If WordPress says an email was sent but nothing reaches the inbox, replace the site’s unauthenticated local mail path with an authenticated SMTP connection or a provider API. Use a real mailbox on your domain, publish SPF, DKIM and DMARC, send through TLS, and verify delivery in more than one mailbox. The procedure below covers plugin setup, Microsoft 365 requirements, provider selection, DNS, testing and failure recovery.

What SMTP changes in WordPress
WordPress sends most messages through wp_mail(). That function hands the message to the mail system available to the hosting environment; it does not guarantee that a remote recipient accepted or delivered the message. WordPress Developer Resources notes that WordPress has never provided either a mail user agent (MUA) or a mail transfer agent (MTA) by default. A managed host may supply a working relay, while a self-hosted server may have no configured mail transfer agent at all.

An SMTP plugin or a provider API changes the transport. Instead of relying on an uncertain local handoff, the site authenticates to a mail service, submits the message over an encrypted connection, and receives a provider response. The provider then applies its own queueing, bounce handling and reputation controls. API integrations can avoid storing a provider password in the WordPress database; an SMTP password can be kept outside the database in protected configuration such as wp-config.php.
A successful return from wp_mail() means that WordPress accepted the message for its local mail path. It is not proof that the recipient server accepted it, that the message passed authentication, or that it reached the inbox. Reliable setup therefore has two parts: authenticated transport from WordPress to a mail service, and domain authentication that tells recipient servers the service is authorized to send for your domain.

Before you configure anything
Gather these details first. They determine whether the connection can work and prevent the most common sender and authentication errors.
- A real sender mailbox: Create or identify a mailbox such as
[email protected]. Use an address that exists and that your provider permits for outbound mail. - Control of the sending domain: You must be able to add or edit DNS records for the domain shown in the visible From address.
- A chosen transport: Decide whether to use your host’s relay, a third-party SMTP service, or a provider API. For most self-hosted sites, a third-party relay or API is the safer default.
- Provider credentials or authorization: Depending on the service, this may be an SMTP username and password, an OAuth connection, an API key, or a connector certificate and public IP.
- Network access: Confirm that the host can make outbound connections on the port required by the provider. Port 587 is normally the practical submission port; port 25 is often restricted and is more commonly used for server-to-server relay.
- A test plan: Have addresses at at least two mailbox providers so you can distinguish a sender-side problem from a recipient-specific filtering issue.
- A safe place for secrets: Never put passwords in a theme file, screenshot, support ticket or public repository. Prefer OAuth, an API integration, or protected configuration.
Decide whether the host relay is enough
Managed WordPress hosting sometimes supplies a functioning local relay, so an additional plugin may not be necessary. Verify this rather than assuming it: send a test, inspect the message headers, and check the host’s mail logs or support documentation. A relay that works for one notification can still have restrictive sender rules, low limits or poor deliverability.
The Tool Desk
Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →On a self-managed server, the absence of a configured MTA is a common reason for silent failures. Even when a local MTA exists, its IP address may have no reputation or reverse-DNS alignment, and major mailbox providers may reject or spam-folder its messages. A remote provider gives you authenticated submission and a managed delivery system.
Use the host relay when all of these are true
- Test messages consistently reach multiple mailbox providers.
- The host documents the relay’s sender restrictions and limits.
- Your domain’s SPF and DKIM records include the host’s authorized sending service.
- You can access useful logs and bounce information.
- The host’s acceptable-use policy permits your volume and message type.
Choose a remote service when any of these apply
- Your server has no reliable MTA or outbound mail is blocked.
- Messages intermittently disappear, arrive late or land in spam.
- You need delivery logs, failure alerts, bounce data or a backup connection.
- You want OAuth or an API instead of storing a mailbox password.
- You need a provider whose sending identity and DNS instructions are documented.
Install and configure an SMTP plugin
Install a maintained mail plugin from the official WordPress.org directory and keep it updated. WP Mail SMTP and Post SMTP are documented options. Both can route WordPress mail through SMTP or provider APIs; Post SMTP also documents logs, failure alerts and backup connections.
- Install the plugin: In WordPress, open Plugins → Add New Plugin, search for the maintained plugin you selected, verify its author and update history, then install and activate it.
- Open the mail settings: Use the plugin’s settings screen to select a mailer. The labels vary, but you will normally see direct provider integrations and an “Other SMTP” or custom SMTP option.
- Prefer a direct API or OAuth integration: WP Mail SMTP describes direct integrations as recommended because official provider APIs avoid storing provider passwords in the WordPress database. Complete the provider’s authorization flow and grant only the requested mail permissions.
- Use custom SMTP when necessary: Enter the provider’s exact host, port, encryption mode, authentication setting, username and password. Use STARTTLS/TLS when the provider specifies it, or SSL on the provider’s supported SSL port. Do not substitute values from another service.
- Protect the credential: If SMTP is unavoidable, place the password in protected configuration such as
wp-config.phpwhen the plugin supports that method. Restrict access to administrators who need it. - Save and send a test: Use the plugin’s test-email tool, then inspect both the plugin log and the recipient mailbox. A green success message only confirms that the submission step completed.
Set the sender and Reply-To correctly
Set the visible From address to a real mailbox on the authenticated sending domain. A nonexistent address or a domain that does not match the service’s authorization can cause authentication failure, spam placement or bounces. For example, if the service is authorized to send for yourdomain.example, use a mailbox at that domain rather than an unrelated consumer address.

Use Reply-To deliberately. The From address identifies the authenticated sending identity; Reply-To controls where a reader’s response goes. Set Reply-To to the address that should receive replies, but do not use Reply-To to disguise an unauthorized From domain. If a plugin offers a “force From” setting, enable it only when you understand how it affects contact forms, order notices and other plugins that set their own sender.

Choose SMTP, API or OAuth with the right trade-off
The best option depends on the mailbox you already use, how much setup you can maintain and whether you need provider-level delivery controls. API and OAuth connections usually reduce password exposure. Traditional SMTP is widely compatible and straightforward when the provider gives stable credentials. Domain authentication is required whichever transport you select.
| Option | Connection method | Setup and sender considerations | Operational features |
|---|---|---|---|
| Gmail or Google Workspace | Provider OAuth/API or SMTP, according to the account and plugin integration | Use an authorized mailbox and complete the provider’s current authorization requirements. Keep the From address aligned with the account or delegated sending identity. | Convenient for a site already using the mailbox, but verify account policies, quotas and domain authentication before relying on it for site-wide mail. |
| Microsoft 365 | OAuth/modern authentication or authenticated SMTP client submission | Requires a licensed mailbox for client submission and SMTP AUTH enabled for that mailbox. A different From mailbox requires Send As permission. | Client submission is simple for a mailbox-based site; connector-based SMTP relay offers higher limits but needs more infrastructure. |
| Amazon SES | Provider API or SMTP credentials | Follow the service’s current identity-verification and DNS instructions. Align the verified domain with the From address. | Designed for application delivery; exact limits and pricing depend on the current account and region and are not stated here. |
| SendGrid | Provider API or SMTP relay | Use a verified sender or domain and the service’s current authentication settings. | Offers provider-side delivery controls; current plan limits and costs are not stated here. |
| Mailgun | Provider API or SMTP | Authenticate the sending domain and use the provider’s supplied host, port and credentials. | Useful when you want provider logs and bounce handling; current plan limits and costs are not stated here. |
| Postmark | Provider API or SMTP | Verify the sending domain and configure the integration supplied for your server or message stream. | Emphasizes transactional delivery and event visibility; current plan limits and costs are not stated here. |
| Brevo | Provider API or SMTP | Use a verified sender and the provider’s exact DNS and authentication values. | Can consolidate transactional mail with other messaging features; current plan limits and costs are not stated here. |
| SMTP2GO | Provider SMTP or API options offered by the service | Authenticate the sending domain and use the provider’s documented connection values. | Useful when you need a conventional SMTP relay with provider monitoring; current plan limits and costs are not stated here. |
Do not choose solely by a published sending quota. Compare setup complexity, API/OAuth availability, DNS work, sender alignment, logs and alerts, backup capability, compatibility with your existing mailbox and the provider’s current pricing. The exact limits and prices change by account, region and plan, so confirm them in the provider’s current documentation.
Microsoft 365: exact client-submission requirements
Microsoft documents a specific configuration for SMTP client submission. Use it when the WordPress site should send through a Microsoft 365 mailbox rather than through a separate relay.

- SMTP host:
smtp.office365.com - Port: 587 is recommended; port 25 is also documented when it is unblocked on the network.
- Encryption: TLS 1.2 or TLS 1.3.
- Mailbox: A licensed Microsoft 365 mailbox.
- Authentication: SMTP AUTH must be enabled for that mailbox. OAuth/modern authentication is recommended.
- Sender permissions: If the visible From mailbox differs from the mailbox used to sign in, the sign-in account needs Send As permission for that address.
- In your SMTP plugin, select the Microsoft 365 integration if it is available, then complete the OAuth authorization flow. This is preferable to storing a mailbox password.
- If the plugin requires custom SMTP, enter
smtp.office365.com, port 587, TLS/STARTTLS and the licensed mailbox credentials, subject to your organization’s authentication policy. - Ask a Microsoft 365 administrator to confirm that SMTP AUTH is enabled for the specific mailbox and not blocked by a tenant-wide policy.
- Set the WordPress From address to the authenticated mailbox unless Send As permission has been granted for another mailbox.
- Send tests to multiple providers and inspect the message headers for the expected Microsoft 365 authentication results.
Microsoft 365 SMTP relay is a different architecture. It uses a connector plus a certificate or static public IP and port 25. Relay has higher limits than client submission but requires more infrastructure and network administration. Use it only when the site needs relay behavior and you can maintain the connector, IP or certificate. Do not enter relay settings in a client-submission configuration.
Publish SPF, DKIM and DMARC
Transport authentication proves that WordPress authenticated to a service; DNS authentication helps recipient servers decide whether that service is authorized to send for your domain. WordPress identifies the three records this way:
- SPF: A DNS record listing the senders authorized to send mail for the domain.
- DKIM: A cryptographic signature that receiving servers verify against a public key published in DNS.
- DMARC: A policy and alignment layer that tells receiving servers what to do when SPF or DKIM does not align with the visible From domain.
- In the provider’s sending-domain setup, add the domain you will use in the From address.
- Copy the provider’s exact SPF include or mechanism into the domain’s existing SPF record. Keep one SPF record for the domain; merging values incorrectly can invalidate it.
- Publish the DKIM selector and public key exactly as supplied. A selector is part of the DNS name, so preserve its spelling and punctuation.
- Add a DMARC record using the provider’s current guidance and choose a policy appropriate for your rollout. Start with reporting or a monitoring posture if you are still discovering legitimate senders, then tighten the policy after you have reviewed reports.
- Allow DNS propagation, then use the provider’s verification control and inspect a received message’s authentication results.
Never invent SPF, DKIM or DMARC values. Providers change hostnames, selectors and include domains, and copying a record from another service can authorize the wrong sender or break an existing record. If several systems send mail for the same domain, include every legitimate system without creating duplicate SPF records. Keep the visible From domain aligned with the domain authenticated by DKIM or SPF so DMARC can pass.
Test delivery instead of trusting a success message
Use a repeatable test that checks submission, authentication and inbox placement separately.

- Send a plain test message from the plugin’s test tool to a mailbox at the same provider as the sender.
- Send the same message to a different major mailbox provider. Record whether it arrives in the inbox, spam folder, quarantine or nowhere.
- Open the raw headers and check the provider’s Authentication-Results line for SPF, DKIM and DMARC outcomes. Confirm that the visible From domain is the one you intended.
- Open the SMTP plugin’s email log or provider dashboard. Record the timestamp, recipient, response, message ID and any bounce or rejection reason.
- Trigger a real WordPress message, such as a password reset or form notification, because a test tool may use a different code path from another plugin.
- Reply to the message and confirm that Reply-To goes to the intended mailbox.
- Repeat after DNS changes, credential rotation, plugin updates or provider changes.
Keep logs long enough to investigate failures, but restrict who can view them: logs can contain recipient addresses, subjects and message content. Enable failure alerts so an expired credential or provider outage is noticed before users report missing mail.

Configure fallback without creating new failures
Post SMTP documents backup or fallback connections that can keep WordPress mail moving when a primary mailer fails. A fallback is useful only when it is fully configured. Its credentials must be valid, its sending domain must have the required SPF and DKIM authorization, and its From address must be permitted by that service.
- Use a fallback with a different failure domain, such as a separate provider or independent account, rather than two credentials that depend on the same outage.
- Define which errors trigger failover. A temporary connection timeout may justify a retry; a rejected sender or invalid DNS record should be fixed rather than silently routed elsewhere.
- Watch for duplicate delivery when the primary accepted a message but the connection dropped before WordPress received the response.
- Test the fallback deliberately in a maintenance window and document how to disable it.
Security and maintenance checklist
- Use TLS or the provider’s OAuth/API integration; never send a mailbox password over an unencrypted connection.
- Store secrets in protected configuration or the provider’s authorization system, not in theme files, screenshots, tickets or public repositories.
- Limit WordPress administrator access to the mail settings and logs.
- Rotate SMTP passwords or API keys when an administrator leaves, a repository is exposed or a support export may contain credentials.
- Keep the plugin, WordPress core and PHP version maintained so mail libraries receive security fixes.
- Review SPF, DKIM and DMARC whenever you add or remove a sending service.
- Monitor bounces, complaint signals, authentication failures and sudden volume changes.
- Do not use a personal mailbox as a catch-all for automated mail if the provider’s policy or limits are unsuitable.
Troubleshoot by symptom
wp_mail() returns true, but no message arrives
Check the plugin log and provider dashboard first. The return value confirms local acceptance, not recipient delivery. Verify the recipient address, spam and quarantine folders, the provider response, and the raw headers of any delivered copy. If there is no provider log entry, WordPress is still using another mail path or the plugin is not active for that message. If the provider accepted the message, investigate DNS authentication, content filtering and the recipient’s policy rather than repeatedly changing the WordPress code.
The connection times out
Confirm the host and port supplied by the provider, then test whether the hosting network allows outbound traffic on that port. Port 25 is frequently blocked; use the provider’s authenticated submission port, normally 587, when supported. Check firewall rules, DNS resolution and whether a security plugin or host policy blocks outbound connections.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Authentication fails
Re-enter the username exactly as the provider requires and verify that the credential has not expired. For OAuth, revoke and repeat authorization. For Microsoft 365 client submission, confirm that the mailbox is licensed and SMTP AUTH is enabled for that mailbox. Do not “fix” an authentication error by disabling TLS or switching to plaintext.
The From address is rejected
Use a real mailbox on the authenticated domain. With Microsoft 365, a different From mailbox requires Send As permission. With other providers, complete sender or domain verification and use the exact address or domain the service permits. Check that a form or ecommerce plugin is not overwriting the configured From value.

Messages land in spam
Inspect SPF, DKIM and DMARC results in the headers and verify alignment with the visible From domain. Confirm that the provider’s current DNS records are published without typos or duplicate SPF records. Review the provider’s bounce and reputation information, avoid sudden unexplained volume increases, and remove invalid recipients. Changing the subject line alone will not repair a missing DKIM signature or an unauthorized sender.
Some WordPress messages use the old settings
Check for plugins or custom code that bypasses the normal mail path, calls a separate API, or replaces wp_mail(). Send a password-reset test, a form notification and any other important notification separately. If you use the phpmailer_init hook directly, review that code for hard-coded credentials, conflicting encryption settings and a From address that differs from the plugin configuration.
Recommended Free Tools
Fallback sends duplicates or also fails
Review the primary provider’s delivery log before retrying. A network interruption can occur after acceptance, so an automatic retry may create a duplicate. Confirm that the fallback has its own valid credentials, DNS authorization and sender permission. Disable failover temporarily while correcting a shared DNS or sender-alignment problem.
When direct code is appropriate
Developers can configure PHPMailer through the phpmailer_init hook instead of installing a plugin. This can reduce dashboard surface area and fit a controlled deployment, but it transfers responsibility for credential storage, encryption, updates, logging, retries and compatibility to your code. Use protected configuration for secrets, document the provider values, and implement an auditable test and failure path. Do not paste credentials into a theme, commit them to version control or assume that a working socket proves recipient delivery.
For most site owners, a maintained plugin with an official API/OAuth integration is easier to operate because it exposes test tools, logs and provider-specific settings. Direct code is justified when your team already manages deployment secrets and monitoring and can maintain the mail path through plugin, WordPress and provider changes.
Quick Recap
A practical go-live checklist
- Confirm the sending mailbox exists and the domain is under your control.
- Select a host relay, SMTP provider or API based on mailbox compatibility, authentication, logs, limits and failover needs.
- Install and update a maintained SMTP plugin, or review a secure
phpmailer_initimplementation. - Configure the provider’s exact host, port, TLS mode and authentication method, or complete OAuth/API authorization.
- Set an aligned From address and an intentional Reply-To address.
- Publish the provider’s SPF, DKIM and DMARC records and wait for verification.
- Send tests to multiple mailbox providers and inspect headers, logs and bounce behavior.
- Trigger every important WordPress message type, not just the plugin’s test email.
- Enable failure alerts and document credential rotation and recovery steps.
- Re-test after DNS, plugin, WordPress, mailbox or provider changes.
