ManicTime is an automatic activity recorder, not just a start-and-stop timer. It runs in the background, records active and idle computer use, and lets you review that timeline, assign time to clients or projects, and generate reports. The free Windows edition is useful for personal tracking and basic review, but license-only features include auto-tagging, timesheets, untagged-time reports, advanced search, scheduled backups, password protection, and timer tools according to the Windows feature documentation. Official pages conflict about whether timesheet export is included free, so verify the current build before relying on that workflow. Paid choices are a one-time local Pro license, a Cloud subscription, and an organization-oriented self-hosted Server deployment.
What is ManicTime, and how is it different from a manual timer?
ManicTime builds a record of what happened on your computer first; you organize and report that record afterward. A manual timer asks you to remember to start and stop a task. ManicTime instead observes active and idle periods, application names, and window titles, then presents them on a timeline for review.

1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsOn Windows, its documentation says the client can also capture URLs and document activity when the application supports those details. That qualification matters: document-level information is not guaranteed in every program and may require an integration or plugin. A game editor, browser, office application, or development tool can therefore expose different levels of detail.
For a solo game developer, the workflow can separate engine work, art production, testing, meetings, and administration after the fact. A streamer or video editor can review how much computer time went into recording, editing, uploads, and unrelated activity. The software records activity; it does not decide whether a session was productive or billable.

How does ManicTime’s automatic tracking work?
The core process has three stages: capture, review and categorization, then reporting. The vendor describes reporting and billing workflows for individual users and broader team reporting, but those are product capabilities described by the vendor rather than independently tested results.
1. Capture activity in the background
The desktop client records active and idle computer usage. It associates activity with application names and window titles and, where supported, URLs or document information. Idle time appears separately, allowing you to distinguish an uninterrupted work session from a computer left running.
2. Review the timeline
After a session, inspect the timeline rather than trusting memory. Look for gaps, idle blocks, and applications that need a more useful project label. This review step is essential because automatic capture produces raw activity, not a finished timesheet.
3. Assign time to clients or projects
You can categorize recorded periods for clients, projects, or other work areas. A practical structure for game work might use separate categories for a named game, contract work, learning, and personal play. Keep labels consistent so later reports do not split one project into several near-duplicate names.
4. Produce reports
Reports turn categorized activity into totals and summaries. If you need invoices or client-facing timesheets, check which reporting and export functions your edition actually includes; the free-tier documentation conflict described below makes that a version-check item rather than a safe assumption.
What does the free Windows version include?
ManicTime has a free Windows edition that the official documentation says can be used in any setting. It is a sensible way to test whether automatic capture fits your habits before paying, but the free boundary is narrower than the basic “records activity” description suggests.

| Capability | Free Windows edition | What the documentation says |
|---|---|---|
| Background activity recording | Included | Core tracking of active and idle computer use, applications, and window titles. |
| Application, window, URL, and document detail | Supported with qualifications | URL and document capture depends on application support and may require integrations or plugins. |
| Auto-tagging | License-only | Listed among features requiring a license. |
| Timesheets | Documentation says license-only | The Windows feature list places timesheets behind a license. |
| Untagged-time reports | License-only | Listed as a licensed feature. |
| Stopwatch, Pomodoro, and timer functions | License-only | These manual-timing tools are listed among licensed features. |
| Advanced search | License-only | Listed as requiring a license. |
| Scheduled backups | License-only | Listed as requiring a license. |
| Password protection | License-only | Listed as requiring a license. |
The table reflects the Windows documentation, not a promise that every current installer has identical entitlements. Check the feature list shown for the build you install, especially if your workflow depends on timesheets, search, backups, or password protection.
Can the free version export timesheets?
There is no safe, universal yes or no in the current official material. ManicTime’s individual-user marketing page says the free version includes tagging and timesheet export, while the Windows documentation labels timesheets as a license-only feature.
Those statements may refer to different editions, builds, or meanings of “timesheet.” Before promising a client an export, install or open the current edition, inspect the available report and export commands, and confirm the result with the vendor if the option is absent. Treat export as unconfirmed for the free tier until that check is complete.
This distinction is important for freelancers and small studios: automatic recording can still help you reconstruct work, but reconstruction is not the same as having a supported, repeatable export process.
What paid ManicTime options are available?
Paid use divides into a local Pro license, a hosted Cloud subscription, and a self-hosted Server option described for organizations. The right choice depends on data location, the number of devices that need shared activity, and which reporting features you require.
| Option | Payment and deployment | Best fit | Important terms |
|---|---|---|---|
| Pro / on-premise license | One-time payment for a per-user license | Someone who wants local storage and a perpetual right to keep the purchased version | The purchase includes one year of support and upgrades. The version released during that year remains usable indefinitely; renewal is for newer upgrades. |
| Cloud Standard | Subscription | Users who want hosted synchronization across devices | The pricing page shows a 30-day trial and three devices. Displayed prices exclude tax, and the page’s search result did not clearly identify whether the shown $7 amount was monthly or annual billing. |
| Cloud Ultimate | Subscription | Users needing more device capacity and cloud screenshots | The pricing page describes five devices and cloud screenshots. Confirm current billing interval and regional price at checkout. |
| Server / self-hosted | Organization-managed infrastructure | Teams making a data-control and hosting decision | Exact configuration and entitlements should be checked against current vendor documentation. |
The Cloud pricing page provides monthly and annual billing controls, but the available listing does not establish a precise recurring interval for the displayed $7 figure. Do not budget from that number without checking the live price for your country, tax status, billing selector, and device count.

Which platforms and devices does ManicTime support?
Official pages list desktop options for Windows, macOS, and Linux. The Cloud pricing page also lists Android and iOS access among plan features. That does not mean every platform or mobile function belongs to every free or paid tier.
- Windows: The documented free edition and the most detailed feature list are Windows-specific.
- macOS and Linux: Desktop options are listed, but confirm feature parity and license requirements for the current release.
- Android and iOS: Mobile access is presented as a Cloud plan feature; do not infer inclusion in the free desktop edition.
If you move between a desktop, laptop, and phone, count the devices that must share data. A local Pro installation and a Cloud subscription solve different problems: one emphasizes local deployment, while the other is designed around hosted synchronization.

Good results come from a short review routine and clear categories, not from leaving the recorder untouched. Use this setup sequence for personal work or a small game project.
- Install the edition that matches your platform. Start with the free Windows client if you are evaluating the basic capture experience. For macOS, Linux, or mobile access, verify the current plan and platform terms first.
- Choose a tracking schedule. The product provides controls to define when tracking runs. Limit capture to work hours if recording outside those hours would create unnecessary personal data.
- Define projects before your first report. Create stable labels for each client, game, milestone, or internal task. Avoid changing the spelling of a project name midway through a billing period.
- Review active and idle blocks daily. Correct obvious misclassification while the session is fresh. Separate genuine work from an unattended computer so totals remain credible.
- Use exclusions for sensitive applications. The product supports excluding applications from tracking. Apply exclusions before a private or confidential workflow begins, then verify that the timeline reflects the intended boundary.
- Pause capture when you need a deliberate gap. Off-the-record mode provides a way to stop recording temporarily without uninstalling the client.
- Delete data you no longer need. ManicTime documents deletion of selected tracked data. Use it as part of a retention routine rather than keeping every historical window title indefinitely.
- Check report and export availability in your edition. This is especially important on the free tier because official pages disagree about timesheets and export.
What privacy controls and data flows should you understand?
Local and Cloud deployments have different data paths. The official privacy policy states: “All tracked data stays on your machine and it is not shared with us.” That statement applies to locally tracked client data, not to data you choose to send through Cloud.
Local client
For local tracking, the policy says tracked data remains on the machine and is not shared with ManicTime. It also describes a default daily version check and other possible communications, including plugin updates, error-code updates, favicon requests when enabled, and crash reports or logs submitted by the user.
Cloud
Cloud use sends data to ManicTime’s servers. The policy describes ManicTime as a data processor for Cloud data. That changes the operational question from “Is anything uploaded?” to “Which data is uploaded, who administers the account, and how long should it remain available?” Review those details with your organization’s privacy and retention requirements.

Workplace controls
Tracking controls are safeguards, not proof that monitoring is appropriate in every workplace. Set a schedule, exclude sensitive applications, use off-the-record mode, delete selected records, and choose the level of detail sent to a server. Employers should also communicate what is collected and obtain whatever consent or notices their jurisdiction and policies require.
What are ManicTime’s practical limitations?
ManicTime’s strengths are automatic capture and retrospective organization. Several limitations follow directly from that design.
- It is not a perfect activity transcript. Document details depend on application support, integrations, or plugins.
- Raw activity still needs judgment. A window being open does not prove that the associated task was performed continuously.
- Free-tier capabilities are not fully consistent across official pages. Timesheets and export need current-edition verification.
- Platform and device entitlements vary. A feature listed for Cloud or Windows should not be assumed to be present on every operating system or plan.
- Hosted convenience changes the data model. Cloud synchronization requires sending data to the provider’s servers, unlike local-only tracking.
- Pricing can change by billing selector and region. Taxes are excluded from displayed Cloud prices, and the interval attached to the shown $7 amount is not clear from the available listing.
Which ManicTime edition should you choose?
Choose by deployment and reporting needs rather than by the word “free.” The following decision guide keeps the main trade-offs visible.
| Your situation | Most suitable starting point | Why |
|---|---|---|
| You want to see where your own Windows time goes | Free Windows edition | It provides automatic capture and timeline review without an initial license purchase. |
| You need licensed tagging, timesheets, advanced search, backups, or password protection | Pro or an applicable Cloud plan | Those functions are listed as license-only in the Windows documentation. |
| You need activity shared across several devices | Cloud, after checking device limits | Cloud plans are designed for hosted synchronization; Standard is listed with three devices and Ultimate with five. |
| You prefer a local, one-time purchase | Pro / on-premise license | The purchased version remains usable indefinitely, while support and upgrades cover the first year. |
| Your organization requires control of hosting | Self-hosted Server | The vendor describes a Server option, but current configuration and entitlements must be confirmed. |
For a personal game project, begin with the free client if timeline capture is the main question. Upgrade only when a specific licensed feature, multi-device workflow, or deployment requirement justifies it.

How established is ManicTime?
ManicTime’s individual-user page reports more than 1 million downloads, 13,000 customers, and 200,000 licenses. The source page does not state a year for those figures, so they should be treated as vendor-reported scale claims rather than dated, independently verified statistics.
The vendor’s pages also disagree about the product’s start date: the homepage says “since 2007,” while the individual-user page says “since 2008.” Both statements are presented as vendor claims; neither should be silently converted into one definitive founding year.

Is ManicTime worth using for personal or client work?
It is worth trying when you routinely forget to start timers or need a factual timeline of computer activity. The free Windows edition can answer whether automatic capture fits your routine, but client billing depends on confirming the exact tagging, timesheet, and export features in the current build.
Pay for Pro when local deployment and licensed reporting features matter more than synchronized devices. Choose Cloud when hosted access across several devices is the priority and your privacy requirements permit that data flow. Treat Server as an organizational infrastructure decision, not simply a cheaper desktop license.
Frequently Asked Questions
Does ManicTime track time when I forget to start a timer?
Yes, its central design is background activity capture rather than a timer that must be started manually. You still need to review idle periods and categorize the recorded activity before treating it as a billable or project total.
Can I use ManicTime on a Mac or Linux computer for free?
Official pages list macOS and Linux desktop options, but the detailed free feature list is specifically for Windows. Confirm the current edition’s pricing and feature entitlements for your operating system before assuming the Windows free-tier terms apply.
What happens if I switch from local tracking to Cloud?
Local tracking keeps tracked data on the machine according to the privacy policy, while Cloud sends data to ManicTime’s servers and treats the vendor as a data processor. Decide what information may leave the device before enabling synchronization.
Is ManicTime suitable for monitoring a whole team?
The vendor describes team reporting and a self-hosted Server option, but deployment, consent, retention, and configuration requirements are organizational decisions. Establish a clear monitoring policy and verify the current Server documentation before rolling it out.
