In a Teams meeting, select Share (or Share content) and choose your presentation under PowerPoint Live. If it is not listed, choose Browse OneDrive or Browse my computer. PowerPoint Live displays the slides to attendees while keeping your notes, participant video, chat, reactions, and raised hands available in the presenter view. When the deck is already open, PowerPoint for Windows or Mac has a Present in Teams command, and PowerPoint for the web uses Share content > Present in Teams.
For most eligible decks, PowerPoint Live is preferable to screen sharing because attendees can use accessibility and navigation tools without changing your view, and you do not expose unrelated desktop activity. The procedure below covers setup, presenting, co-presenting, attendee controls, privacy, troubleshooting, recordings, and fallback methods.

What is the best way to share PowerPoint in a Teams meeting?
Use PowerPoint Live whenever the file is a .pptx or .ppsx presentation and your organization allows the feature. Teams loads the deck as presentation content rather than broadcasting your entire desktop. You can read speaker notes, monitor participants, chat and reactions, and mark up slides from the same presenter view.
Screen or window sharing remains useful when PowerPoint Live is unavailable, when you need to show unsupported content, or when a live demonstration must be visible exactly as it appears on your computer. It requires more care because notifications and other desktop activity can be exposed.

What should I check before the meeting?
Finish editing and let the file synchronize before you join. Microsoft recommends starting PowerPoint Live a few minutes early so the deck can preload. Confirm these compatibility points first:
| Check | Supported or required condition | What happens otherwise |
|---|---|---|
| PowerPoint file type | .pptx and .ppsx |
.ppt, .pps, .odp, and .pot are not supported by PowerPoint Live. |
| File size | Up to 2 GB, according to the current Microsoft Support limit | A larger file may not load through PowerPoint Live; use a smaller copy or another sharing method. |
| Meeting size | Up to 1,000 attendees, according to the current Microsoft Support limit | PowerPoint Live may not be available for a meeting that exceeds the supported audience size. |
| Account and policy | Your tenant must permit PowerPoint sharing, and you must be an eligible presenter | An administrator policy or anonymous status can prevent the option from appearing. |
| Teams on the web | Microsoft lists Edge 18 or later or Chrome 65 or later for presenter view | Use a supported browser or the desktop client if presenter controls are missing. |
PowerPoint Live is not supported in Teams live events or with CVI/VTC devices. Anonymous users cannot present through it. External and guest participants inherit the organizer’s meeting policy, so an organizer may need to change the per-user PowerPoint Live meeting policy before the meeting.

How do I share PowerPoint slides in Teams step by step?
- Open the meeting. Join the Teams meeting and wait until you are connected to audio and video.
- Open sharing controls. Select Share or Share content in the meeting toolbar.
- Choose PowerPoint Live. Select the presentation from the recent files shown under PowerPoint Live.
- Browse when necessary. Select Browse OneDrive for a cloud file or Browse my computer for a local file. If the local deck has not been uploaded to Teams, Teams uploads it as part of starting the presentation.
- Wait for the deck to load. Starting a few minutes early gives slides time to preload and reduces delays when you begin speaking.
- Present from the presenter view. Use the slide arrows, thumbnail strip, or Grid view to move through the deck. Your notes and meeting controls stay available beside the slide.
- Stop when finished. Select the meeting’s stop-sharing control. This ends the presentation but does not necessarily end the meeting.
If the file changed after you started sharing, use Present the latest version to load the updated copy. This is safer than silently editing a file while attendees are viewing an older version.
How can I present from PowerPoint instead of starting in Teams?
When the deck is already open, use PowerPoint’s Teams integration. In PowerPoint for Windows or Mac, choose Present in Teams. In PowerPoint for the web, choose Share content > Present in Teams. Teams opens the meeting presentation with PowerPoint Live controls, so you can use the same notes and audience features as when you start from the Teams toolbar.
Make sure the file has finished saving or synchronizing before launching the presentation. Presenting an unsynchronized copy can leave attendees looking at an older version or cause the wrong file to be uploaded.
How do I see my speaker notes while presenting?
PowerPoint Live’s presenter view places your notes next to the active slide while attendees receive the slide presentation. It also keeps participant video, chat, reactions, and raised hands visible, allowing you to respond without switching to a separate window.

On a small screen, presenter view may be hidden. Select More options > Show presenter view. Use the thumbnail strip or Grid view to jump to a slide, and use the laser pointer, pen, highlighter, and eraser when you need to direct attention or annotate temporarily.
These controls affect your presentation view; they do not give attendees access to your private notes. Arrange the Teams window so that the notes pane is readable before you begin, particularly when presenting from a laptop display.
Can attendees move through the slides independently?
Yes, if you allow participant navigation. Attendees can move forward or backward without changing the slide you are presenting, then select Sync to presenter to return to the live position. They can also open hyperlinks, translate slides, switch to high contrast, and zoom or pan their own view.
To keep everyone on the same slide, use the participant-navigation control or enable Private view to turn off independent navigation. This is useful for timed explanations, quizzes, or demonstrations where seeing a later slide would spoil the sequence.
How do I let someone else advance the slides?
Teams can give slide control to up to 20 people so they can navigate the deck for everyone. Start the presentation from Teams desktop, then use the presentation controls to assign slide control to the required participants. Tell each co-presenter when to take over and revoke control when the section ends.
- Slide control must be started from the Teams desktop client.
- Teams Rooms and mobile presentations cannot start slide control.
- Mac users can receive slide control but cannot start it.
- Assign control only to people who need it; a controller can change the live slide for the whole audience.
If a co-presenter cannot use the control, have the original presenter advance the deck or share the presentation handoff verbally. Do not rely on a last-minute transfer from a mobile device or Teams Room.

Where is a PowerPoint file uploaded when I browse for it?
Teams stores a browsed file according to the meeting context:
| Meeting type | Upload location | Permission effect |
|---|---|---|
| Channel meeting | The channel’s Files tab | The file becomes available to meeting participants through the channel’s normal access model. |
| Private meeting | The presenter’s OneDrive | The file is made available to participants for the meeting. |
Presenting a file does not change participants’ permissions outside the meeting. A person who can view the presentation in the meeting does not automatically gain broader access to your OneDrive or other files.
Why can’t I see PowerPoint Live in Teams?
Missing PowerPoint Live usually indicates a file, account, client, or meeting restriction rather than a problem with the slide deck itself. Check the causes in this order:
The file uses an unsupported format
Convert older .ppt, .pps, .odp, or .pot files to .pptx or .ppsx, save the converted copy, and try again. Verify that the file is the copy you intended to present.
The file is too large
The current Microsoft Support page lists 2 GB as the maximum PowerPoint file size. Reduce embedded media or split an exceptionally large deck before the meeting.
The meeting type is unsupported
PowerPoint Live does not work in Teams live events or through CVI/VTC devices. Join a standard Teams meeting from the desktop client when you need the full presenter experience.

You are anonymous or subject to an organizational policy
Anonymous users cannot present through PowerPoint Live. A tenant administrator can also disable PowerPoint sharing with the per-user PowerPoint Live meeting policy. External and guest presenters inherit the organizer’s policy, so ask the organizer or administrator to verify it.
Your browser or client lacks presenter support
For Teams on the web, Microsoft lists Edge 18 or later and Chrome 65 or later for presenter view. Update the browser or switch to the Teams desktop app if the notes and presenter controls do not load.
The meeting has reached a supported limit
Microsoft lists support for a maximum of 1,000 attendees. A meeting beyond that limit may require a different event or sharing approach.
What should I use if PowerPoint Live is unavailable?
Open the Teams Share control and choose a single PowerPoint window or the entire screen. Sharing a window limits exposure to that application; sharing the whole screen is more flexible but can reveal notifications, private messages, or unrelated files.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minute- Close or minimize anything confidential.
- Turn on your operating system’s Do not Disturb mode before sharing the screen.
- Select Share, then choose the PowerPoint window or screen.
- Run the slide show in PowerPoint and present normally.
- Stop sharing before opening other applications.
Mobile Teams offers Share PowerPoint, Share screen, Share photo, and Share video. Mobile presentations do not provide every desktop presenter and co-presenting feature, so use a computer when notes, slide control, or advanced presenter modes are important.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How do Teams presenter modes change the layout?
Teams provides Standout, Side-by-side, and Reporter presenter modes. These place your video and the shared material together in different layouts instead of showing a plain slide feed.

Interactive presenter modes are desktop-only. People attending from mobile or the web see the shared content and presenter video separately, so check the audience’s likely devices before basing an explanation on a particular layout.
How does PowerPoint Live compare with screen sharing?
| Consideration | PowerPoint Live | Window or screen sharing |
|---|---|---|
| Presenter notes and meeting context | Notes, participants, chat, reactions, and raised hands remain in presenter view. | You must manage PowerPoint and meeting windows yourself; notes may require a second display. |
| Audience controls | Attendees can navigate, translate, use high contrast, zoom, and pan when allowed. | Attendees see the broadcast view and normally cannot control slide navigation independently. |
| Compatibility | Requires an eligible file, supported meeting type, presenter account, and tenant policy. | Works for many applications and unsupported file types, subject to Teams sharing permissions. |
| Privacy | Only the selected presentation is delivered; a browsed file is uploaded to the meeting’s designated storage location. | Screen sharing can expose notifications and other desktop activity. |
| Recording fidelity | Recordings omit PowerPoint Live videos, animations, and annotation marks. | The recorded shared screen generally shows what was visible in the shared window or screen, although recording behavior depends on the meeting setup. |
| Co-presenting | Supports slide control for up to 20 people when started from Teams desktop. | Uses normal Teams presenter or screen-control handoffs rather than PowerPoint Live slide control. |
| Network use | Microsoft describes PowerPoint Live as using significantly less network bandwidth than typical sharing. | Broadcasting a window or full screen can use more bandwidth, especially with motion or video. |
Choose PowerPoint Live for a conventional deck with notes and attendee interaction. Choose window sharing for an unsupported file or a live application demonstration, and choose full-screen sharing only when the audience must see several applications or the entire desktop.
What does a Teams recording capture?
Meeting recordings do not capture videos, animations, or annotation marks from a PowerPoint Live session. If those elements carry essential information, provide attendees with the original deck or explain that the recording will not reproduce them. Consider using window or screen sharing when the exact animated output must appear in the recording, and verify the result with a short test meeting.
What is a reliable pre-presentation checklist?
- Save the final deck as
.pptxor.ppsxand let it finish synchronizing. - Confirm the file is below the supported 2 GB limit.
- Join a few minutes early and preload the deck through PowerPoint Live.
- Check that presenter view, notes, participant video, and chat are visible.
- Decide whether attendees should have independent navigation.
- Assign slide control in advance if another presenter will advance the deck.
- Use a supported Teams desktop client or browser and verify that the meeting policy permits presenting.
- Enable Do not Disturb if you may need to share a window or full screen.
- Tell attendees if recording will omit PowerPoint Live video, animation, or annotations.
- Keep a PDF or screen-sharing fallback ready for an unsupported file or client failure.
Frequently Asked Questions
Can I share a PowerPoint file without giving attendees access to my other files?
Yes. PowerPoint Live presents the selected deck rather than your entire file system. A file browsed into a channel or private meeting is stored in the meeting’s designated location, but presenting it does not grant participants general access to your other OneDrive or channel files.
Will hyperlinks inside my PowerPoint work in Teams?
Attendees can open hyperlinks from the PowerPoint Live view when the presenter allows normal interaction. Test links that require sign-in, an internal network, or a particular browser before the meeting because access still depends on each attendee’s permissions and environment.
Can I use PowerPoint Live with a Teams Room?
A Teams Room can display a shared presentation, but it cannot start PowerPoint Live slide control. If you need another person to control slides for everyone, start the PowerPoint Live session from the Teams desktop client and assign control there.

They may be using independent navigation, which lets each person move through the deck privately. Ask them to select Sync to presenter, or disable participant navigation with the presenter control when everyone must remain on the live slide.
Does PowerPoint Live work for a live event or an anonymous guest?
No. PowerPoint Live is not supported in Teams live events, and anonymous users cannot present through it. Use an eligible authenticated presenter in a standard Teams meeting or switch to the event’s supported sharing workflow.
