To schedule a Teams meeting in Outlook, open your calendar, create a new event, enable the Teams meeting option, add the date, time, attendees and agenda, then send the invitation. Outlook inserts the Teams join information when you select Send. The control is a toggle in new Outlook, Outlook on the web and Outlook mobile; classic Outlook exposes it through Teams Meeting > Schedule meeting.

This workflow requires a supported Microsoft 365 Business Exchange account. Personal, POP and IMAP accounts—including Gmail, Yahoo and iCloud accounts connected to Outlook—cannot create Teams meetings through the Outlook integration.

How do I schedule a Teams meeting in new Outlook or Outlook on the web?

New Outlook for Windows and Outlook on the web use the same basic event editor. The Teams control appears as a switch beside the event title or in the event details pane.

  1. Open Outlook and select Calendar.
  2. Select New event.
  3. Turn on the Teams meeting toggle.
  4. Enter a title, date, start time and end time. Add a physical location or room only if people will meet there as well.
  5. Add required and optional attendees. When Outlook offers suggested times, review them; otherwise open Scheduling Assistant to compare availability.
  6. Use the description area for an agenda, preparation notes or accessibility information.
  7. Select Send. Outlook adds the Teams join details to the invitation as it sends it.

A calendar item that is still a draft does not contain the final Teams join details. The link and dial-in information are inserted only after you send the invitation, so do not copy a link from an unsent draft and expect it to work for attendees.

Before releasing your hand, make sure the phone is firmly fixed. (Not applicable to rough walls, wooden surfaces, and other uneven surfaces)

Where is the Teams switch?

In new Outlook, the switch is normally next to the event title or in the meeting details section. Outlook on the web presents the same control in its event form. If the switch is absent, confirm that the account you are using is a supported work or school Microsoft 365 account before troubleshooting the application.

How can I check availability before sending?

Select Scheduling Assistant from the event window when it is available. The assistant displays attendee calendars so you can move the meeting to a time with fewer conflicts. Outlook on the web can also offer suggested times; choosing one updates the event’s start and end times before you send it.

How do I schedule a Teams meeting in classic Outlook for Windows?

Classic Outlook uses the Teams add-in command rather than the event-form toggle. Start from the calendar or mail view, then create a meeting through the New Email menu.

  1. Open classic Outlook.
  2. On the Home tab, open the arrow beside New Email and select Meeting.
  3. On the Meeting tab, open the arrow beside Teams Meeting and choose Schedule meeting.
  4. Add the attendees, subject, date, time and meeting details.
  5. If the command is available, select Set up or All options to review Teams meeting settings before sending.
  6. Select Send to distribute the invitation with its Teams join information.

The wording and ribbon placement can vary slightly by classic Outlook build, but the sequence remains a meeting created from New Email, followed by the Teams Meeting command. If you only choose Meeting and never choose the Teams command, Outlook creates a regular calendar meeting without Teams details.

How do I schedule a Teams meeting from Outlook on my phone?

The Outlook mobile app has a streamlined event editor. The Teams option is a switch in the new-event screen.

  1. Open the Outlook mobile app.
  2. Tap Calendar, then tap New Event.
  3. Enable the Teams Meeting toggle.
  4. Enter the subject, date, start and end times, location and description.
  5. Add attendees.
  6. Tap Save.

Saving the mobile event sends or stores it according to your Outlook account and app state, while the Teams meeting details are generated as part of the meeting invitation. If the Teams switch is not present, the account or organization may not support Teams scheduling in Outlook.

What is different between new Outlook, classic Outlook, the web and mobile?

All four experiences create the same type of Teams-backed calendar invitation, but the location of the command and the way defaults are configured differ.

Outlook experience Teams control Availability checking Default setting Account requirement
New Outlook for Windows Teams meeting toggle in New event Suggested times and Scheduling Assistant when available Calendar settings > Events and invitations Microsoft 365 Business Exchange account
Outlook on the web Teams meeting toggle in New event Suggested times and Scheduling Assistant Calendar settings > Events and invitations Microsoft 365 Business Exchange account
Classic Outlook for Windows Teams Meeting > Schedule meeting on the Meeting tab Use the meeting’s scheduling tools when enabled File > Options > Calendar > Meeting Providers Microsoft 365 Business Exchange account with a functioning Teams add-in
Outlook mobile Teams Meeting toggle in New Event Mobile availability depends on the app’s event controls Use Outlook calendar settings where offered Supported Microsoft 365 Business Exchange account

Meetings created in Teams appear in Outlook, and meetings created in Outlook appear in Teams. This synchronization lets you manage the invitation from either calendar, although the exact buttons and settings depend on the app you are using.

What account do I need to create a Teams meeting in Outlook?

Microsoft Support identifies Microsoft 365 Business Exchange accounts as the supported environment for scheduling Teams meetings in Outlook. The account must be signed in to the organization that provides the Teams service; simply installing Outlook or Teams is not enough.

  • Supported: a Microsoft 365 Business account using Exchange for its mailbox.
  • Not supported for this workflow: personal accounts and POP or IMAP mailboxes such as Gmail, Yahoo and iCloud accounts added to Outlook.
  • Organization policy: an administrator can disable the Teams integration or prevent users from creating online meetings.
  • Application state: classic Outlook also depends on the Teams add-in being installed, enabled and signed in correctly.

New Outlook for Windows includes native Teams integration, so it does not require the separate classic add-in. Classic Outlook uses the add-in model, which is why the same account can show a Teams toggle in new Outlook but no Teams command in an old desktop installation.

How do I make every Outlook meeting a Teams meeting?

You can make Teams the default online-meeting provider so new invitations start with Teams enabled. This changes the default for future meetings; it does not convert existing calendar items.

New Outlook and Outlook on the web

  1. Open Calendar settings.
  2. Select Events and invitations.
  3. Enable Add online meeting to all meetings.
  4. Choose Microsoft Teams as the provider.
  5. Save the setting.

Afterward, a newly created event is prepared as an online Teams meeting. You can still turn the Teams option off for an individual event before sending.

Classic Outlook

  1. Open File and select Options.
  2. Choose Calendar.
  3. Find Meeting Providers.
  4. Select Microsoft Teams as the provider and save.

The setting name and exact placement can vary by classic Outlook build. If Microsoft Teams is not listed under Meeting Providers, fix the add-in or account problem before trying to set the default.

Can I remove Teams from an Outlook invitation?

Yes, while the invitation is being composed: turn off the Teams meeting toggle in new Outlook, web or mobile, or avoid selecting the Teams command in classic Outlook. This creates a standard Outlook meeting instead.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Microsoft states that Teams cannot be removed after the invitation has been sent. If you sent a meeting with Teams by mistake, the practical correction is to cancel or revise the calendar invitation according to your organization’s meeting policy and send a new invitation without Teams; do not assume that deleting text from the body removes the Teams meeting association.

Why are the Teams meeting details missing from a draft?

A saved draft is a calendar draft, not a completed Teams invitation. Outlook adds the join information after you select Send, so an unsent item can appear to have no link even when the Teams option is enabled.

  • Keep the Teams toggle enabled while editing.
  • Complete the attendee and time fields.
  • Select Send rather than merely closing or saving the event.
  • Open the sent invitation to verify that the Teams join section was inserted.

If a sent invitation still lacks Teams details, check whether the event was created from the correct work account and whether your organization permits Teams meetings. In classic Outlook, also verify that the Teams add-in is loaded.

Why is the Teams meeting option missing in Outlook?

A missing control is usually an account, policy, add-in, installation or version problem—not a different way to create the meeting. Work through the checks below in order, starting with the one that matches your Outlook version.

1. Confirm the signed-in account

Make sure Outlook and Teams are signed in with the same valid commercial Microsoft 365 account. A personal account or a POP/IMAP mailbox will not provide the supported Outlook scheduling workflow.

2. Check whether your administrator disabled it

Your tenant administrator may have disabled the Teams add-in or online-meeting capability. If the option is absent for several users in the same organization, ask the administrator to confirm the policy rather than repeatedly reinstalling Outlook.

3. Check the classic add-in state

In classic Outlook, Teams scheduling depends on the separate add-in. Outlook can disable an add-in after performance problems, leaving the Teams command hidden. Review Outlook’s disabled or inactive add-ins and re-enable the Teams add-in if your organization allows it.

4. Repair an incorrect installation

Microsoft’s troubleshooting guidance lists an incorrect Teams or Office installation, a damaged Outlook profile or registry entry, and outdated Teams or Office software as possible causes. Repair or update the affected installation using your organization’s approved process, then restart both applications and sign in again.

5. Try the correct Outlook experience

The classic add-in is separate from the native Teams integration in new Outlook. If classic Outlook cannot load its add-in but your organization has enabled new Outlook, try creating the meeting there or in Outlook on the web. Conversely, switching applications will not overcome an unsupported account or an administrator policy.

How should I choose the right Outlook workflow?

Use the interface that matches your device and account rather than trying to force one set of instructions onto every Outlook edition.

To maintain the grip and prevent accidental falls, it's a good practice to periodically reapply pressure to the suction cup.
  • Use new Outlook or the web when you want the simple event form, browser access or native Teams integration.
  • Use classic Outlook when your organization still standardizes on the desktop ribbon and the Teams add-in is healthy.
  • Use mobile when you need to create or save an event from a phone; the essential fields and Teams switch are available in the mobile event form.
  • Use Scheduling Assistant when attendee availability matters more than creating the invitation quickly.

Regardless of the interface, review the final recipient list and meeting time before sending. The invitation becomes the calendar record for every attendee, and the Teams join details are attached when Outlook sends it.

What should I do if the Teams link is wrong or the meeting needs changes?

Open the calendar item in the Outlook experience where you manage the meeting, make the required change, and send the update to attendees. Changes to the title, time, attendees or description belong in the Outlook event itself; changing visible text in the invitation body does not replace the Teams meeting configuration.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If the meeting was created without Teams, edit the event before sending and enable the Teams option. If it has already been sent, Microsoft says the Teams association cannot simply be removed; treat a change from Teams to a regular meeting as a cancellation-and-new-invitation decision rather than an edit to a paragraph of text.

How do Teams and Outlook keep meetings in sync?

Microsoft states that a meeting scheduled in Teams appears automatically in the Outlook calendar, and a meeting scheduled in Outlook appears in Teams. This is why an organizer can use Outlook’s calendar tools while attendees who work primarily in Teams still see the event there.

Synchronization depends on using the same supported organizational account. If an event is created under an unrelated personal or IMAP account, it will not gain the Microsoft 365 Teams behavior simply because the Teams application is installed on the device.

Frequently Asked Questions

Do I need to install a Teams add-in to use new Outlook for Windows?

No. New Outlook for Windows has Teams integrated natively, so a separate classic Outlook add-in is not required. The add-in requirement applies to classic Outlook’s ribbon-based workflow.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Why does a Teams meeting appear in Outlook when I created it in Teams?

Microsoft synchronizes the two calendars for supported organizational accounts. A meeting created in Teams is therefore placed on the Outlook calendar automatically, just as an Outlook-created Teams meeting appears in Teams.

Can I turn a regular Outlook meeting into a Teams meeting before sending it?

Yes. Open the unsent event and enable the Teams meeting option, then send the invitation. The join details are generated as part of sending rather than when the draft is first saved.

What happens if I disable the Teams option while composing an event?

Outlook sends the item as a regular calendar meeting without Teams join details. This choice can be made before sending; Microsoft says the Teams association cannot be removed after the invitation has already been sent.
