Google Meet lets you start an instant call, create a reusable meeting link, or schedule an invitation in Google Calendar. To use it reliably, open Meet or a Google app, allow microphone and camera access at every required permission level, check your devices in the pre-join screen, and use the bottom controls for audio, video, chat, captions, participants, and presenting. Calendar is the clearest option for planned meetings because it puts the Meet link, guests, notifications, and any dial-in details in one event. Joining works from a link, code, Calendar, Gmail, Chat, a phone number, or a compatible room device. Features such as recording, participant capacity, transcripts, attendance reports, and moderation depend on your Google Workspace edition and administrator settings.

What do I need before using Google Meet?

You need a supported browser or the Meet app, a stable internet connection, and a microphone. A camera is optional for joining, but required for video. You do not need a Google Account to request entry to every meeting; the organizer or an admitted participant must let you in.

Basic equipment and access

  • A computer with a working microphone and, if needed, camera; or a phone or tablet with the Meet app.
  • A current browser, preferably updated before an important call.
  • Permission for Meet, your browser, and the operating system to use the microphone and camera.
  • Headphones or a headset with a microphone when speakers could feed back into the microphone.
  • A network that can sustain two-way audio and video. Wired Ethernet or 5 GHz Wi-Fi is often more consistent than a congested wireless connection.

Account and plan considerations

Anyone with the meeting link can attempt to join, but a host can restrict access and must admit many people who are not signed in. Workspace administrators can enable or disable recording, streaming, transcription, attendance reporting, screen-sharing quality, and automatic meeting artifacts. Your edition therefore determines which controls appear.

How do I start an instant Google Meet or create a reusable link?

Use Meet when you want to talk now or send a link for a later conversation without creating a calendar event.

  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
  1. Go to meet.google.com and select New meeting.
  2. Choose Start an instant meeting to enter immediately, or Create a meeting for later to generate a link you can copy.
  3. Send the copied link through your normal invitation channel. Tell recipients whether they should sign in or use a name and request admission.
  4. On the pre-join screen, select the microphone and camera you intend to use, check the preview, and mute or disable video before entering if necessary.
  5. Select Join now. People who arrive later use the same link until the meeting is no longer available.

Gmail and Google Chat also provide Meet launch points. These are convenient for an immediate call, while Calendar is better when you need a guest list, reminders, or a permanent event record.

How do I schedule a Google Meet in Calendar?

Create a Calendar event, add guests, attach Google Meet video conferencing, save it, and decide whether to send notifications. The event then contains the joining link and, for eligible Workspace users, a dial-in number.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open Google Calendar and create a new event.
  2. Add a title, date, time, and the people who should receive the invitation.
  3. Select Add Google Meet video conferencing (the label can appear as an option to add conferencing).
  4. Review the generated Meet link and any available phone dial-in information.
  5. Select Save. When prompted, choose whether to send invitations or updates to guests.

Google Workspace Essentials users cannot schedule a meeting in Calendar, so they should start a meeting in Meet and share its link instead. Calendar availability and some conferencing controls also vary by organization policy.

When should I use a recurring event?

Use a recurring Calendar event for regular classes, team check-ins, or game sessions. Meet retains the access settings established for the first meeting in the series, so set the intended access policy before the first occurrence rather than assuming each occurrence starts with a fresh policy.

How do I join a Google Meet?

Open the invitation link and select Join now, or enter a meeting code or Workspace nickname at meet.google.com. A Calendar invitation uses Join with Google Meet. You can also join through Gmail or Chat, by phone when a dial-in number is provided, or from a compatible meeting-room device.

Join from a link

  1. Open the link in your browser or the Meet app.
  2. Check your microphone and camera in the pre-join screen.
  3. Select Join now. If the meeting is restricted, wait for the host or an admitted participant to let you in.

Join with a code or nickname

  1. Go to meet.google.com.
  2. Enter the meeting code or Workspace nickname.
  3. Select Join, then complete the pre-join checks.

Join without a Google Account

Enter your name and select Ask to join. Google Meet Help states that a person without a Google Account can join only after the organizer or a participant admits them. The host may keep the request pending or deny it, so arrive early if admission is required.

How do I fix microphone and camera permissions before joining?

Permission has three layers: Meet, the browser, and the device operating system. Allowing only one layer can still leave you inaudible or without video.

Microphone checklist

  1. In the pre-join screen, select the microphone icon and choose the intended input device.
  2. When the browser asks for access, choose Allow for Meet.
  3. Open the browser’s site-permission controls and confirm that microphone access is not blocked for Meet.
  4. Check the operating system’s privacy settings and allow the browser or Meet app to use the microphone.
  5. Make sure a hardware mute switch, headset button, or keyboard mute key is not engaged.

Camera checklist

  1. Confirm the camera is connected, powered on, pointed at you, and not covered by a physical privacy shutter.
  2. In the pre-join screen, choose the correct camera and verify the preview.
  3. Allow camera access in Meet, the browser, and the operating system.
  4. Close other applications that may have claimed the camera, then reopen or refresh Meet.
  5. Test the camera in the device’s built-in camera application. If it fails there too, the problem is outside Meet.

These checks reflect Google Meet’s microphone and camera guidance. Restarting an updated browser after changing permissions can clear a stale permission state.

What do the Google Meet controls do?

The bottom control bar contains the everyday meeting actions. The exact arrangement can change with window size or device, but the functions remain recognizable.

  • Microphone: mute or unmute your audio and open the device selector.
  • Camera: turn video on or off and choose a camera.
  • Captions: show live captions when the feature is available to your account and meeting.
  • Chat: send text to participants, subject to host or administrator policy.
  • People: view participants and, when permitted, manage admission or remove a participant.
  • Activities: open available collaborative activities.
  • More options or Meeting tools: reach features such as recording when your edition and role allow them.
  • Leave call: exit the meeting. A host may see additional options for ending the call or managing people.

How do host controls work?

Hosts can open Host controls and choose an access mode such as Open, Trusted, or Restricted, depending on the account. They can control who enters, whether participants can share their screens, and which moderation features are available. If a control is missing, the Workspace administrator may have disabled it or the edition may not include it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do I share my screen, a window, or a tab?

Select Present now, then choose A tab, A window, or Your entire screen. Google Meet Help confirms that all three presentation targets are supported.

  1. Select Present now in the meeting controls.
  2. Choose the scope that matches what you want others to see.
  3. For a browser tab, select the tab and confirm sharing. Chrome shares that tab’s audio by default.
  4. For a window or the entire screen, enable the system-audio option in the selection dialog if you need to transmit sound.
  5. Stop presenting from the Meet control bar when finished.

Which presentation option should I choose?

  • A tab: best for a video, browser game, or web page when its audio must be heard. It limits viewers to that tab.
  • A window: useful for a single application while keeping unrelated windows private. Select system audio when available if the application sound must be shared.
  • Your entire screen: useful for switching among applications, but it exposes notifications and other windows. Close private material and enable system audio when needed.

Do not present the same Meet window you are using. Share the other tab or window instead; otherwise participants can see a recursive mirror of the meeting.

How do I record a Google Meet?

Recording is available only when the host, account type, Workspace edition, and administrator policy permit it. When eligible, open Meeting tools and choose the recording control. Participants see a notice when recording starts and when it stops.

  1. Join as the organizer or another role authorized to record.
  2. Open Meeting tools and select the recording option.
  3. Confirm the start action. Meet displays a recording notification to participants.
  4. Stop the recording from the same tools menu, or leave the meeting and allow Meet to stop it.
  5. Wait for processing. The organizer’s Google Drive receives the file in a Google Meet folder, and a link is typically associated with the Calendar event or sent to the organizer.

A recording can include the active speaker and presented content, with captions optionally included. Meet automatically stops a recording after eight hours, even if the call continues. If the recording command is absent, a participant cannot enable it locally; the host or administrator must provide the required permission and edition.

How many people can join, and how long can a meeting last?

Google Workspace Help’s 2026 edition comparison lists a 24-hour maximum meeting length and different participant capacities for business editions. Actual availability can also be constrained by the host’s account, organization policy, and meeting type.

Workspace edition Participant capacity listed by Google Workspace Help (2026) Recording saved to Drive What to verify
Business Starter 100 participants Not stated in the cited comparison Check the host’s permissions and administrator settings.
Business Standard 150 participants Not stated in the cited comparison Check whether recording, transcripts, attendance, and moderation are enabled.
Business Plus 500 participants Listed for Business Plus Recording still depends on host eligibility and administrator policy.

The 24-hour figure is a maximum published by Google Workspace Help in 2026, not a promise that every meeting will remain stable for that long. Capacity figures are edition limits, not a recommendation to invite that many people without testing audio, video, and moderation needs.

Which advanced features can an administrator control?

Workspace administrators can switch several Meet capabilities on or off for an organization, group, or organizational unit. The host may therefore see fewer options than another user on the same edition.

  • Recording and where resulting files are stored.
  • Live streaming and who can view a stream.
  • Transcription and automatic meeting artifacts.
  • Attendance reporting.
  • Screen-sharing quality and whether participants can present.
  • Noise-cancellation availability and related processing.
  • Admission and moderation policies.

When a feature is missing, ask the administrator which policy applies before changing browsers or reinstalling the app. A local troubleshooting step cannot restore a capability intentionally disabled at the Workspace level.

Why can nobody hear me on Google Meet?

Silent audio is usually caused by a blocked permission, the wrong input device, or a physical mute. Work through the layers in order rather than changing several settings at once.

  1. Look at the Meet microphone icon and unmute if it is crossed out.
  2. Open the device selector and choose the microphone built into the intended headset, webcam, or computer.
  3. Speak and watch for the input meter to react.
  4. Check the browser’s Meet permission and the operating system’s microphone privacy setting.
  5. Inspect a headset’s inline mute button and the computer’s hardware mute key.
  6. Close and reopen the browser after correcting permissions; install pending browser updates.

If the meter never moves after these checks, test the microphone in another application. That separates a Meet configuration problem from a failed cable, adapter, or device.

Why is my camera black or unavailable?

A black preview generally means the camera is blocked, claimed by another app, covered, or denied permission.

  • Open the physical privacy shutter and check that the camera is pointed toward you.
  • Quit other video-call, recording, or camera applications.
  • Choose the correct camera in Meet’s pre-join device menu.
  • Allow camera access for Meet, the browser, and the operating system.
  • Test the built-in camera app. If that app also shows a black image, inspect the device, cable, driver, or hardware switch.

Refresh Meet only after checking the physical and permission causes; refreshing cannot make a disconnected or covered camera produce video.

How do I stop echo and improve call quality?

Use a headset with a microphone, reduce speaker volume, and mute whenever you are not speaking. These measures address the acoustic feedback that occurs when a computer’s speakers are picked up by its microphone.

Echo and feedback

  • Put on headphones or a headset with its microphone close to your mouth.
  • Lower speaker volume if you must use speakers.
  • Move a second device out of the room or leave its microphone and speakers muted.
  • Mute while typing, playing a game, or handling noisy equipment.

Choppy video or delayed audio

  1. Open Meet’s Troubleshooting & help panel and review its network indicators.
  2. Check bandwidth and latency on the current connection.
  3. Move to 5 GHz Wi-Fi or connect by wired Ethernet where practical.
  4. Close unnecessary browser tabs, game launchers, uploads, and other applications competing for CPU or network capacity.
  5. Test without a VPN, firewall, or security product only when your organization’s policy allows it; those tools can interfere with real-time traffic.

Quality can change during a call as network congestion changes. A wired connection and fewer competing processes improve consistency but cannot overcome an outage or a restrictive corporate network.

What should I do if screen sharing fails?

First verify that the host and Workspace administrator allow participant presenting. On macOS, also grant the browser or Meet app permission to record the screen in system privacy settings.

  1. Ask the host whether participants are allowed to present.
  2. Choose a tab, window, or screen again from Present now.
  3. On macOS, open the operating system’s Privacy & Security settings and enable the required screen-recording permission for the browser or app.
  4. Close and reopen the browser or app after changing that permission.
  5. Try sharing a single tab or window instead of the entire screen to reduce permission and performance issues.

If the option is disabled for everyone, the restriction is likely administrative rather than a fault with your computer.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do I run a well-controlled Google Meet?

Set access and presentation rules before guests arrive, then use the host controls during the call.

Before the meeting

  • Create the Calendar event when you need a dependable guest list and reminders.
  • Choose the access mode that fits the audience: open access for a low-friction group, trusted access for known members, or restricted access for a tightly controlled session.
  • Check the edition and administrator policy if you need recording, attendance, transcripts, streaming, or a high participant count.
  • Open the pre-join preview early enough to test the selected microphone and camera.

During the meeting

  • Admit only expected guests when requests appear.
  • Keep participants muted while someone is presenting, then invite questions through chat or the microphone.
  • Share a tab for media with sound, a window for one application, or the full screen only when switching between applications is necessary.
  • Use captions when participants need text support and when the feature is enabled for the meeting.
  • Start recording only after confirming that the control is available and participants have received the Meet notification.

After the meeting

Stop presenting and recording explicitly, then verify that any recording has finished processing in the organizer’s Google Drive. For recurring meetings, review the first event’s access policy before the next session rather than assuming a later occurrence has different permissions.

Frequently Asked Questions

Can I use Google Meet for a phone-only participant?

Yes. When the Calendar event or invitation includes a dial-in number, a participant can call by telephone instead of using browser audio and video. The available number and dialing details depend on the organizer’s Workspace configuration and region.

Why is the recording file not visible immediately?

Meet must process the recording after capture ends, so it may not appear instantly. The organizer’s Google Drive is the destination, in a Google Meet folder; check there after processing rather than assuming the recording failed.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can a participant present if the host cannot see Present now?

Only if host and administrator policies permit participant screen sharing. A missing or disabled presentation control can therefore reflect meeting moderation settings, not a browser defect.

Does changing a browser fix every Meet audio problem?

No. Browser updates and restarts help with stale permissions, but a muted headset, an operating-system privacy block, a disconnected microphone, or another application using the device requires a separate fix.
