To use Whiteboard in a Microsoft Teams meeting, select Share in the meeting controls, choose Microsoft Whiteboard, then start a new board or select an existing one. On a phone or tablet, open More options and choose Share Whiteboard. The board opens inside the meeting so participants can work on the canvas without switching to a separate screen-sharing session. Microsoft says attendees from your organization can collaborate by default, while external participation depends on tenant settings and the storage configuration enabled by your administrator.

This guide explains the desktop, web, and mobile paths; how to reuse boards; how to add Whiteboard to a chat or channel; what participants can do; and what to check when a control or board is missing.

What is Whiteboard in Microsoft Teams, and where can I use it?

Microsoft Whiteboard is a shared digital canvas for sketches, diagrams, notes, planning, and other visual work. Teams can open it directly during a meeting, and Whiteboard is also available from chats and channels. The service supports mouse and keyboard input, touch, and a digital pen; Microsoft gives Surface Pen as an example for compatible Surface devices. See Microsoft’s getting-started guide for the broader access options.

In a meeting, the canvas is a collaborative workspace rather than a video feed or a static image. Participants can add or edit content with the Whiteboard tools available in their client. Desktop and web attendees can use the meeting Whiteboard experience described in Microsoft’s Teams meeting guide. Mobile attendees have a separate control path and a more compact tool layout.

How do I share Whiteboard in a Teams meeting on desktop or the web?

Use the meeting’s share tray. You do not need to leave the call or share your entire desktop.

  1. Join or start the Teams meeting. Wait until the meeting controls are visible.
  2. Select Share. This opens the meeting share tray.
  3. Choose Microsoft Whiteboard. Teams opens the Whiteboard picker.
  4. Choose the board. Select Start a new whiteboard for a blank canvas, or select an existing board from the list.
  5. Begin the activity. Once the board is shared, use the Whiteboard toolbar to write, draw, add notes, or arrange ideas while participants follow along.

Microsoft’s official instruction is to create a new Whiteboard or open an existing one directly in a Teams meeting, with no need to switch applications or share your screen. The exact labels and available controls can vary with your Teams client and your organization’s settings; the core path is documented in Share a whiteboard in Microsoft Teams.

What if Teams already has a board associated with the meeting?

Teams may select the meeting’s associated Whiteboard automatically. If you need a different canvas, use the Home control in the Whiteboard picker to return to your board list, then open another existing board or create a new one. This is useful when a recurring project has several canvases for separate agendas, design stages, or workstreams.

How should I prepare an existing Whiteboard before the meeting?

Prepare the canvas before participants arrive, then open that board from the meeting picker. This lets you place headings, frame an agenda, or add an initial diagram in advance instead of building the structure while people wait.

A practical preparation sequence

  1. Open Whiteboard outside the meeting and create or locate the board for the project.
  2. Add a clear title and divide the canvas into areas such as Open questions, Ideas, Decisions, and Next actions.
  3. Remove obsolete notes and check that text is readable at normal zoom.
  4. Join the Teams meeting and select Share > Microsoft Whiteboard.
  5. Pick the prepared board instead of starting a blank one.

After the meeting, the same board can be revisited for follow-up work. Microsoft lists opening existing boards in Teams meetings as a supported workflow, so a facilitator can maintain one canvas across a continuing project rather than creating a disconnected board for every call. The feature overview is covered in What’s new in Microsoft Whiteboard.

Who can edit a Whiteboard in a Teams meeting?

Microsoft’s meeting guidance says attendees from the user’s organization can collaborate by default. In practice, that means people in the same Microsoft 365 organization can normally add and change content when the board is shared in the meeting.

Apple EarPods Headphones with USB-C Plug, Wired Ear Buds with Built-in Remote to Control Music, Phone Calls, and Volume
  • SUPERIOR COMFORT — Unlike traditional circular ear buds, the design of EarPods is defined by the geometry of the ear. Which makes them more comfortable for more people than any other ear bud–style headphones.
  • HIGH-QUALITY AUDIO — The speakers inside EarPods have been engineered to maximize sound output and minimize sound loss, which means you get high-quality audio.
  • BUILT-IN REMOTE — EarPods with USB-C plug also include a built-in remote that lets you adjust the volume, control the playback of music and video, and answer or end calls with a pinch of the cord.
  • COMPATIBILITY — Works with all devices that have a USB-C port.
  • INTEGRATED MICROPHONE — A built-in microphone precisely captures your voice while you’re on the phone, taking a FaceTime call, or summoning Siri — so you’re always heard loud and clear.

External access is more conditional. Microsoft’s collaboration documentation distinguishes edit and read-only permissions for invited users, while its newer Whiteboard information describes real-time collaboration with external organizations in Teams meetings when Whiteboard has moved to OneDrive for Business storage and an administrator has enabled the relevant settings. These are different sharing contexts, so do not assume that every guest, anonymous participant, or federated user can edit every board.

What to verify before inviting external participants

  • Confirm that your administrator allows external collaboration for Whiteboard and Teams.
  • Check whether the board is stored in the organization’s OneDrive for Business environment as required for the enabled collaboration experience.
  • Decide whether guests need editing rights or only a view of the canvas.
  • Give participants an alternate way to capture decisions if policy prevents them from editing.

For permission behavior and invitation-specific sharing, consult Microsoft’s Get started with Whiteboard collaboration. If an outside participant sees a blank view, a read-only board, or no board at all, the restriction is more likely to be an account or tenant policy than a drawing-tool problem.

How do participants work together on the canvas?

Once Whiteboard is shared, participants can use the available canvas controls to contribute at the same time. Collaborative cursors show where other people are working when that option is enabled, helping a group avoid editing the same area accidentally.

Useful meeting roles

  • Facilitator: keeps the board organized, explains the activity, and moves between sections.
  • Contributors: add handwriting, typed text, notes, or sketches in the areas assigned to them.
  • Observers: follow the canvas and call out questions when they do not need to edit directly.

For a workshop, place one prompt in each section and ask participants to add responses in parallel. For a technical discussion, use a simple flow from problem to options to decision, then reserve a clearly labeled area for actions and owners. The board works best when the facilitator states which tool to use and where each contribution belongs before the group starts editing.

How do I use Whiteboard in Teams on a phone or tablet?

The mobile route is different from the desktop and web share tray. Join the meeting, open More options, and select Share Whiteboard. Microsoft documents this flow in Use Whiteboard in Teams meetings on Mobile.

  1. Join the Teams meeting on your phone or tablet.
  2. Tap More options in the meeting controls.
  3. Tap Share Whiteboard.
  4. Use the Whiteboard tools to contribute. Tap the pen to draw, sketch, or write; use Note or Text when typing is easier.
  5. When finished, stop sharing from the Whiteboard banner or from More options.

The board shared from mobile is also available in Whiteboard apps on Windows, iOS, and the web, so switching devices does not require recreating the canvas. A phone is convenient for reviewing or adding short notes, but a larger display or a pen-enabled tablet is generally easier for detailed diagrams and handwriting.

How do I add Whiteboard to a Teams chat or channel?

Use a chat or channel when the work needs to continue outside a single meeting. Microsoft’s getting-started instructions say Whiteboard can be added from the plus control at the top of a Teams chat or channel.

  1. Open the relevant Teams chat or channel.
  2. Select the + control at the top of the conversation.
  3. Choose Whiteboard from the available apps or tabs.
  4. Create a board or open the board associated with that conversation, then confirm the tab.

A channel tab is useful for a team roadmap, sprint planning area, or project diagram that should remain visible to the whole channel. A chat board is better for a smaller group working through a specific question. Access still follows the permissions and sharing policies applied by your organization, so adding a tab does not automatically grant edit rights to every person who can see the conversation.

How do I export a Whiteboard or change its canvas settings?

Open the Whiteboard Settings menu by selecting the gear icon. Microsoft lists image export, background changes, collaborative cursors, and inked-shape enhancement among the available settings in the Whiteboard Settings menu documentation.

Export a snapshot for records

  1. Select the gear icon to open Settings.
  2. Choose the option to export the board as an image.
  3. Save the image where your team stores meeting records, or attach it to the relevant conversation.

An image is a useful read-only record for minutes or a handoff, but it is not a substitute for the live board when you expect later edits. Keep the original Whiteboard available for follow-up and export a snapshot when recipients need a fixed version.

Adjust the canvas for a live workshop

  • Change the background when a different color or pattern improves contrast.
  • Enable collaborative cursors when several contributors are editing simultaneously.
  • Use inked-shape enhancement when hand-drawn lines and shapes need to look cleaner.

What is the difference between using Whiteboard in a meeting and in a chat or channel?

The canvas tools are related, but the starting point and the purpose differ. Choose the location that matches how long the work will live.

Use case How to open it Best fit Important consideration
Teams meeting on desktop or web Share > Microsoft Whiteboard Live workshops, planning, diagrams, and group decisions Choose a new or existing board from the picker; organization attendees can generally collaborate by default.
Teams meeting on mobile More options > Share Whiteboard Joining or contributing from a phone or tablet Use the pen for drawing or Note/Text for typed input; stop sharing from the banner or menu.
Teams chat Select the + control at the top of the chat and add Whiteboard Small-group work that continues between meetings Membership and tenant policies determine who can view or edit.
Teams channel Select the + control at the top of the channel and add Whiteboard Persistent team plans, project canvases, and shared reference material Keep the board organized because it may remain visible to the entire channel.

What should I do if Whiteboard is missing or a participant cannot edit?

Missing controls usually point to the client version, account, meeting context, or tenant policy. Work through the checks below before assuming the board is deleted.

If Microsoft Whiteboard does not appear under Share

  • Confirm that you are in an active Teams meeting and have opened the meeting share tray, not the operating system’s screen-sharing menu.
  • Update or restart the Teams desktop or mobile client, then rejoin the meeting.
  • Try the web client to determine whether the issue is specific to the installed app.
  • Ask your administrator whether Whiteboard is enabled for your account and region.

Microsoft’s general Whiteboard pages do not provide a complete feature-parity or licensing matrix for every Teams client. If the button is absent after these checks, compare the client and tenant settings with your organization’s support guidance rather than relying on a menu shown in another version.

If an existing board is not listed

  • Use Home in the picker to refresh the board location and browse again.
  • Check that you are signed in with the account that owns or was invited to the board.
  • Ask the board owner to confirm your permission level.
  • For an external participant, verify that cross-organization collaboration is enabled.

If someone can view but not edit

Read-only access may be intentional. Confirm the invitation permissions and whether the meeting includes an external organization. An administrator can also restrict editing even when the participant can open the meeting or channel.

If mobile controls differ from the instructions

Look under More options while you are inside the meeting, not on the pre-join screen. Mobile labels and layout can change with app updates, so install the current Teams app and check Microsoft’s mobile instructions if Share Whiteboard is not shown.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Support on Ko-Fi

Which input method should I use for Whiteboard?

Choose the input method based on the work rather than the device brand. A mouse and keyboard are practical for typed labels and precise selection, touch is convenient for moving around the canvas, and a compatible digital pen is usually fastest for handwriting or free-form sketches. Microsoft documents all three interaction types in its Whiteboard overview.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Mouse and keyboard: use for agendas, typed notes, and structured diagrams.
  • Touch: use for panning, zooming, and quick manipulation on a touchscreen.
  • Pen: use for handwriting, arrows, rough sketches, and annotation during discussion.

A compatible Surface Pen can be an optional accessory on a supported Surface device, but compatibility depends on the particular hardware model. Check the device manufacturer’s specifications before buying a pen.

How can I run a productive Whiteboard activity in Teams?

Whiteboard becomes easier to follow when the canvas has a defined job. State the prompt aloud, assign a location for responses, and set a time limit before everyone starts editing.

Five-minute idea collection

  1. Create one frame titled with the question the group must answer.
  2. Ask each participant to add one typed note per idea.
  3. Group similar notes without deleting the original wording.
  4. Discuss the clusters and mark the options that need a decision.
  5. Record the chosen option and its owner in a separate action area.

Decision mapping

  1. Place the problem statement at the left side of the canvas.
  2. Add possible approaches in separate columns.
  3. Use connectors or arrows to show dependencies and risks.
  4. Reserve a final column for the decision, rationale, and next step.

These layouts are not special Whiteboard modes; they are simple ways to make a large canvas legible during a live call. Export the finished board as an image when a fixed record is needed, while retaining the original for later edits.

What should I know about board access after the meeting?

A board opened from a meeting can remain available through Whiteboard, Teams, or the associated chat or channel, depending on how it was created and shared. The person who owns the board and the organization’s sharing policy determine who can reopen it and whether they can edit it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For sensitive project material, review membership before distributing a board link or exported image. An image export can be forwarded independently of the live board’s permissions, so treat exported files as copies that need the same information-handling care as meeting notes.

Frequently Asked Questions

Can I use Whiteboard in Teams without sharing my whole screen?

Yes. In a desktop or web meeting, choose Share and then Microsoft Whiteboard; Teams presents the canvas as the shared meeting content. Other windows and notifications on your desktop are not exposed through that Whiteboard share action.

Where is a Whiteboard saved after a Teams meeting ends?

Its availability depends on how the board was created, where it was added, and the permissions applied by your organization. Reopen Whiteboard or the related Teams chat or channel with the same account, and ask the owner or administrator to check sharing if the board is not visible.

Can a guest edit a Teams Whiteboard?

Possibly, but guest editing is not universal. External real-time collaboration requires the organization’s enabled Whiteboard and OneDrive for Business settings; otherwise a guest may receive read-only access or no board access.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do I keep a copy of a Whiteboard for meeting minutes?

Open the board’s gear icon, choose the image export option, and save the resulting file with your meeting records. Keep in mind that an exported image is a snapshot and will not receive later edits made to the live Whiteboard.
