How to Send a Calendar Event as an Attachment in Outlook

To send one Outlook appointment as a calendar attachment, open the event in classic Outlook, choose Appointment > Forward > Forward as iCalendar, then send the new message with its .ics file. If you are composing a message and need a date range, use Attach file > Attach Item > Calendar in classic Outlook. New Outlook does not support attaching calendar information, so use calendar sharing, publishing, a scheduling poll, or an .ics file created by another workflow instead.

The correct method depends on four things: which Outlook version you use, whether you are sending one event or a range, whether the recipient must accept or decline, and whether the calendar needs to update after you send it.

Which Outlook version supports calendar attachments?

Classic Outlook for Microsoft 365, Outlook 2024, and Outlook 2021 provide commands for forwarding an appointment as an iCalendar file or inserting calendar information into a message. New Outlook has a specific limitation: Microsoft says that attaching calendar information to an email is not supported. Outlook on the web and Outlook.com can work with ordinary .ics files and can import or subscribe to online calendars, but their available commands differ from the classic desktop client.

Outlook environment Recommended workflow What to expect
Classic Outlook for Microsoft 365, Outlook 2024, or Outlook 2021 Select the appointment, then Appointment > Forward > Forward as iCalendar. A new message opens with an attached .ics file. It does not generate meeting-request accept/decline confirmations.
Classic Outlook while composing a message Choose Attach file > Attach Item > Calendar, then set the range and details. You insert calendar information selected from the classic Outlook client.
New Outlook Use calendar sharing or publishing, a scheduling poll, or an .ics file produced elsewhere and attached as a normal file. There is no supported command for attaching calendar information directly.
Outlook on the web or Outlook.com Attach an available .ics file as a normal file, or have the recipient use Calendar > Add calendar > Upload from file. For ongoing updates, share or subscribe to an ICS link. An import is a one-time snapshot. A subscription can refresh later, sometimes after more than 24 hours.

These distinctions explain why a menu shown in a desktop tutorial may be missing in your account. Check the product name and interface before troubleshooting the command itself.

How do I send one existing Outlook appointment as an .ics attachment?

Use Forward as iCalendar when the message should contain one existing appointment as a portable calendar file. The procedure is documented for classic Outlook for Microsoft 365, Outlook 2024, and Outlook 2021.

  1. Open Calendar in classic Outlook.
  2. Select the appointment you want to send.
  3. On the Appointment tab, open the down arrow on Forward.
  4. Select Forward as iCalendar. Outlook opens a new email with an iCalendar attachment, normally shown with the .ics file extension.
  5. Add the recipients and explain what the event represents. Include any context the recipient needs, such as which time zone or calendar the event belongs to, without changing the event file itself.
  6. Send the message.

The recipient can open or import the attached event in Outlook or another calendar application that supports iCalendar. This is a file transfer, not a meeting-request workflow: Outlook does not send you an accept or decline confirmation when the recipient responds to an iCalendar attachment.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

When is this method the best choice?

Choose this route for a single appointment that the recipient should be able to add to a compatible calendar. It is also the practical option when the recipient may not use Outlook, because the .ics format is intended for calendar programs beyond Outlook.

What should I write in the message?

State whether the file is an invitation to attend or simply an event the recipient may want to add. If attendance must be tracked, say so in the message and use a meeting request instead of relying on an iCalendar attachment.

How do I attach a calendar range from a new email?

Use Attach Item > Calendar when the recipient needs more than one event or a selected span of your calendar rather than a single forwarded appointment.

  1. In classic Outlook, start a new email, or open a reply or forward.
  2. Select Attach file (the paperclip), then choose Attach Item > Calendar.
  3. In the calendar selection window, choose the date range to include.
  4. Set the detail level and any other calendar options Outlook presents.
  5. Select the calendar item and choose Insert.
  6. Finish the message and send it.

This workflow inserts calendar information selected from the classic Outlook client. The date-range controls make it suitable for sending a schedule covering several days, while Forward as iCalendar is aimed at one existing appointment.

How should I choose the date range?

Set the narrowest range that answers the recipient’s need. A short, targeted range is easier to interpret than an entire calendar and reduces the chance of including unrelated appointments. Review the selected range and detail level before choosing Insert; the inserted information reflects those settings.

Can I use this command in new Outlook?

No. The Attach Item > Calendar command belongs to the classic Outlook workflow. If you are in new Outlook, use one of the sharing, publishing, scheduling, or external .ics workflows described below.

Why can’t I attach calendar information in new Outlook?

Microsoft’s support guidance states that “Attaching calendar information to an email is not supported in the new Outlook.” The missing command is therefore a product limitation, not a damaged installation or a hidden setting.

Use calendar sharing when the recipient needs a view

Share the calendar when the recipient needs to see calendar information rather than receive one detached event file. Sharing is a better fit for a broader view, especially when the recipient may need to refer back to the calendar after the email is sent.

Publish or provide an ICS link for a maintained calendar

If the calendar should remain available online, publish it or provide a subscribable ICS link where your Outlook environment permits that option. The recipient can subscribe from the web instead of importing a one-time file. This preserves a relationship with the online calendar, although updates may take more than 24 hours to appear.

Use a scheduling poll for availability decisions

When the goal is to find a mutually acceptable time, a scheduling poll is more appropriate than attaching a calendar snapshot. It addresses scheduling choices directly instead of asking each person to import an event.

Create an .ics file elsewhere and attach it normally

If you already have an .ics file produced by another compatible calendar workflow, attach it as an ordinary file in new Outlook. The limitation concerns attaching calendar information through Outlook’s calendar command; it does not change the nature of a normal file attachment.

How does a recipient import an .ics attachment?

In Outlook on the web or Outlook.com, the recipient can import the file through the calendar interface rather than opening it from the message alone.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open Calendar.
  2. Select Add calendar.
  3. Choose Upload from file.
  4. Browse to the downloaded .ics attachment.
  5. Choose the destination calendar.
  6. Select Import.

The imported calendar is a snapshot. If the sender later changes the original appointment, those changes do not automatically flow into an imported copy.

What if the recipient needs future changes?

Have the recipient choose Subscribe from web and enter the calendar URL instead of uploading the file. A subscription is designed for an online calendar that may change, but Microsoft notes that updates can sometimes take more than 24 hours to refresh. Do not promise immediate synchronization when you send the link.

What if the recipient uses a different calendar application?

Send the .ics attachment. Microsoft describes iCalendar attachments as usable with Outlook and other calendar applications that support iCalendar. The recipient’s import labels will vary by application, so tell them that the file is an iCalendar event if it is not recognized automatically.

What is the difference between an iCalendar attachment and a meeting request?

An iCalendar attachment is a portable event file; a meeting request is Outlook’s attendee-response workflow. Use the option that matches the outcome you need.

Send one event that someone can add to a calendar Forward as iCalendar The message contains an .ics file that the recipient can open or import.
Send a selected span of your schedule Attach Item > Calendar in classic Outlook The message contains calendar information for the range and detail level you selected.
Ask attendees to respond and track acceptance A normal Outlook meeting request Attendees can accept or decline through the meeting-request process.
Keep a recipient informed as an online calendar changes Calendar sharing, publishing, or an ICS subscription The recipient uses a shared or subscribed calendar rather than a static import.

Microsoft specifically warns that iCalendar attachments and links do not provide the confirmations generated by Outlook meeting requests. If acceptance or decline status matters, create and send a meeting request instead of forwarding an appointment as an .ics file.

How do I choose the right Outlook workflow?

Answer these questions in order before you send anything:

  1. Which client are you using? Classic Outlook exposes the calendar-attachment commands. New Outlook does not support attaching calendar information, while Outlook on the web works with file imports and online calendar links.
  2. Is the recipient asking for one event or a range? Use Forward as iCalendar for one existing appointment. Use Attach Item > Calendar for a selected range in classic Outlook.
  3. Must the recipient accept or decline? Send a meeting request. An iCalendar attachment will not return those confirmations.
  4. Will the information change after sending? Use sharing, publishing, or an ICS subscription for a maintained online calendar. An uploaded .ics file is only a snapshot.
  5. Does the recipient use another calendar program? An iCalendar file is the portable choice when that program supports the format.

This decision avoids the most common mismatch: sending a static file when the recipient expected updates, or sending an attachment when the organizer needed response tracking.

What should I do when the calendar command is missing?

The Forward as iCalendar option is not visible

Confirm that you selected an appointment in classic Outlook and are looking on the Appointment tab. If the interface is new Outlook, the command is not supported there; switch to a supported classic Outlook workflow or use sharing, publishing, a scheduling poll, or an externally created .ics file.

Attach Item is not available while writing a message

Check that you are using classic Outlook. Start a new message, reply, or forward, then open the paperclip menu and look for Attach Item > Calendar. The command is not expected in new Outlook.

The recipient cannot find the event after downloading it

Tell the recipient to open Calendar > Add calendar > Upload from file, select the downloaded file, choose a destination calendar, and select Import. If their calendar program is not Outlook, they should use its iCalendar import command.

The organizer needs an attendance response

Replace the iCalendar attachment with a normal meeting request. The attachment workflow is not designed to produce accept or decline confirmations.

Examples of the correct workflow

Sending a single appointment to an external participant

In classic Outlook, select the appointment and choose Appointment > Forward > Forward as iCalendar. Add a short explanation and send the message. The participant imports the .ics file into a compatible calendar; no acceptance status is returned to you through that file.

Sending a work schedule for several days

Start a message in classic Outlook and choose Attach file > Attach Item > Calendar. Set the required date range and detail level, select Insert, review the inserted calendar information, and send the email.

Sharing a calendar that will keep changing

Do not rely on an imported attachment. Share or publish the calendar, or send an ICS subscription link. The recipient can use Subscribe from web; explain that refreshes may take more than 24 hours.

Key points to remember

  • Forward as iCalendar sends one existing appointment as an attached .ics file from classic Outlook.
  • Attach Item > Calendar inserts a selected calendar range into a message from classic Outlook.
  • New Outlook does not support attaching calendar information through its calendar command.
  • An imported .ics file is a snapshot; a subscription is the option for later online updates.
  • iCalendar attachments do not provide meeting-request accept or decline confirmations.

Frequently Asked Questions

Can I send an Outlook calendar attachment without opening the event first?

For a single existing appointment, the documented classic Outlook route starts by selecting that appointment and using Forward as iCalendar. If you need a range instead, start the email first and use Attach Item > Calendar to define the dates before inserting the calendar information.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Where does Outlook put an imported .ics event?

During Upload from file, Outlook on the web or Outlook.com asks you to choose the destination calendar. Select the calendar where you want the snapshot stored before pressing Import; the file will not become a live connection to the sender’s calendar.

How long does an Outlook calendar subscription take to update?

Microsoft notes that a subscribed online calendar can sometimes take more than 24 hours to refresh. A recipient who needs to see a change immediately should not treat a subscription as real-time synchronization.

What should I send if I need proof that someone agreed to attend?

Send a normal Outlook meeting request rather than an iCalendar attachment. The meeting-request workflow is the one that provides attendee accept or decline confirmations; an attached .ics file does not.
