To require a password before a PowerPoint presentation opens, use the desktop app: on Windows select File > Info > Protect Presentation > Encrypt with Password; on macOS select File > Passwords and enable Encrypt this presentation and require a password to open. Enter and confirm the password, then save the file. The saved file will prompt for that password before showing its slides.
If people may view the presentation but must not edit your original, set a separate modify password instead. PowerPoint passwords are case-sensitive, and Microsoft says a forgotten password cannot be retrieved, so record it in a secure password manager or another secure location before closing the file.

What does a PowerPoint password protect?
PowerPoint has two different password controls. An open password blocks access to the presentation until the correct password is entered. A modify password allows someone to open and view the presentation but asks for a password before allowing edits to the original file.
| Protection | What the recipient can do | Where to configure it | Important limitation |
|---|---|---|---|
| Password to open | Cannot open the presentation without the password. | Windows: File > Info > Protect Presentation > Encrypt with Password macOS: File > Passwords |
There is no Microsoft recovery path if the password is lost. |
| Password to modify | Can open and view the presentation; editing the original requires the password. | Windows: File > Save As > More Options > Tools > General Options macOS: File > Passwords |
An unauthorized user can still open the file and save a copy under another file name. |
Microsoft describes the feature plainly: “A password helps to prevent other people from opening or modifying a presentation.” It is an access control for the file, not a guarantee that a viewer cannot photograph, copy, or otherwise reproduce information once the slides are visible.

How do I set a password to open a presentation on Windows?
Use the Windows desktop version of PowerPoint. The password is applied when you save the presentation after completing these steps.
- Open the presentation in PowerPoint.
- Select File, then Info.
- Select Protect Presentation and choose Encrypt with Password.
- Type the password in the dialog box and select OK.
- Type the same password again when PowerPoint asks you to confirm it, then select OK.
- Save the presentation. Until the file is saved, the protection change is not committed to the file on disk.
Close and reopen the saved file if you want to verify the result. PowerPoint should request the password before displaying the presentation.
How do I password-protect a presentation on Mac?
macOS uses a dedicated Passwords dialog rather than the Windows Protect Presentation menu.
- Open the presentation in the PowerPoint desktop app for macOS.
- Choose File from the menu bar and select Passwords.
- Under Password to open, select Encrypt this presentation and require a password to open.
- Enter the new password.
- Enter it again in the Verify field and select Set Password.
- Select OK, then save the presentation.
The password applies to the saved file. If you quit or close the document without saving, the previous saved version retains its previous protection settings.

Which PowerPoint editions and file types support password protection?
Microsoft’s documented desktop workflow covers PowerPoint for Microsoft 365 and PowerPoint 2024, 2021, 2019, and 2016 on both Windows and Mac. Menu wording can vary slightly by update, but the Windows Protect Presentation route and the macOS Passwords dialog are the relevant locations for those editions.
PowerPoint for the web does not support password protection for ODP (Open Document Presentation) files. If the presentation is an ODP file or you are working only in a browser, open a supported PowerPoint desktop edition and use a PowerPoint format, or apply a protection method designed for the file format you are actually distributing.
How do I require a password only when someone edits the presentation?
Choose a modify password when recipients should be able to read the slides but should not edit your original file without authorization.
Windows modify-password steps
- Open the presentation and select File > Save As.
- In the Save As window, select More Options.
- Open the Tools menu and choose General Options.
- Enter a password in the field for modifying the presentation, confirm it if prompted, and accept the dialog.
- Save the file.
A recipient who does not know this password can open the presentation for viewing, but PowerPoint does not give that person editing access to the original. Microsoft notes that the recipient can nevertheless save a copy under a different file name, so this setting is intended to discourage changes to your master file rather than to hide the slides.

Mac modify-password steps
- Open the presentation and choose File > Passwords.
- Use the Password to modify field.
- Enter and verify the password, then select Set Password.
- Select OK and save the presentation.
Use an open password instead when the contents themselves must remain inaccessible to anyone who does not have the password.
How do I change or remove a PowerPoint password?
Change an existing password
You must know the current password to alter the protection. Open the presentation, go to the File > Passwords dialog, choose Change Password, enter the new password, verify it, and save the file. On Windows, the dialog is available from the presentation’s protection or save options; on Mac, it is directly under File > Passwords.

Remove password protection
Open the password dialog while the presentation is unlocked. Clear the password or clear the encryption option, select OK, and save the file. Removing protection does not take effect in the saved copy until you save; if the file has both an open password and a modify password, clear each setting you no longer need.
What should I do if I forget the password?
Microsoft’s support guidance says forgotten PowerPoint passwords cannot be retrieved and the file cannot be opened without the required password. There is no documented Microsoft reset process for an encrypted presentation, so do not close your only unlocked copy until you have stored the password safely.

Passwords are case-sensitive. Before sharing a protected file, record the exact capitalization, spaces, numbers, and symbols in a secure password manager or another secure location. Keep a separate backup of the presentation only if that backup is stored with equivalent protection; an unprotected duplicate defeats the purpose of the password.
How strong should a PowerPoint password be?
Microsoft recommends at least seven characters using uppercase and lowercase letters, numbers, and non-alphabetic characters such as !, $, #, and %. Avoid account names, names of people, project titles, dates, and other personal information that someone who knows the presentation’s audience could guess.

- Prefer a longer passphrase when you need to type the password manually, while retaining a mix of character types if your organization requires it.
- Send the presentation and its password through separate channels, such as the file through a sharing service and the password through a direct message or phone call.
- Tell recipients whether the password is for opening or only for modifying; the two controls have different effects.
Can I set a PowerPoint password with VBA?
Yes. Microsoft Learn documents the Presentation.Password property as the read/write password required to open a presentation. A VBA procedure can open a file, assign the property, save the presentation, and close it, which is useful when the same open-password workflow must be applied repeatedly.
Sub SetOpenPassword()
Dim pres As Presentation
Set pres = Presentations.Open("C:PresentationsQuarterlyBriefing.pptx")
pres.Password = "ReplaceWithYourPassword"
pres.Save
pres.Close
End Sub
Replace the example path and password with your own values. Treat the macro itself as sensitive: a password written directly in VBA remains visible to anyone who can inspect the code. The documented property covers the password required to open a presentation; use the desktop password dialogs for modify-password settings.

Why is my password protection not working?
The file opens without asking for a password
- Confirm that you used Encrypt with Password or the macOS option that explicitly says to require a password to open. A modify password alone does not block viewing.
- Save the file after setting the password. The change applies to the saved file, not merely to the current unsaved editing session.
- Check that you reopened the newly saved copy rather than an older attachment or duplicate in another folder.
The password is rejected
- Re-enter it carefully, including capitalization, spaces, and symbols; passwords are case-sensitive.
- Check whether your keyboard layout, Caps Lock, or an automatic password-manager fill changed a character.
- If you recently changed the password, make sure you are opening the file that was saved after the change.
The Passwords option is unavailable
Check whether you are using PowerPoint for the web or an ODP file. The web version does not support password protection for ODP presentations, so use a supported desktop workflow and a compatible PowerPoint file format.
Which protection should I choose?
Decide based on what the recipient should be able to do:
- Choose an open password when the slides must remain hidden until a recipient authenticates.
- Choose a modify password when recipients may read the slides but you want to protect the editable original from casual changes.
- Use both controls cautiously when you need separate rules for viewing and editing, and document which password serves each purpose.
- Use desktop PowerPoint when the file is an ODP presentation or the browser version does not expose the required protection control.
Frequently Asked Questions
Can I recover a PowerPoint password by contacting Microsoft?
Microsoft’s published guidance does not provide a recovery or reset service for a forgotten presentation password. If the only copy is locked, the original password is required; keep credentials in a secure password manager before distributing the file.
What is the safest way to share the password with viewers?
Send the presentation and password through different communication channels so one intercepted message does not contain both. Confirm the recipient’s identity before disclosing the password, especially for presentations containing confidential material.
Why can a viewer still make a copy when I set a modify password?
A modify password controls editing of the original file, not a viewer’s ability to open the slides. PowerPoint allows an unauthorized viewer to save a separate copy under another name, so use an open password when viewing itself must be restricted.
Does the VBA Password property protect editing too?
The documented VBA Presentation.Password property sets the password required to open a presentation. It does not replace the separate modify-password controls available in the desktop File menus.
