange Online.
  4. Restore the original SMTP proxy address and allow synchronization again.
  5. Wait for DBEB to receive the corrected recipient state. Microsoft says this update can take up to 24 hours after the mailbox change.
  6. Send a new test message rather than relying on a previously queued or bounced message.

Do not delete the mailbox or remove all proxy addresses as a shortcut. Preserve the original values, document each synchronization cycle, and involve the administrator who owns the on-premises directory if you cannot verify the authoritative source for the address.

Repair an on-premises mail-enabled public folder

A hybrid public folder can produce the same rejection when its mail-enabled object is not synchronized to Exchange Online. First verify that the public folder and its mail-enabled representation are present and visible in the cloud directory. If the object is missing, Microsoft directs administrators to use the Sync-ModernMailPublicFolder PowerShell script as part of the documented synchronization process.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Confirm the folder’s SMTP address before running synchronization, and check the resulting object in Exchange Online afterward. A public folder is not repaired by changing a user mailbox’s proxy address, so keep this branch separate from the hybrid-mailbox procedure.

Repair an on-premises dynamic distribution group

On-premises dynamic distribution groups cannot be synchronized to Exchange Online in this scenario. Instead, Microsoft’s remedy is to create an Exchange Online mail contact that uses the same external email address as the on-premises group.

Use a unique contact name, copy the group’s externally routable SMTP address exactly, and verify that the contact is visible to the tenant before testing delivery. This creates a cloud-recognized recipient for DBEB while the group remains managed on-premises.

How do I fix the error for every recipient in an accepted domain?

When known addresses across one domain all receive the exact “Recipient address rejected” response, the accepted-domain state may need to be resynchronized. In Exchange Online, an Authoritative domain accepts mail for recipients listed in Microsoft 365 and rejects unknown recipients. An Internal relay domain can deliver known cloud recipients locally and relay unknown recipients to an on-premises server.

  1. Sign in to the Exchange admin center with an account permitted to manage accepted domains.
  2. Open Mail flow > Accepted domains.
  3. Select the affected domain and change its type from Authoritative to Internal relay.
  4. Save the change and allow Exchange Online to process it.
  5. Open the domain again and change the type back to Authoritative.
  6. Test a known mailbox, then test the original recipient.

Microsoft’s accepted-domain procedure lists an estimated completion time of 10 minutes. That is an estimate for carrying out the administrative procedure, not a promise that an incident will be resolved within 10 minutes. Existing hybrid routing, connectors, and on-premises recipients must be understood before changing the domain type: Internal relay changes how unknown recipients are handled while it is active.

If the domain-wide error returns after the toggle, check directory synchronization health, connector configuration, and the domain’s recipient objects rather than repeating the toggle indefinitely. Preserve the original domain setting if your organization’s documented design requires Authoritative behavior and escalate with the NDR details.

What information should an administrator collect from the NDR?

The bounce message contains the evidence needed to distinguish a DBEB rejection from a relay or transport problem. Ask the sender for the complete, unedited NDR, including the diagnostic section and original headers.

  • Rejected recipient: the exact address Exchange Online evaluated.
  • Generating server: the server that created the NDR.
  • Remote server: the server that returned the SMTP response.
  • Enhanced status code: the full code, including all decimal components.
  • SMTP response: the complete text after the code, not only “access denied.”
  • Original headers: timestamps, sender, recipient, message ID, and the route the message followed.

An administrator can also run the NDR diagnostic in the Microsoft 365 admin center. Keep the diagnostic output with the message headers and the time of each test. This makes it easier to correlate a recipient change, a synchronization cycle, and the first successful delivery.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What should I do if the message says “Relay Access Denied” instead?

Switch to an SMTP authorization and routing investigation. The DBEB recipient-resynchronization steps above are intended for the exact “Recipient address rejected” wording and do not authorize a sender to relay.

  • Confirm that the sending application authenticates with the intended SMTP account.
  • Check whether the sender’s public IP or network is permitted to use the outgoing server.
  • Verify the configured outgoing SMTP hostname, port, encryption, and authentication mode against the organization’s current mail design.
  • Confirm that DNS for the recipient domain and the organization’s mail servers points to the intended services.
  • Review connector restrictions and relay permissions on the sending and receiving servers.

Have the mail administrator compare the complete NDR with the server logs. A relay rejection can be generated even when the recipient address is valid, because the server is refusing the route or the sender’s authorization.

How long should the fix take, and when should I escalate?

Simple address corrections can be tested as soon as the recipient administrator confirms the object. Hybrid mailbox changes are slower: Microsoft advises allowing up to 24 hours for DBEB to fully update after the temporary-address and restore sequence. Public-folder and dynamic-group repairs also depend on synchronization and object replication, so record the change time instead of assuming an immediate result.

Can this error be prevented after a hybrid migration?

Prevention is mainly an identity and mail-flow discipline rather than a sender-side Outlook setting. Keep one authoritative source for each mailbox, alias, public folder, and group address, and document which objects are expected to appear in Exchange Online.

  • Before changing a mailbox’s primary address, record its proxy addresses and the intended final state.
  • After directory synchronization, verify that the recipient appears in the cloud directory with the expected SMTP address.
  • For public folders and groups, confirm that the object type has a supported cloud representation; a dynamic distribution group requires a mail contact in this scenario.
  • Keep accepted-domain types aligned with the routing design. Authoritative is appropriate when Microsoft 365 should reject unknown recipients; Internal relay is intended when unknown recipients may need to go to an on-premises server.
  • Retain representative NDRs and message headers during migration testing so a future rejection can be classified quickly.

These checks reduce stale-recipient surprises, but they cannot guarantee that a later directory or routing change will not create a new rejection.

If you want an optional Windows-side troubleshooting shortcut after completing the mail-administration checks, Outbyte PC Repair can address more than 100 common Windows issues where possible, clean temporary and cache files, review selected privacy and vulnerability settings, and provide an app-crash log. FAQ

Can a valid alias still trigger this rejection?

Yes. An alias can be valid on-premises or in an address book while its proxy address is absent or stale in Exchange Online. The receiving administrator must verify the cloud recipient object, not just whether someone can see the alias in Outlook.

Will changing the sender’s Outlook profile fix the NDR?

Usually not. This response is generated by the receiving Exchange Online service before the message is accepted, so recreating a profile does not add the missing recipient to the tenant directory. A profile change is relevant only when it reveals that the sender was using an obsolete or mistyped address.

Should I change MX records for this error?

Not for the exact “Recipient address rejected” wording. MX and server-routing checks belong to the separate relay or DNS investigation when the NDR says “Relay Access Denied” or identifies a server that will not accept mail for the domain.

What permissions are needed to perform the accepted-domain repair?

You need an Exchange Online administration role that permits managing accepted domains, and hybrid mailbox or public-folder repairs may also require access to the on-premises directory and Exchange tools. If you cannot see Mail flow > Accepted domains, provide the full NDR and test results to the tenant’s mail administrator rather than making unapproved changes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Why does a message continue to bounce after the administrator says it was fixed?

Directory replication and DBEB refresh can lag behind the visible administrative change, especially in a hybrid deployment. Ask when the change synchronized, send a fresh test after the relevant propagation period, and compare the new NDR with the original to confirm that the rejected recipient or SMTP text has actually changed.

Frequently Asked Questions

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
