Mail Server Setup Best Practices for a Linux VPS

A production-ready VPS mail server requires more than Postfix: establish matching forward and reverse DNS, add Dovecot, trusted TLS, authenticated submission, SPF, DKIM and DMARC, then test queues and monitor reputation.

A reliable mail server on a Linux VPS is not just Postfix. You need a stable public identity, forward and reverse DNS, Postfix for SMTP, Dovecot for mailbox access, trusted TLS, authenticated submission, SPF, DKIM, DMARC, firewall rules, and continuous monitoring. Miss one layer and messages can be rejected, relayed by attackers, or delivered to spam.

The safest build order is to establish the VPS and DNS identity first, install Postfix and Dovecot, secure TLS and authentication, publish sender policies, test every mail path, and then monitor reputation and queues. The steps below use Debian or Ubuntu-style commands; package names and file locations differ slightly on Red Hat-based systems.

What a complete VPS mail stack contains

Mail delivery is a chain of separately controlled systems. Treating it as one package makes troubleshooting difficult, because a failure in DNS can look like a Postfix failure and a reputation problem can look like a TLS problem.

  • VPS and network identity: a stable public IP, a hostname, provider permission to use mail ports, and reverse DNS (PTR) control.
  • DNS: A and, when genuinely configured, AAAA records for the mail host; a matching PTR record; SPF, DKIM and DMARC records for sender authentication.
  • SMTP transport: Postfix accepts mail from other servers on port 25 and submits outbound mail.
  • Mailbox access: Dovecot provides IMAP (and optionally POP3) access and can receive local delivery from Postfix through LMTP.
  • TLS: a trusted certificate and private key used by both Postfix and Dovecot.
  • Authentication and policy: SMTP AUTH for users, relay restrictions, least-privilege accounts and a firewall that exposes only required services.
  • Operations: logs, queue inspection, backups, updates, DMARC reports and reputation monitoring.

Postfix’s TLS documentation makes the dependency explicit: modern TLS operation requires a certificate and private key. Its documentation notes that operating without certificates would require disabling TLS 1.3, which is not an acceptable production posture.

Prerequisites to confirm before installing anything

Resolve these requirements with the VPS provider and your DNS host first. Changing them after you have sent mail can damage reputation and create long-lived delivery failures.

Requirement What to confirm Why it matters
Static public IP The address is stable and dedicated to your VPS Recipients associate the IP with your sending reputation.
Mail-port access Outbound and inbound port 25 are permitted; port 587 is available for submission; port 465 can be enabled when required Port 25 carries server-to-server SMTP, while authenticated users should submit through a separate service.
DNS control You can create A/AAAA, MX, TXT and DKIM records Authentication and routing cannot be completed without authoritative DNS access.
Reverse DNS control The provider lets you set a PTR record for the public IP Google requires the sending IP to have a PTR that resolves to a hostname.
Hostname A dedicated name such as mail.example.com The hostname is used by SMTP greetings, TLS certificates and reputation systems.
Trusted certificate A certificate covering the mail hostname and its private key Clients and recipient servers can validate encrypted connections.

Do not publish an AAAA record merely because the VPS has an IPv6 address. If IPv6 is advertised, it must have working routing, firewall rules, forward DNS and matching reverse DNS. Otherwise a recipient may choose IPv6 and see a failure that never occurs over IPv4.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose the operating model before deployment

A single VPS can host a complete mail system, but it concentrates delivery, storage and reputation risk. Decide which trade-off fits your workload.

Decision Self-managed choice Alternative Main trade-off
Outbound delivery Send directly from Postfix to recipient MX servers Use an authenticated relay Direct delivery gives infrastructure control; a relay can reduce reputation and queue-management work.
Software packaging Distribution-native Postfix and Dovecot packages Containerized mail suite Native packages integrate with OS updates; containers can improve isolation and automation but add orchestration work.
Topology One VPS for SMTP, IMAP and storage Separate inbound, outbound and mailbox roles One server is less expensive and simpler; separated roles improve fault isolation and scaling.
Privacy and control Operate the complete stack yourself Hosted mailbox or relay service Self-management retains control but makes you responsible for security, abuse handling and deliverability.

For a small domain, a single hardened VPS with a separate authenticated submission service is a reasonable starting point. Plan a migration path if storage, domains, users or outbound volume grows.

Step 1: establish the server identity and DNS

Set the canonical hostname

Use a fully qualified name, not a short host label. On a Debian or Ubuntu VPS:

sudo hostnamectl set-hostname mail.example.com
hostname --fqdn

The second command should return exactly mail.example.com. Keep the same name in the VPS control panel, the Postfix myhostname setting and the TLS certificate.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Create forward and reverse records

Create an A record such as mail.example.com → 203.0.113.10 using your real public address. Create an MX record for the domain that points to the mail host, for example example.com MX 10 mail.example.com. If IPv6 is fully operational, add a matching AAAA record.

Ask the VPS provider to set the PTR for the public address to mail.example.com. Verify both directions from an external resolver:

dig +short A mail.example.com
dig +short MX example.com
dig +short -x 203.0.113.10

The A result must contain the sending IP, and the reverse lookup must return the same hostname used in the SMTP greeting. Google explicitly requires a PTR record for the public sending IP and checks forward and reverse DNS consistency.

Step 2: harden the Linux VPS

Apply OS updates before installing mail software, create an administrator account with sudo access, and disable routine direct root login. Use SSH keys, keep time synchronized, and enable unattended security updates where your distribution supports them.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Allow SSH only from the networks that need administrative access, if practical.
  • Use a dedicated service account for any DKIM signer or monitoring process; do not run signing utilities as root.
  • Protect private keys and configuration files with restrictive ownership and permissions.
  • Set a backup policy that covers mailbox data, Postfix and Dovecot configuration, DKIM keys, DNS zone data and restore instructions.
  • Record the VPS IP, hostname, provider contact and abuse-reporting procedure so you can respond quickly to compromise.

Step 3: install Postfix and Dovecot

On Debian or Ubuntu, install the distribution packages and select the system’s normal Internet-site configuration when the Postfix installer asks for a mail type:

sudo apt update
sudo apt install postfix dovecot-imapd dovecot-pop3d

Use the equivalent packages and service-management commands on a Red Hat-based distribution. Distribution packages receive security updates through the normal OS process, but configuration defaults vary by release; inspect the generated files rather than replacing them wholesale.

Define Postfix’s identity and relay policy

In /etc/postfix/main.cf, establish the identity and local-delivery boundaries. A minimal baseline looks like this:

myhostname = mail.example.com
mydomain = example.com
myorigin = $mydomain
inet_interfaces = all
mydestination = $myhostname, localhost.$mydomain, localhost, $mydomain
mynetworks = 127.0.0.0/8 [::1]/128
smtpd_relay_restrictions = permit_mynetworks, permit_sasl_authenticated, reject_unauth_destination

Replace the domain and hostname with yours. Never add an entire VPS provider network, the public internet or an untrusted application subnet to mynetworks. The reject_unauth_destination rule is the critical protection against open relay behavior: Postfix should accept unauthenticated mail for domains it serves, but it must not relay arbitrary destinations for strangers.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Step 4: configure Dovecot and local delivery

Dovecot supplies IMAP access and authenticates mailbox users. Choose a mailbox format and keep it consistent; Maildir is a common choice for local users:

mail_location = maildir:~/Maildir
protocols = imap

Enable POP3 only if a specific client requires it. IMAP over TLS on port 993 is the normal secure access method. Create mailbox users with the least privilege they need and verify that their home directories are not writable by unrelated accounts.

Use a protected Postfix-to-Dovecot delivery channel

LMTP avoids exposing a second public delivery service. Enable the Dovecot LMTP protocol and create a Unix socket inside Postfix’s private directory:

service lmtp {
  unix_listener /var/spool/postfix/private/dovecot-lmtp {
    mode = 0600
    user = postfix
    group = postfix
  }
}

Then point Postfix’s local delivery transport at that socket:

mailbox_transport = lmtp:unix:private/dovecot-lmtp

Exact file names differ between Dovecot releases. Validate the resulting configuration with the distribution’s configuration-test command before restarting either service. Red Hat’s mail-server guidance emphasizes reducing the network exposure of Dovecot deployments; a local socket is preferable to an unnecessary publicly reachable delivery port.

Step 5: enable TLS everywhere it is appropriate

Obtain a publicly trusted certificate for mail.example.com from an automated certificate authority or your organization’s PKI. Install the full certificate chain and private key with permissions that allow Postfix and Dovecot to read them without making the key world-readable. Configure automated renewal and a controlled reload after renewal.

Postfix’s server-side settings should identify the chain and key, enable TLS logging, and require encryption for authenticated submission. A typical baseline is:

smtpd_tls_cert_file = /etc/ssl/mail/fullchain.pem
smtpd_tls_key_file = /etc/ssl/mail/privkey.pem
smtpd_tls_security_level = may
smtpd_tls_auth_only = yes
smtp_tls_security_level = may
smtpd_tls_loglevel = 1

The exact certificate paths are examples; use the paths created by your certificate process. may allows opportunistic encryption for server-to-server SMTP, while authenticated users should not be allowed to submit credentials until TLS is active. Ubuntu’s Postfix documentation covers these security-level, hostname and certificate-chain settings.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Configure Dovecot’s ssl_cert and ssl_key to use the same certificate and key, then disable plaintext authentication on unencrypted connections. Test a renewal in a staging or test account before relying on unattended renewal in production.

Step 6: separate public SMTP from authenticated submission

Keep port 25 for server-to-server SMTP. Enable a submission service on port 587, and enable port 465 only if your clients or policy require implicit TLS. On submission, require TLS and SMTP AUTH, then relay only for authenticated users.

  • Port 25: public SMTP reception and outbound server-to-server delivery; do not offer unrestricted user relay.
  • Port 587: authenticated submission for mail clients and applications, protected by STARTTLS.
  • Port 465: authenticated implicit-TLS submission when needed by a client; it is not a replacement for port 25 reception.
  • Port 993: encrypted IMAP access for mailbox users.

In Postfix’s submission service configuration, enable SASL authentication through Dovecot, set smtpd_tls_auth_only = yes, and apply permit_sasl_authenticated before reject_unauth_destination. Test that an unauthenticated connection cannot send to an external recipient and that an authenticated account can send only within your abuse and rate-limit policy.

Step 7: publish SPF, DKIM and DMARC

SPF

Inventory every legitimate sender before writing the SPF record: your VPS, any application host and any authorized relay. A domain sent solely from the VPS might use:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
example.com TXT "v=spf1 mx -all"

Do not copy this record if other systems send mail for the domain; combine the authorized mechanisms into one SPF record. Multiple SPF TXT records cause evaluation errors.

DKIM

Deploy a DKIM signer integrated with Postfix and generate a key for each sending domain and selector. Publish the public key at a name such as selector1._domainkey.example.com. Google requires at least a 1,024-bit DKIM key for personal Gmail delivery and recommends 2,048 bits when the DNS and signing software support it. Protect the private key and rotate selectors without deleting the old public key until all in-flight mail has aged out.

DMARC and alignment

Start with reporting rather than immediate rejection while you discover legitimate senders:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
_dmarc.example.com TXT "v=DMARC1; p=none; rua=mailto:[email protected]; adkim=s; aspf=s"

Review aggregate reports, correct SPF or DKIM failures, and then move toward p=quarantine or p=reject when the results are understood. The visible From domain must align with the authenticated SPF or DKIM domain for DMARC to pass. Google recommends DMARC reporting and explains that direct mail must align the From domain with the SPF or DKIM domain.

Step 8: restrict the firewall and service exposure

Allow only the services you actually operate. A typical mail VPS exposes SSH, port 25 for SMTP, port 587 (and optionally 465) for submission, and port 993 for IMAP. Do not expose Dovecot’s internal LMTP socket or administrative databases to the internet.

Use the host firewall and, where available, the provider’s network firewall. Add connection-rate limits for authentication endpoints, monitor repeated failures, and block abusive sources carefully; broad automated blocks can accidentally prevent legitimate recipients or mobile users from connecting.

Step 9: test before accepting real users

Run tests from outside the VPS network and record the results. A successful local test is not evidence that a remote receiver will accept your mail.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. DNS: verify A, AAAA (if published), MX, PTR, SPF, DKIM and DMARC records from independent resolvers.
  2. TLS: connect to the submission and IMAP services, confirm the certificate name and chain, and verify that expired or mismatched certificates are rejected by clients.
  3. SMTP reception: send a message from an external account to a local mailbox and confirm the MX host accepts it.
  4. SMTP AUTH: submit over port 587 with a test account; confirm authentication fails without TLS and succeeds with valid credentials.
  5. Relay protection: attempt to send from an unauthenticated external connection to an unrelated destination. The server must reject the relay request.
  6. IMAP: log in over port 993, read the delivered message, send a reply and verify folder behavior.
  7. Outbound authentication: inspect the received message’s authentication results and confirm SPF, DKIM and DMARC alignment.
  8. Bounces: send to an intentionally invalid recipient in a controlled test domain and verify that the bounce is generated and logged.
  9. Queue behavior: stop a test route or use a temporary failure, observe a deferred queue entry, then restore service and confirm retry.

Use postfix check before reloads, inspect service status, and keep a copy of the relevant log lines for each test. Never delete a queue wholesale until you understand why messages are deferred.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Support on Ko-Fi

Step 10: monitor delivery, reputation and security

Compliance improves delivery prospects but cannot guarantee inbox placement. Google also considers reputation, complaints, message content and receiver-specific policies. Its current sender guidance requires SPF or DKIM, valid forward and reverse DNS, TLS and correctly formatted RFC 5322 messages for all senders, and calls for a spam rate below 0.3%. Senders that exceed 5,000 messages to Gmail in a 24-hour period must use SPF, DKIM and DMARC.

Track these signals continuously:

  • Postfix logs and queue: use journalctl -u postfix and postqueue -p to find deferred mail, repeated connection failures and unexpected destinations.
  • Dovecot logs: review authentication failures, unusual login locations, mailbox errors and storage exhaustion.
  • TLS: watch certificate expiry, renewal failures, handshake errors and unexpected protocol downgrades.
  • Authentication: inspect SPF, DKIM and DMARC results on representative messages and read aggregate DMARC reports.
  • Reputation: monitor blacklists, bounce rates, complaint rates and provider dashboards such as Gmail Postmaster Tools.
  • Abuse indicators: alert on sudden outbound-volume increases, unfamiliar authenticated users, repeated password failures and queue growth.

Set retention long enough to investigate incidents while respecting privacy and local law. Protect log access, synchronize clocks and forward critical events to an independent monitoring system so an attacker cannot erase all evidence from the VPS.

Common failure modes and the fastest diagnostic path

Mail is rejected before SMTP authentication

Check the sending IP’s PTR, the forward A record, the SMTP greeting and whether the provider has blocked port 25. A mismatch between the PTR hostname and the hostname announced by Postfix is a frequent cause of policy rejection.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Messages authenticate but arrive in spam

Inspect the recipient’s authentication-results headers, then verify SPF and DKIM alignment with the visible From domain. Review DMARC reports, complaint rates and recent volume changes. A technically valid message can still be filtered when the IP or domain has poor reputation; no configuration can promise inbox placement.

Users can read mail but cannot send

Confirm they are using port 587 or 465, TLS is active, SMTP AUTH is enabled on that service, and the client is not trying to authenticate on port 25. Check Dovecot’s authentication log and Postfix’s SASL errors together.

Local mail remains in the queue

Run postqueue -p, inspect the deferred reason in the Postfix log, and test DNS resolution from the VPS. If the issue is a temporary remote failure, allow retries; if it is a TLS, routing or policy error, correct the cause before flushing the queue.

IMAP login fails after a password change

Verify that Dovecot and Postfix use the same authentication database, that the account is not locked, and that the mailbox directory remains readable by the Dovecot service. Test a single account locally before changing global authentication settings.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Maintenance, recovery and growth

Schedule monthly review of OS updates, Postfix and Dovecot package versions, certificate renewal, firewall rules, mailbox storage and backup restore tests. Rotate DKIM selectors and credentials according to a documented schedule, preserving old public keys long enough for messages signed with them to expire.

Backups are useful only when restoration is tested. Restore a mailbox and its configuration to an isolated VPS, verify permissions, replay the DNS records in a test zone and confirm that the service can accept, authenticate, deliver and retrieve mail before declaring the backup valid.

As volume or availability requirements rise, separate inbound SMTP, outbound delivery, mailbox storage and monitoring roles. A relay can provide queue and reputation assistance, while a second mailbox node can reduce the impact of storage or filesystem failure. Preserve the same identity discipline—matching DNS, authenticated submission, TLS and DMARC alignment—during any migration.
