To make an invoice number identical to its WooCommerce order number, configure your invoice extension to use the order number instead of maintaining a separate invoice counter. What it means for an invoice number to match an order number
WooCommerce can expose more than one identifier for the same purchase. The underlying order ID is the database identifier. A sequential-order extension can present a formatted order number, such as a value with a prefix, date token, suffix, or leading zeroes. An invoice extension may then either copy that displayed order number or create a separate invoice sequence.

It does not mean that WooCommerce changes the database ID. The order ID in a WooCommerce URL remains the lookup identifier used to retrieve the order from the database, even after the displayed order number is formatted.
Why stores usually want an exact match
- Customers can identify an invoice from the order confirmation without translating between two references.
- Support staff can search using the number printed on a PDF or email and find the corresponding order quickly.
- Printed documents, packing paperwork, and customer-facing order screens can use one consistent reference.
- Reconciliation is simpler when the sales record and invoice show the same displayed number.
Matching is a configuration choice, not an automatic consequence of installing an invoice plugin. A plugin that has its own counter will continue generating independent invoice numbers unless you select its order-number mapping option or place the order-number placeholder in the invoice template.

Choose the numbering model before changing settings
Decide whether the existing WooCommerce order numbers are acceptable before editing invoice templates. If they already meet your requirements, map invoices directly to them. If they need a prefix, suffix, date token, or padding, configure the order-number format first and then mirror that formatted value on invoices.
Direct mirroring
Direct mirroring uses the current WooCommerce order number without introducing another sequence. This is the simplest model when the only requirement is that the invoice and order display exactly the same number.

A sequential-order extension can define a starting number, prefix, suffix, date or time tokens, and zero-padding. The invoice then displays the resulting formatted order number. This model preserves a single customer-facing reference while allowing a store-specific format.
Independent invoice numbering
An independent sequence is appropriate only when accounting procedures require invoices to have their own controlled series. It is intentionally different from the WooCommerce order number. WooCommerce documentation describes separate invoice counters and yearly resets for this arrangement, so it should not be selected when the goal is an exact match.

Configure the WooCommerce order-number format first
If the current order number is suitable, skip to the invoice-extension section. Otherwise install and configure WooCommerce Sequential Order Numbers Pro before mapping invoices. Its settings support a configurable starting number, prefixes, suffixes, date and time tokens, and zero-padding.

- Review the existing order history. Record the largest order number currently in use and identify any prefixes, suffixes, or date components already shown to customers.
- Open the sequential-order extension’s settings under WooCommerce. Select the starting number and define any prefix, suffix, date/time token, or zero-padding required by your store’s documents.
- Check the extension’s numbering rule for your site state. On an empty site, the extension starts at 1 unless you configure another start. On a site with existing orders, new numbering follows the largest existing order number or the configured higher start.
- Save the format and create a test order. Confirm the displayed order number includes every component in the intended order, including leading zeroes and date text.
Changing this setting does not renumber existing orders. The setting affects how new numbers are generated; it cannot rewrite historical order references already issued to customers. Treat the existing order range as part of the store’s permanent record when choosing a new start or format.
Prevent duplicate date text
Check every place where a year or date token is added. If the sequential order format already contains a year token and the invoice prefix or suffix adds another year token, the invoice can display the year twice. Remove the duplicate token from the invoice-side prefix or suffix rather than adding another transformation to the order number.
Map the invoice extension to the WooCommerce order number
After the order format is final, configure the invoice extension to read that value. Do not enable a second invoice counter when exact matching is the requirement.
WooCommerce Print Invoices & Packing Lists
- Open the extension’s invoice-number settings.
- Enable the option labeled Use Order Number as Invoice Number.
- Save the setting and generate a preview for a recent order.
- Confirm that the invoice number is identical to the order number shown for that order in WooCommerce, including any prefix, suffix, date text, and zero-padding.
The wording of the setting matters: it tells the extension to use the order number as the invoice number instead of advancing an independent invoice sequence.
Print Invoice & Delivery Notes
- Open the invoice template or invoice-number configuration.
- Place the exact placeholder
{order_number}where the invoice number should appear. - Remove any separate invoice-counter token from that field if one is present.
- Save the template, render a preview, and compare the result with the matching WooCommerce order.
The placeholder must be entered exactly as documented, including the braces. It should be used for the invoice-number field, not appended to a separately generated invoice number.

WebToffee PDF Invoice and Packing Slips Suite
- Open the suite’s invoice-number settings.
- Select its option to mirror the WooCommerce order number rather than generate an independent invoice sequence.
- Save the configuration and render a PDF for a test order.
- Compare the number in the PDF with the order number displayed in the WooCommerce order record and customer-facing view.
Names and screen placement can vary by extension version, but the required behavior is the same: the invoice field must resolve to the WooCommerce order-number value.
Verify the match across every customer-facing output
A setting can appear correct in an editor while a generated document still uses an old template or counter. Test the complete output path rather than relying on one preview.
- Preview several ordinary orders. Use orders with different number lengths, prefixes, and dates if your format includes those elements.
- Generate a PDF. Check the invoice number printed in the PDF, not only the value shown in the editor.
- Inspect invoice emails. If the extension attaches or embeds invoices in email, verify that the number in the attachment and the number in the email content agree.
- Check a refund case. Open an order that has a refund and confirm that the invoice continues to identify the original order correctly. Do not assume a refund document is using the same template as the original invoice.
- Check an older order. Historical orders retain their existing order numbers; verify that the extension’s behavior for those records is understood before sending replacement documents.
- Compare the WooCommerce order screen. Match the invoice value character for character, including punctuation, spaces, date text, and leading zeroes.
- Repeat after activating the setting in production. A cached PDF, email template, or previously generated attachment can make a change appear ineffective.
Why an invoice can still show a different number
The invoice extension is still using its own counter
This is the most common configuration mismatch. Reopen the invoice-number field and look for an independent sequence setting. In Print Invoice & Delivery Notes, replace that field with {order_number}. In an extension with a dedicated mapping option, select the order-number choice and save it before generating a new document.
The order format was changed after invoices were generated
Changing the sequential-order setting does not rewrite existing orders or previously issued documents. Compare a newly created order with a historical one to determine whether the difference reflects the old format. Keep historical invoices and order references intact rather than trying to make old documents conform to a new pattern.
A date token appears twice
Inspect both the sequential order format and the invoice prefix or suffix. Remove the duplicate year or date token from the invoice configuration when it is already part of the order number.

The PDF or email is using a different template
Generate the document from the same route customers use, then inspect its actual output. A screen preview, a downloadable PDF, and an email attachment may be rendered by separate templates or settings within the same extension. Apply the mapping to the template that produces the disputed document and regenerate it.
A payment gateway shows another reference
Some gateways continue to reference the underlying WooCommerce order ID rather than the formatted order number. WooCommerce identifies Apple Pay via Stripe, PayU, PayU Turkey, and RedSys as examples. Consequently, a gateway receipt or payment screen can show a different reference even when the invoice and customer-facing WooCommerce order number match. Treat that gateway reference as a processor identifier, not proof that the invoice mapping failed.
The URL still contains another number
The number in an order-management URL is the database lookup ID. Formatting the displayed order number does not change that URL identifier, so a different number in the address bar is expected.

How existing orders, new orders, and refunds behave
Existing orders
Existing orders keep their assigned numbers. A new order-number start or format does not renumber the historical order list. If an invoice extension reads the order number, an old invoice should reflect the old order value when regenerated, subject to the extension’s handling of historical templates.
New orders
New numbers are generated according to the sequential-order configuration. On an empty site, the documented default start is 1 unless you choose another value. On a site with existing orders, generation follows the largest existing order number or the configured higher start. Test the first production order after changing the format so a gap or unexpected starting point is caught immediately.

Refunds and replacement documents
Use the original order number when checking a refund-related document. The verification step is to compare the document’s displayed reference with the order from which the refund originated, rather than assuming a refund has a new order number. If your extension offers separate refund or credit-note templates, inspect those outputs independently.
When matching is not the right accounting choice
Exact matching is a presentation and workflow decision. Some businesses must maintain a legally controlled invoice series that is separate from order numbers, with its own sequence or yearly reset. In that case, use an independent invoice counter and document the relationship between the invoice and order references for staff and customers.

Do not switch to mirroring merely to make a PDF look simpler if your accounting process requires invoices to be sequential, separately controlled, or reset on a defined schedule. Conversely, do not leave an independent counter enabled when your stated requirement is that every invoice number must equal the WooCommerce order number.

- If not, configure the sequential order format before changing invoices.
- Set the starting number, prefix, suffix, date/time tokens, and zero-padding deliberately.

Practical decision guide
Choose direct mirroring when the existing order numbers already make sense and the only goal is one shared reference. Choose formatted order numbers plus mirroring when the store needs a predictable prefix, date component, suffix, or padding but still wants invoices and orders to agree. Choose an independent invoice sequence only when accounting controls require it; accept that the two numbers will not match and provide both references where customers or staff need to cross-check them.
