If a Microsoft Teams recording is missing, first verify that recording actually started, then search the storage location assigned to the meeting type. Regular meetings normally save to the organizer’s OneDrive, channel meetings to the team’s SharePoint library, and calls to the OneDrive of the person who selected Record. A recording can also be hidden by chat volume, still processing, blocked by permissions or licensing, sitting in a recycle bin, or waiting in temporary storage after an upload failure. Follow the sequence below to identify the recording’s state before asking an administrator to intervene.
Did the Teams recording actually start?
Look in the meeting chat for Teams’ recording-start notification. Microsoft Support states that if this message is absent, “the recording most likely didn’t start and can’t be recovered.” Recording begins only after someone selects Confirm in the recording dialog; opening the dialog or pressing Record without confirming does not create a recoverable file.

What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
What to check immediately
- Ask the person who attempted to record whether the confirmation dialog was accepted.
- Check the chat for the start notification and, if applicable, a later recording-stopped notification.
- If no start message exists, treat the case as a canceled confirmation, a blocked recording request, or a service failure rather than a misplaced file.
When the notification exists, continue with the storage and access checks. A recording can be missing from the chat even though the cloud file still exists.
Where is a Teams recording stored for each meeting type?
Teams recordings are cloud files stored in OneDrive for work or school or SharePoint. The meeting type determines the owner and folder, so searching the wrong account is the most common reason a valid recording appears to be missing.

| Meeting or call type | Normal storage location | Who should search |
|---|---|---|
| Regular scheduled meeting, recurring meeting, Meet now, Outlook-created meeting, Teams-client meeting, or Teams event | Meeting organizer’s OneDrive, in the Recordings folder | The organizer, even if the organizer did not attend |
| Channel meeting | The team’s SharePoint site document library, usually Documents/Recordings | Team members with access to that channel and its files |
| One-to-one or group call | OneDrive of the person who selected Record | The recording initiator |
| Meeting organized by a shared mailbox | Normally a co-organizer’s or recording initiator’s OneDrive when the shared mailbox has no OneDrive | Co-organizers and the person who started recording |
| Organizer has no OneDrive | Fallback order: co-organizer OneDrive, then initiator’s OneDrive, then temporary asynchronous media storage | Check each account in that order |
| Teams Rooms meeting | Use the underlying meeting type above; a separate Teams Rooms storage exception is not stated in Microsoft’s guidance | Start with the organizer or channel site |
How to search the correct cloud location
- Sign in with the work or school account that owns the expected storage location. A personal Microsoft account or a different tenant can show an empty OneDrive even when the file exists elsewhere.
- For a regular meeting, open the organizer’s OneDrive and inspect Recordings.
- For a channel meeting, open the team’s SharePoint site, then Documents > Recordings. Also inspect the channel’s file list.
- For a call, search the OneDrive of the user who selected Record.
- For a shared-mailbox meeting, check the co-organizer and initiator accounts rather than relying on the shared mailbox itself.
How do I find a recording from Teams Calendar, chat, or Recap?
For a past meeting, open Teams Calendar, select the meeting, and choose Recap. The recording may also be linked in the meeting chat. Channel recordings appear in the channel conversation and under Files > Recordings.
If the recording link is not visible in chat
High-volume chats can hide older cards from the immediately visible history. Microsoft Learn recommends scrolling to the top of the chat and then back to the bottom to force older content to load. If the card still does not appear, open the OneDrive or SharePoint folder directly using the storage table above.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsWhen Recap shows no video
Recap is an access surface, not a separate storage system. A missing Recap link can mean the file is still processing, the viewer lacks permission, or the recording is stored in another owner’s OneDrive or the channel’s SharePoint site. Search the underlying folder before concluding that the file was deleted.

What should I do if the recording is still processing?
A recording may need time to finish processing before its link appears. Keep the meeting chat open long enough for the recording card to update, then refresh Teams and check the owner’s OneDrive or SharePoint folder. If processing never produces a file, have the organizer or administrator run the recording diagnostics described below and verify that the account has a valid OneDrive or SharePoint destination.
Can an expired or deleted Teams recording be recovered?
Yes, sometimes. If the file existed previously, check the recycle bin for the OneDrive or SharePoint location that owned it. Where applicable, inspect the second-stage recycle bin as well. Microsoft Support says an owner may have up to 90 days to recover an expired recording from the recycle bin; the exact retention outcome depends on the tenant’s deletion rules and the item’s location.
Recovering an expired file
- Identify the owner’s OneDrive or the channel’s SharePoint site from the meeting type.
- Open that location’s recycle bin and search by meeting title, date, or file name.
- If the item is not in the first-stage bin, ask a SharePoint or Microsoft 365 administrator to check the second-stage bin.
- Restore the file to its original location, then reopen Teams Calendar, Recap, or the meeting chat.
Watching a video does not reset its expiration countdown. The owner, or a co-organizer with edit permission, can open the expiration control on an existing recording and extend the date or choose no expiration. Changing the setting after the file has been permanently deleted cannot recreate it.

What if Teams shows an upload-failure recording card?
An upload-failure card means the recording may still be held in temporary asynchronous media storage instead of OneDrive or SharePoint. Microsoft states: “If not downloaded within 21 days, the recording is deleted.” Treat that period as a hard recovery window.
Recovery procedure for a failed upload
- Open the failed recording card in the meeting chat and use its download action.
- Save the video to a secure location controlled by the organization.
- Ask the organizer or Microsoft 365 administrator to correct the destination problem, such as a missing OneDrive/SharePoint license or an exhausted storage quota.
- After the license or quota is fixed, retry the upload if Teams offers that option; otherwise, share the downloaded file through the organization’s approved storage.
Do not wait for the normal chat link to appear: the temporary copy has its own deletion deadline and is not protected by ordinary OneDrive retention.
Could permissions, roles, licensing, or policy be blocking the recording?
A file can exist while a participant cannot start recording or open the result. Recording eligibility is controlled by meeting role, organizer settings, tenant policy, account type, licensing, and sharing permissions.

Role and account restrictions
- Guests and external users cannot start meeting recordings.
- Organizers can restrict recording to organizers and co-organizers, to organizers/co-organizers/presenters, or to no one.
- A participant signed into the wrong tenant or account may see the meeting but not the recording file.
- After the recording is created, OneDrive or SharePoint sharing permissions can still prevent an attendee from opening it.
Tenant and feature prerequisites
- The organization must provide the required Teams and Microsoft 365 licensing for recording and cloud storage.
- Tenant recording policy can disable recording even when the user interface appears normal.
- If Copilot is turned off in the meeting, recording and transcription can also be disabled.
- A missing OneDrive license, an unavailable SharePoint destination, or a full quota can cause upload failure rather than an immediately visible error.
Ask the organizer to confirm your role and ask an administrator to verify policy and licensing. Do not create a new meeting solely to test permissions until the original meeting’s storage and retention state has been checked.
How can I run Microsoft’s Teams recording diagnostics?
Diagnostics distinguish a missing file from an eligibility or tenant-configuration problem. An affected user can run the Teams Meeting Recording Test. A Microsoft 365 administrator can run the Meeting Recording Support Diagnostic, which checks license assignment, meeting-policy eligibility, and tenant prerequisites.
Recommended diagnostic order
- Install the latest Teams updates, then sign out and back in to the work account.
- Repeat the Calendar, Recap, chat, and direct OneDrive/SharePoint checks in the desktop client.
- Open the same meeting in the Teams web client. If the recording appears on the web but not in the desktop app, the problem is likely client state or cached data.
- Run the Teams Meeting Recording Test as the affected user.
- Ask an administrator to run the Meeting Recording Support Diagnostic and review license, policy, and storage findings.
- Have the organizer or administrator correct roles, policy, quota, or sharing permissions before opening a Microsoft Support request.
What does the recording state tell me?
Classifying the state prevents repeated searches in the wrong place.

| Observed state | Likely meaning | Next action |
|---|---|---|
| No start notification | Recording probably never began | Confirm that Confirm was selected; there is usually no file to recover |
| Start notification, no link yet | Still processing or link not loaded in chat | Refresh, check Recap, then search the owner’s OneDrive or SharePoint folder |
| File was visible, now absent | Moved, expired, deleted, or permissions changed | Search the correct owner location and both recycle-bin stages |
| Upload-failure card | Temporary asynchronous media copy | Download promptly and repair license or quota issues |
| File exists but cannot be opened | Role, account, sharing, or tenant access issue | Use the owner account, request sharing, and have an administrator check policy |
When should I escalate to the organizer, IT, or Microsoft Support?
Escalate after you have identified the meeting type, confirmed the start notification, checked the expected storage owner, and inspected recycle bins or the temporary upload card.
- Contact the organizer when you need the owner account, a download, or a sharing change.
- Contact Microsoft 365 IT support when a role, license, quota, tenant policy, or diagnostic result blocks recording or access.
- Open a Microsoft Support request when diagnostics pass but the recording remains unavailable, or when a service-side processing failure is suspected.
Include the meeting date and title, organizer, meeting type, recording initiator, whether the start notification appeared, the storage locations checked, the exact error or card state, and diagnostic results. Those details let support trace the correct owner and retention path without exposing unrelated meeting data.
How do I prevent a missing recording next time?
- Before ending the meeting, verify that the recording-start notification appeared.
- Tell participants which account or channel site owns the recording.
- Have the organizer confirm OneDrive or SharePoint licensing and available quota before an important event.
- For high-value meetings, download an approved copy after processing and store it under the organization’s retention policy.
- Review expiration controls on recordings that must remain available for a defined period.
- Use a co-organizer or presenter with the right role when the usual organizer cannot record.
Frequently Asked Questions
Why can the organizer open a Teams recording while I cannot?
The organizer may be opening the file from the owning OneDrive account while you are signed into another tenant or account. The file can also have inherited OneDrive or SharePoint permissions that exclude your role; ask the owner to share the file or have an administrator review access inheritance.
Does renaming or moving the recording break the Teams chat link?
Moving or renaming a cloud file can change how the original Teams card resolves, even though the video still exists. Search the owner’s OneDrive or the channel’s SharePoint library by meeting date and use the current file location rather than relying only on the old chat card.
Can an administrator recover a recording after the recycle-bin period ends?
Only if the organization has another retention, backup, or legal-hold mechanism that preserved the file. Once OneDrive or SharePoint retention has permanently removed the item and no separate copy exists, Teams cannot regenerate the recording.
Why is there a recording card but no downloadable video?
The card can represent a recording that is still processing, a failed upload held in temporary media storage, or a file whose permissions no longer grant you download access. The card’s status and the owner’s storage location determine whether to wait, download immediately, or request an access change.
