You can sign a PDF without printing it by using a visible electronic signature in Acrobat Reader, Preview on a Mac, or a hosted e-signature link from a service such as DocuSign or Acrobat Sign. Acrobat Reader lets you type, draw, or insert an image of your signature; Preview can capture one with a Mac trackpad, camera, iPhone, or iPad. If the recipient requires a certificate-based digital signature, use Acrobat’s Digital ID workflow instead. The correct method depends on whether the PDF has fillable fields, whether other people must sign, and whether the recipient requires identity validation or an audit trail.
What kind of PDF did you receive?
Identify the document before choosing a signing method. A fillable form, a flat PDF, a scanned page, and a secured file behave differently.

Flat or scanned PDF
A flat PDF has no interactive fields, and a scan is usually an image of paper. Use Acrobat Reader’s Fill & Sign or Preview’s markup tools to place text boxes and a signature. The visible mark becomes part of the saved PDF, but it is not the same as a certificate-based digital signature.

Locked, view-only, or password-protected PDF

How do I sign a PDF in Acrobat Reader?
Acrobat Reader’s Fill & Sign tool works on Windows, macOS, and mobile versions that provide the feature. It supports a typed signature, a hand-drawn mark, or an image of a handwritten signature.
Recommended Free Tools
- Open the PDF in Acrobat Reader rather than a limited browser viewer.
- Select the Sign icon, or choose Tools > Fill & Sign.
- Choose Fill and Sign, click each form field, and enter the required text.
- Select Sign, then choose Add signature or Add initials.
- Choose one method: Type creates a rendered name, Draw lets you draw with a mouse, touch surface, or stylus, and Image inserts a prepared signature image.
- Select Apply, click the signature location, and place it over the intended line or field.
- Drag the handles to resize it and drag the mark to reposition it while it is still selected.
- Complete any remaining fields, then save a final copy with a new filename so the unsigned original remains available.
Acrobat describes the purpose this way: “You can sign a document to attest to its contents or approve the document.” A typed, drawn, or image signature is a visible electronic signature. It does not by itself add the identity certificate and validation data used by a digital signature.
Choosing between Type, Draw, and Image
- Type: fastest when the recipient only needs a visible name.
- Draw: useful when you want a handwritten appearance and have a mouse, trackpad, touchscreen, or stylus.
- Image: useful when you already have a clean scan or photograph of your signature. Treat that image as sensitive because anyone who obtains it may be able to reuse the visible mark.
How do I sign a PDF on a Mac with Preview?
Preview includes a Sign tool in its Markup toolbar. You can create a signature with the Mac trackpad, the Mac camera, or a nearby iPhone or iPad, then place and resize it in the PDF.
- Open the PDF in Preview.
- Choose View > Show Markup Toolbar if the toolbar is hidden.
- Select the Sign button.
- Choose how to create the signature: use the trackpad, hold a signed sheet in front of the Mac camera, or select a nearby iPhone or iPad.
- On an iPhone or iPad, sign with a finger or Apple Pencil when prompted, then accept the result on the Mac.
- Select the saved signature thumbnail and click in the PDF where it belongs.
- Drag the signature into position and use its handles to resize it without covering nearby text.
- Fill other fields with Preview’s text and markup tools, then save the completed file.
Preview can use iCloud Drive to make saved signatures available on other Macs signed in to the same Apple account. If you need to change a mark, select it before saving and move or resize it. In some mobile workflows, flattening or saving the file can make later edits unavailable, so verify placement first.

How do I sign a PDF someone emailed me?
First determine whether the email contains an ordinary attachment or a hosted agreement link. A hosted request gives you a guided recipient flow; an attachment requires you to open the file in a signing application.
DocuSign email request
- Open the message and choose Review Document.
- Follow the yellow Start tag to move through required fields.
- Complete text, date, checkbox, and other requested fields.
- Select the signature field, create or select your signature, and apply it.
- Choose Finish when every required field is complete.
The sender controls which fields appear and whether additional information is required. Keep the completion confirmation or downloaded copy according to your organization’s record-retention rules.
Acrobat Sign email request
- Open the email link, or open the agreement in Acrobat when the message directs you there.
- Fill the requested fields in the order shown.
- Select the signature field and complete the signing prompt.
- Submit or finish the agreement using the final control in the guided flow.
Adobe says an Acrobat Sign recipient can sign an agreement in a browser without an Acrobat subscription. You therefore do not need to install Acrobat merely to complete a hosted request, although the sender may impose other identity or access requirements.
When do I need a certificate-based digital signature?
Use a certificate-based signature when the recipient explicitly requires a Digital ID, certificate validation, or a document that is locked after signing. This workflow is different from placing a visible typed, drawn, or image signature.
- In Acrobat, open All tools > Use a certificate > Digitally sign.
- Draw a rectangle where the digital signature appearance should appear.
- Select an existing Digital ID, or choose the option to create one.
- Review the identity details shown for the Digital ID.
- Enter the Digital ID password when prompted.
- Select Sign and save the signed PDF.
- Use Lock document after signing when the recipient wants further changes prevented.
A Digital ID adds certificate and validation information that a visible electronic signature does not. After applying it, avoid editing, rearranging pages, or replacing form data: any post-signing change can affect validation or make the signature appear invalid.

What is the difference between an electronic signature and a digital signature?
“Electronic signature” describes the visible act of signing electronically. “Digital signature” usually means a certificate-backed signature that can be validated and can reveal later changes.
| Method | Where it works | Best fit | Identity or audit features | Digital ID |
|---|---|---|---|---|
| Acrobat Reader Fill & Sign | Windows, macOS, and supported mobile versions | Fillable, flat, or scanned PDFs that need text and a visible signature | Local placement; no hosted recipient workflow is added | No |
| Preview Sign | Mac, with signature capture from a trackpad, camera, iPhone, or iPad | Personal or local signing on macOS | Local placement; no provider audit trail is added | No |
| DocuSign hosted request | Browser flow opened from an email | A sender-defined agreement with guided recipient fields | The request supplies a guided completion flow | Not required for the standard visible signing flow |
| Acrobat Sign hosted request | Browser or Acrobat agreement link | Agreements sent to recipients who need a guided process | Recipient fields and completion are controlled by the sender; a subscription is not required for the recipient to sign in a browser | Not required for the standard visible signing flow |
| Acrobat certificate signature | Acrobat | Documents requiring a Digital ID, validation data, or a lock after signing | Certificate validation can show whether the signed file changed | Yes |
How should I sign a PDF when several people must complete it?
Ask the sender whether the file is part of a hosted signing workflow. DocuSign and Acrobat Sign requests present each recipient with the fields assigned by the sender and guide the signing sequence. If everyone is simply editing the same attachment, agree on who signs first and keep a clearly named final copy; local Fill & Sign and Preview do not create a recipient-management process.
When the sender supplies a signing link
Use the link rather than downloading and editing the attachment. The hosted page can identify required fields, prevent you from overlooking a recipient-specific field, and return the completed agreement to the sender’s system.
When the sender supplies only a PDF attachment
Confirm whether a visible signature is acceptable and whether each signer should add a separate mark. If the document is secured or has no editable fields, request a signable copy before anyone signs.

How do I make a scanned handwritten signature accessible?
A scanned handwritten signature is an image, not selectable text. The U.S. Section 508 guidance says a printed-and-scanned signature should be marked as a figure with equivalent alternative text, and PDF forms should support keyboard users, logical tab order, and clear instructions.

- Provide alternative text that communicates the image’s purpose, such as that it is a signature and whose signature it represents when that information is appropriate.
- Keep the signature image near the associated name, date, or signature instruction so the relationship is understandable without sight.
- Check that a keyboard user can move through every field in a logical order.
- Do not rely on handwriting alone for required instructions; label fields with actual text.
- Ask the document owner to remediate the PDF if the form cannot be completed with a keyboard or assistive technology.
The Section 508 program states: “Electronic signature software allows a document to be signed with a legal signature.” That statement does not decide whether a particular signature method satisfies every jurisdiction, contract, or agency rule; the recipient’s requirements control.
What should I check before saving a signed PDF?
Review the completed document while the signature is still movable. A short inspection prevents the most common placement and omission errors.
- Confirm that the signer name, date, initials, and required checkboxes are present.
- Make sure the signature is on the intended page and does not obscure a field or clause.
- Check that text is legible at normal zoom and that the signature is not accidentally selected or highlighted.
- Save a new final filename so the unsigned source remains unchanged.
- Open the saved copy again and verify that the signature and entered text remain visible.
- If a certificate-based signature was used, do not edit the file after saving it.
What should I do if signing does not work?
The Sign or Fill & Sign tool is missing
Open the file in Acrobat Reader or Preview instead of a limited browser viewer. Browser viewers may display a PDF without exposing the application’s signing controls.
Fields do not accept typing
If the PDF is flat, add a text box with Fill & Sign in Acrobat or use Preview’s text markup. If neither application allows changes, the file may be secured; request an editable copy or hosted signing link.
The signature is in the wrong place
Select the mark before saving, then drag or resize it. After a mobile workflow flattens or saves the file, later movement may no longer be possible.

The document is locked or view-only
Ask the sender for an unlocked copy or the intended signing workflow. Do not attempt to remove or bypass permissions.
The recipient says the signature is invalid
Ask exactly what is required: a certificate-based Digital ID, a particular hosted provider, or an unmodified final copy. Re-sign using that specified workflow instead of repeatedly adding visible marks to the rejected file.
Is a typed or drawn signature legally sufficient?
There is no universal answer for every country, agency, contract, or document type. A typed, drawn, or image signature can satisfy a recipient that accepts a visible electronic signature, while another recipient may require a certificate, a hosted audit trail, identity verification, or a particular signing provider. Confirm the requirement with the organization requesting the PDF before you sign.
Can I sign a PDF without printing it?
Yes. Use Acrobat Reader Fill & Sign, Preview on macOS, or the browser flow supplied by a hosted signing request. Printing and scanning is only one possible route and produces an image-based signature that may need accessibility remediation.
Frequently Asked Questions
Can I sign an ordinary PDF in a web browser without installing software?
Only when the sender provides a hosted signing request, such as an Acrobat Sign agreement, that opens in a browser. A normal PDF attachment may show in a browser but still require Acrobat Reader, Preview, or another editor to place a signature.
How can I tell whether the sender wants a digital certificate instead of a visible signature?
Look for terms such as “Digital ID,” “certificate,” “certificate validation,” or “lock the document after signing.” If those terms appear, ask the sender which certificate authority or identity format they accept before applying a visible signature.

Can I reuse a signature captured in Preview on another Mac?
Preview can make saved signatures available on other Macs through iCloud Drive when they use the same Apple account. Treat synchronized signatures as sensitive and remove or protect them on devices that other people can access.
