A Google Drive “You need access” or “Access denied” message usually means the account opening the link does not have permission—not that the URL is broken. Sign in to the Google account the owner shared with, switch accounts if needed, and select Request access if you still cannot open the file. If you own it, check Share → General access and grant the recipient the right audience and role. A work or school administrator may need to resolve restrictions on external sharing.
Why does my Google Drive link say “Access denied”?
Drive checks the signed-in user’s permissions when a link is opened. A link can remain unchanged while access changes: the wrong Google account may be active, the owner may have removed or set an expiration on your permission, or a folder or organization policy may prevent access.

That is why a link can work for its owner but not for you. The owner is signed in with an identity that has permission; your current account may not be on the file’s access list, even though both of you are using the same URL.
- Wrong account: The owner granted access to a different Google account than the one currently signed in.
- Restricted sharing: Only specifically invited people can open a file set to Restricted.
- Permission changed: The owner revoked access, or an access expiration took effect.
- Inherited permissions: The file’s parent folder or shared drive may determine effective access.
- Organization policy: A school or company may block sharing with people outside its organization.
Google’s support guidance is straightforward: “If you can’t open a file, you can ask the owner to give you access.” Requesting permission is the right next step when the file is restricted.

How do I fix “You need access” as the recipient?
First check which Google account is active. If you cannot open the file after switching to the intended account, request access and have the owner verify the address that needs permission.
- Open the link while signed in to the intended Google account. If you have more than one Google account active, switch to the account the owner used when sharing the file, then reopen the link.
- Select “Request access” if the page still says “You need access.” Add a short explanation if useful, then send the request. Google sends the owner the requesting account’s identity and the file details.
- Wait for the owner to approve it. Once approved, reopen the link using the same account that sent the request. If you do not see a separate approval notification, try the link again; Google says approval can happen without a separate notification.
- Ask the owner to check the sharing scope. If they believe the link is open to everyone, ask them to verify the file’s actual General access setting. “Anyone with the link” and “Restricted” are different settings.
A request sent from one account does not establish that another account has access. If you requested permission while signed in to the wrong account, switch to the intended one and have the owner share with that account or submit a new request from it.

The owner can share a file with a named Google account or group, or choose an available audience under General access. For sensitive material, sharing directly with the recipient is more controlled than allowing anyone with the link to open it.

- Select the file or folder and open “Share.”
- Check “General access.” Choose Restricted, Anyone with the link, or an organization option if it is available for the account and allowed by its policy.
- Choose the least-permissive role that meets the need. Use Viewer to allow reading, Commenter for comments, or Editor for changes.
- For direct sharing, enter the recipient’s exact Google account or group address and send the invitation.
- Check the parent folder or shared drive if access still does not match expectations. Permissions can be inherited, and container-level settings may affect the item.
Changing a file’s general-access option is not always enough. An organization policy can restrict the choices available, while folder or shared-drive permissions can affect what a recipient can do with an individual file.
Which Google Drive sharing setting should I choose?
Choose an audience and role that match the task. Broader access is more convenient for distribution, but it also gives access to a wider group of people who can reach the link.

Audience and role are separate decisions: an audience setting controls who can reach the item, while the role controls what an allowed person can do. Organization policy can override the sharing options an owner sees.

How do folder and shared-drive permissions affect a file?
A file’s access may depend on its parent folder or shared drive, not just its own sharing panel. If the link owner has checked the file but the recipient still cannot open it—or has different access than expected—inspect the container’s permissions and any limited-access settings.
Moving an item can cause permissions to be re-evaluated. Google’s Workspace update dated September 22, 2025 says restricted access inside a shared folder should be managed with the limited-access folder setting. The precise available controls depend on the item’s location and the account’s permissions.
Why can’t I share a Drive file outside my school or company?
A Workspace administrator can block external sharing. Google says that when external sharing is turned off, users cannot share Drive links with external users, and external users lose access to items previously shared with them.

If an external recipient is blocked by that policy, changing the individual file’s link setting will not override it. Ask the Workspace administrator to review the organization’s external-sharing policy or provide an approved alternative. If the sharing controls are unavailable to you, that is a reason to contact the administrator rather than repeatedly changing the file settings.

What should I check if the link used to work?
Start with the account and permission, then check whether access was changed or inherited settings apply. A stable URL identifies the file, but it does not guarantee that every person who has the URL remains authorized to open it.
- Confirm you are signed in to the account that originally had access.
- Ask the owner whether your permission was revoked or expired.
- Ask the owner to review the file’s General access and direct-sharing entries.
- If the file sits in a folder or shared drive, check inherited permissions and limited-access settings.
- If the recipient is outside a school or company, ask whether administrator policy blocks external sharing.
These checks distinguish a link that is malformed from a valid link whose current user is not authorized. The documented causes here are identity, permissions, inheritance, and policy; changing the URL itself does not grant access.

Can I open a restricted Google Drive file without asking the owner?
No. A restricted file is limited to people who have been granted access. If you believe you should already have permission, check that you are using the right account before asking the owner to verify the invitation.
Does “Anyone with the link” mean the file is searchable on Google?
The setting means people who have the URL can open the item, subject to its role and organization restrictions. It is not the same as granting access only to a named recipient.
Can the owner see which account requested access?
Yes. Google sends the owner the identity of the account making the request along with file details. That lets the owner confirm whether the request came from the intended person or account.
What should I do if I need access for a group rather than one person?
The owner can share with a group address if that is appropriate and permitted by the account’s settings. For a work or school file, organization policy may constrain which groups or external recipients can be added.
