Microsoft Sway is a browser-based, card-driven tool for building interactive reports, stories, and presentations. You can create a Sway at sway.cloud.microsoft with a free Microsoft account: add cards in Storyline, import or embed content, choose a layout, check accessibility, and share the result. Microsoft 365 increases storage and size limits and adds controls such as password protection, branding, analytics, autoplay, and organization-scoped sharing. Audio and video files must now be embedded rather than uploaded, and the Windows desktop client is scheduled to retire on June 1, 2026, so the web app is the supported route.
What is Microsoft Sway, and what is it used for?
Sway is Microsoft’s web canvas for turning text, images, videos, and Office material into a scrolling or presentation-style story. Instead of placing every object manually on slides, you add content cards to a Storyline and let Sway’s design engine arrange the result for the viewer. Microsoft Support describes it as “a new app from Microsoft Office that makes it easy to create and share interactive reports, personal stories, presentations, and more.”

1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsThis model suits work that benefits from a continuous narrative: a project report with evidence, a class portfolio, an event recap, a product story, or a visual briefing that people will read on different screen sizes. A conventional slide deck gives you pixel-level placement and a fixed sequence; Sway emphasizes flow, responsive layout, and quick remixing.
- Storyline: the authoring area where cards are added, edited, and reordered.
- Design: the preview and styling area for layouts, themes, colors, fonts, and navigation.
- Share: the publishing controls that determine who can view the Sway and whether they can work with it.
How do I open Sway online without installing anything?
Use the web app. A free Microsoft account is enough for core creation, while a work or school account opens the policies and licensing available in your organization.

- Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
- Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
- Open a current web browser and go to sway.cloud.microsoft.
- Select Sign in, then authenticate with a personal Microsoft account or your organizational work or school account.
- On My Sways, choose Create New to start with a blank Sway. If your account shows templates or other starting options, choose the one that matches your project.
- Give the Sway a working title in the first card. A clear title makes the Storyline easier to navigate and gives viewers context when the Sway is shared.
Your browser affects which authoring and viewing accessibility features are available. If the Sway is important to a broad audience, test the finished link in the browsers your readers are likely to use rather than assuming every feature behaves identically everywhere.
How does the Storyline work?
Storyline is a stack of cards. Each card holds one type of content, and you can edit the card or drag it to a new position without rebuilding the rest of the Sway.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Start with a readable structure
Use heading cards to divide the story into sections, then place supporting text, images, embeds, or documents underneath the appropriate heading. A short opening section should tell viewers what they are looking at and what they should do next; detailed evidence can follow in later groups.
Add and reorder cards
Select the + control to insert a card, or drag and drop text and images into the Storyline. Cards can be edited independently, so you can correct a caption, replace an image, or move a section without disturbing unrelated content. Reordering is especially useful after previewing the narrative and discovering that an example belongs earlier.
Use groups for related material
When several cards belong together, place them under the same section heading. This creates a visual hierarchy for readers and gives the design engine enough structure to produce a coherent layout. Keep each group focused on one question or stage of the story instead of combining unrelated material in a single long run.
How do I add images, documents, and other material?
Use direct card insertion for basic text and images, and use Insert when you need to search for or bring in material from an available source. The sources and options shown can vary by account and organization policy.
Text and images
- In Storyline, select + and choose a text or image card, or drag an image into the canvas.
- For every image that carries meaning, add a concise description so someone using a screen reader can understand why it is there.
- Use the image card’s focus-point controls when the subject could be cropped by a responsive layout. Check the result in preview at more than one window width.
Office documents
Sway can add Office documents as cards. In Storyline, open Insert, search the available sources, and choose the document you want to include. Keep the document’s own sharing permissions in mind: a viewer who can open the Sway may still be unable to open an embedded file if that file is restricted.
Search and embeds
The Insert panel is also the route for finding supported content and embedding material. Microsoft’s help hub covers importing, embedding, forms, audio, video, focus points, and file-size limits; consult it when an option is missing or a source is rejected rather than repeatedly trying to upload the same file.

Audio and video under the current policy
As of June 10, 2024, multimedia upload is no longer supported. Audio and video files must be hosted in a service that Sway can embed, then added through an embed or supported insert option. If an older Sway contains media that no longer plays, verify the original host and its permissions, and replace the card with a current embed when necessary.
How do I design a Sway and choose its navigation?
Open Design to preview the Sway and adjust its appearance. Start with a style, then refine it only where the change improves comprehension.
Choose a starting style
Select Styles to apply a coordinated design. Use Remix! when you want Sway to generate alternate combinations quickly; it is useful for exploring directions before you settle on a visual system.
Customize the visual system
Use Customize for color, font, texture, and layout adjustments. Keep contrast strong, reserve decorative textures for backgrounds that do not compete with text, and use one typographic treatment for headings so readers can recognize the hierarchy.
Pick the reading direction
Sway supports vertical scrolling, horizontal scrolling, and presentation-style navigation. Vertical flow works well for reports and stories; horizontal movement can suit a gallery or a sequence of panels; presentation navigation is useful when you want deliberate, step-by-step movement. Preview the full Sway after changing this setting because the same card order can feel very different in each mode.
Preview before sharing
Design preview is not just a cosmetic check. Follow every link, open each document or embed, inspect image crops, and read the opening screen as a first-time viewer. A polished theme cannot compensate for a broken embed or an unclear first section.
How do I make a Sway accessible?
Use Sway’s built-in accessibility tools while you author, then perform a viewer test. Sway provides Accessibility view, keyboard functionality, screen-reader access, and an accessibility checker, although the exact authoring and viewing features depend partly on the browser.
- Run the checker: open the accessibility checker and resolve the issues it identifies before publication.
- Offer Accessibility view: make sure the alternative view is available to people who need a simpler reading presentation.
- Write meaningful text alternatives: describe the purpose of informative images; mark purely decorative images appropriately when the interface allows it.
- Use real headings: heading cards are more useful to keyboard and screen-reader users than bold text that only looks like a heading.
- Test keyboard movement: move through the Sway without a mouse and verify that focus is visible and the order makes sense.
- Check embedded content separately: an accessible Sway cannot make an inaccessible third-party player or document accessible by itself.
Do the final check after design changes. A new layout, image crop, or navigation direction can alter reading order even when the Storyline cards have not changed.

How do I share a Sway safely?
Select Share, then choose the method offered by your account. The safe choice depends on whether the Sway is personal, public-facing, or governed by a Microsoft 365 organization.
Personal and consumer sharing
Consumer Sways can be viewed on the web. Before copying a link into a public post, inspect the sharing option and confirm that the setting matches your intent; a link that works for anyone who receives it is not appropriate for confidential material.
Work, school, and tenant controls
Business, Enterprise, and Education plans can provide secure sharing with specific people or groups in the tenant. Administrators can restrict access to the organization and can disable external sharing. If an external partner cannot open a link, ask the administrator to verify the tenant policy rather than changing the Sway repeatedly.
Check the files inside the Sway
Sharing the Sway does not automatically grant access to every linked document or embedded service. Test the published link with a representative viewer account, and remove or replace any material that exposes more information than the audience should receive.
Separate editing from viewing
Use a viewer link for distribution and keep authoring access limited to the people who maintain the Storyline. When a project ends, review who still has editing rights and revoke access that is no longer needed.
Is Microsoft Sway free, and what does Microsoft 365 add?
A free Microsoft account covers the core Sway workflow. Microsoft 365 primarily changes capacity, branding, analytics, automation, and organizational control rather than replacing the basic Storyline-and-Design model.
Recommended Free Tools

| Sharing scope | Web sharing for consumer Sways | Secure sharing with specific people or groups in the tenant, subject to administrator policy |
| Administration | No enterprise migration controls | IT-admin migration and per-user licensing capabilities are documented for Business, Enterprise, and Education plans |
Microsoft’s plan documentation is the authority for the limit attached to your subscription. If a particular storage, file-size, or branding option matters to your project, check the plan and tenant settings shown to your account instead of assuming that every Microsoft 365 license has the same allowance.
Which plan should I choose for a project?
Stay with the free account when you need a straightforward interactive story and your audience can use ordinary web sharing. Consider Microsoft 365 when the project needs controlled access, a branded presentation, password protection, analytics, or larger content allowances.

What happened to the Sway Windows desktop app?
The Microsoft Sway Windows desktop application (Win32 client) will be retired and no longer supported beginning June 1, 2026. The supported path is the web experience at sway.cloud.microsoft, and existing content remains available there.
Quick wins for a faster PC:

Sign in on the web, confirm that your Sways appear under My Sways, open a representative project, and test its embeds, links, and sharing settings. This is a change of access route, not a requirement to recreate every existing Sway.
What is a reliable end-to-end workflow for a new Sway?
Use the following sequence when the Sway will be read by people who did not help create it.
- Define the outcome: write one sentence describing what a viewer should understand or decide after reading.
- Collect source material: gather text, images, Office documents, and links before building the Storyline. Identify any audio or video that will need an embeddable host.
- Draft the Storyline: add a title, section headings, and cards in the order that makes sense without visual styling.
- Add context: caption images, explain unfamiliar terms, and put a short introduction before dense evidence.
- Insert or embed material: use Insert for supported sources and verify that each source permits the intended audience to view it.
- Design: choose a style, test alternate looks with Remix! if useful, then customize color, font, texture, and layout.
- Select navigation: choose vertical, horizontal, or presentation-style movement based on how viewers should read the story.
- Preview: follow links, open documents, inspect crops, and check the first and last sections at different window sizes.
- Run accessibility checks: use Accessibility view, the checker, keyboard navigation, and a screen-reader test where available.
- Set sharing: choose the narrowest audience that meets the project’s purpose, then test the published link with a viewer account.
- Maintain the source: keep a copy of original documents and media-host details so a broken embed can be repaired without rebuilding the Sway.
What common problems occur, and how can I fix them?
The Sway opens, but a document or video is blank
Check the permission on the source item first. The Sway may be shared correctly while the embedded document or media remains restricted, deleted, or blocked by an organization policy. Reauthorize or replace the embed, then test it while signed out or with a representative viewer account.
An audio or video file will not upload
This is expected under the multimedia policy in effect since June 10, 2024. Host the file in a service that supports embedding and add it through the appropriate insert or embed option instead of attempting a direct multimedia upload.
The layout crops an important part of an image
Open the image card and adjust its focus point, then preview the Sway at the widths your audience will use. If the subject still cannot remain visible, recrop the source image with more surrounding space.
External viewers receive an access error
Review the Sway’s sharing choice and, for a work or school account, ask an administrator whether external sharing is disabled. Also inspect every linked document and embedded service because those permissions can block a viewer independently of the Sway link.

How should I use Sway for different types of work?
Interactive report
Begin with an executive summary, then create sections for method, evidence, findings, and recommendations. Use document cards for detailed source material and image focus points to keep charts or photographs legible on narrow screens.
Personal story or portfolio
Lead with a strong image and a short introduction, then group projects or milestones under clear headings. Keep captions specific so viewers understand your role, the date, and the result without opening another file.
Presentation-style briefing
Use short cards, deliberate section breaks, and presentation navigation. Preview every transition and provide enough text for someone who must review the Sway later without the presenter narrating it.
Class or team handoff
Use headings as an agenda, place source documents beside the explanation they support, and choose organization-scoped sharing when the material is internal. Give collaborators editing access only where they need to change the Storyline.

Frequently Asked Questions
Should I use Sway or PowerPoint for a presentation?
Choose Sway when you want a responsive, web-based narrative that can mix cards, documents, images, and embeds in a continuous flow. Choose a slide-based tool when exact object placement, speaker-led sequencing, or a fixed slide canvas is the central requirement.
Can people outside my company open a Sway link?
A personal consumer Sway can be viewed on the web, but a work or school tenant may block external sharing. Ask the administrator which policy applies and test the link with an account that represents the external audience before sending it.
What is the safest way to include a private video?
Keep the video on a host that supports the audience you selected, then embed it through Sway rather than uploading the file. Test both the Sway link and the host’s permission prompt, because viewers may need separate authorization.
Do I need to rebuild my Sways because the Windows app is retiring?
No. Existing content remains available through the supported web experience. Sign in at sway.cloud.microsoft, verify your Sways and embeds there, and make the browser workflow your normal authoring route before June 1, 2026.
Why can two Microsoft 365 users see different Sway options?
Sway capabilities depend on the specific subscription, whether the account is personal or organizational, and tenant policies set by an administrator. Compare the plan assigned to each user and the organization’s sharing settings rather than assuming every Microsoft 365 license exposes the same controls.
