Outlook Disconnected from Server: How to Reconnect and Fix It

Outlook shows Disconnected when its desktop app cannot maintain a live connection to the mail server. Start by checking whether Outlook was put into offline mode, then test your internet connection and sign in to webmail with the same account. If webmail works, the problem is usually local to Outlook, its profile, credentials, add-ins, or the device network. If webmail also fails, investigate the account, license, storage, provider outage, or organization policy before rebuilding Outlook.

Cached messages may remain readable while disconnected, but new mail will not arrive and sent messages can remain in the Outbox. The safest repair path moves from reversible checks to authentication, network isolation, profile repair, and finally data-file work.

What do Outlook’s connection statuses mean?

The wording in Outlook identifies the kind of interruption, although the labels are not interchangeable.

Status Meaning What you should check first
Disconnected The desktop client cannot maintain a live connection to the mail server. Offline mode, internet access, sign-in state, network filtering, and service availability.
Working Offline Outlook has been deliberately switched to offline mode. Clear the offline toggle in the correct Outlook client.
Trying to connect Outlook is attempting to reconnect but has not completed the connection. Wait briefly, then test webmail and the device network if it does not progress.
Need Password Outlook needs you to authenticate again. Enter the current password, complete MFA, or use an app password if the provider requires one.
Limited Connectivity The device has partial network access, but Outlook cannot reach every service it needs. VPN, proxy, firewall, web filter, antivirus scanning, and unstable Wi-Fi or Ethernet.

A disconnected client can still display locally cached mail. That cache is not proof that the mailbox is currently reachable.

How can I tell which Outlook version and account I am using?

The reconnect controls differ between classic Outlook for Windows and new Outlook for Windows, so identify the interface before changing settings.

Clue Classic Outlook New Outlook for Windows
Sync control Send/Receive tab with a Work Offline button. View > Sync.
Offline settings The Work Offline toggle on the ribbon controls the state. Settings > General > Offline contains offline controls.
Typical accounts Microsoft 365 or Exchange, Outlook.com, IMAP, and POP accounts can be configured. Microsoft accounts and supported connected accounts; available behavior can differ from classic Outlook.

Also note the account scope. A Microsoft 365 work or school mailbox is governed by an organization’s license, tenant, service health, and security policy. An Outlook.com personal mailbox depends on Microsoft account status and cloud storage. A third-party IMAP or POP mailbox depends on that provider’s server, password rules, and connection limits.

How do I reconnect classic Outlook?

Use these low-risk steps before repairing a profile or deleting any data file.

  1. Confirm basic internet access. Open an ordinary website, reconnect Wi-Fi or Ethernet, and make sure the device has not switched to a captive portal or disconnected network.
  2. Check for a service incident. For a work or school mailbox, review Microsoft 365 Service health through your organization’s normal administrator portal. For a personal Outlook.com mailbox, check Microsoft’s Outlook.com status information.
  3. Close Outlook completely. Exit the application, open Windows Task Manager, and confirm that OUTLOOK.EXE is no longer running. Reopen Outlook after it has fully exited.
  4. Clear offline mode. Open the Send/Receive tab. If Work Offline is highlighted, click it once to turn it off.
  5. Force a synchronization. Wait for the status bar to move toward Connected, then choose Send/Receive All Folders or press F9. Do not repeatedly click the button while Outlook is still changing status.

If the status returns to Disconnected immediately, continue with the webmail test rather than repeatedly toggling Work Offline.

How do I reconnect new Outlook for Windows?

New Outlook does not use exactly the same offline workflow as classic Outlook.

  3. Open Settings > General > Offline and review whether offline access is enabled or restricted.
  4. Check the account’s sign-in prompt. If the account requests credentials or MFA, complete that sign-in and run View > Sync again.

Because new Outlook and classic Outlook do not share identical offline behavior, instructions for one client should not be assumed to apply to the other.

Does webmail work with the same account?

Webmail is the fastest way to separate a desktop-client fault from a mailbox or provider fault. Sign in with the same address and current credentials: Microsoft 365 work or school users can use outlook.office.com; Outlook.com users can use outlook.live.com.

Webmail result Likely fault domain Next action
Webmail works The mailbox is reachable. The desktop profile, cached credentials, add-ins, device network, or local security software is more likely. Refresh authentication, inspect the Outbox, isolate VPN or add-ins, then repair or recreate the profile.
Webmail fails The account, password or MFA, license, cloud storage, provider service, or administrator policy may be involved. Resolve the sign-in or account condition first; contact the provider or Microsoft 365 administrator if needed.

Use the same account, not a different test mailbox. A successful sign-in to another account does not prove that the affected mailbox is healthy.

How do I refresh Outlook authentication after a password or MFA change?

A password reset, security-key change, or new MFA requirement can leave the desktop app holding an unusable sign-in token.

  • When Outlook displays a password prompt, select it and enter the current password, then complete the MFA challenge.
  • If no prompt appears, sign out of Office from an Office application, close Outlook, reopen it, and sign in again when requested.
  • For third-party IMAP or POP services, check whether the provider requires an app password instead of the normal account password.
  • For Outlook.com, verify that Microsoft cloud storage is not full. A full account can block sending and receiving even when the password is correct.

Do not keep retrying an old password; repeated failures can trigger an account lock or additional verification.

Why is Outlook stuck because of an Outbox message?

A message that failed at the front of the Outbox can prevent later messages from being sent. This commonly makes Outlook appear disconnected even though the underlying connection is available.

  1. Open the Outbox and identify the oldest unsent message.
  2. Open it rather than immediately deleting every pending message.
  3. Reduce or remove a large attachment, save the file locally, and try sending the message again.
  4. After the oldest message clears, run Send/Receive All Folders in classic Outlook or View > Sync in new Outlook.

Attachment limits vary by provider and account type, so a file that sends successfully from one mailbox may be rejected by another. A provider’s rejection notice is more useful than assuming a universal size limit.

Could a VPN, firewall, antivirus, or add-in be blocking Outlook?

Yes. A VPN or proxy can alter the route to the mail service, while firewalls, web filters, antivirus mail scanning, and Outlook add-ins can interfere with authentication or synchronization.

  1. Where your organization’s policy permits, disconnect the VPN temporarily and test Outlook on the ordinary network. If a proxy is configured, test the approved direct connection or ask the administrator to verify the proxy path.
  2. Review firewall, web-filter, and antivirus logs for blocked Outlook or mail-service traffic. Do not permanently disable security software; use a short, controlled test and restore protection immediately.
  3. Start classic Outlook in Safe Mode with outlook.exe /safe.
  4. If Outlook connects in Safe Mode, open the add-in management page and disable recently installed or updated add-ins one at a time. Restart Outlook normally after each change to identify the conflicting add-in.
  5. Compare the account on another device or network. If it works elsewhere, the original computer or network is the more likely source.

Safe Mode is a diagnostic test, not a permanent operating mode. Microsoft Q&A guidance also uses it to check whether third-party add-ins or programs reproduce the problem.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

When should I repair or recreate the Outlook profile?

Profile work is appropriate after offline mode, webmail, authentication, Outbox, and interference checks have been exhausted. It can fix damaged account configuration without changing the mailbox itself.

Try built-in account repair first

In classic Outlook, open the account settings and use the available account repair option. Follow the prompts, restart Outlook, and test synchronization. New Outlook generally relies on its account and sign-in settings rather than the classic profile repair dialog.

Create a new profile to isolate corruption

  1. Close Outlook.
  2. Open Windows Control Panel and search for Mail, then open the mail profile settings.
  3. Create a new profile and add the affected account again.
  4. Set the new profile to ask which profile to use, or make it the default for a controlled test.
  5. Open Outlook and compare the connection status, webmail behavior, and message flow.

If the new profile works, the original profile was likely damaged. If both profiles fail while webmail also fails, rebuilding profiles will not solve the account or service problem.

Should I delete an OST or repair a PST?

The correct action depends on the data-file type and account.

File or account Safer action Important warning
Exchange or Microsoft 365 cached mailbox (OST) After Outlook is closed and the account is confirmed online, an OST can be deleted so Outlook recreates the local cache. Recreation requires a working server connection and can take time to redownload mail.
Personal or local PST Back up the PST, then use the Inbox Repair tool if corruption is suspected. Do not casually delete a PST that may contain the only local copy of mail, calendar items, or contacts.

Deleting an OST is not equivalent to deleting a PST. An OST is a replaceable cache for a server mailbox; a PST may be the primary local data store.

How do I use SCANPST.EXE safely?

Microsoft Support describes the utility this way: “You can use the Inbox Repair tool (SCANPST.EXE) to diagnose and repair errors in your Outlook data file.” It is for data-file integrity, not for testing whether a mail server is online.

  • Webmail fails with the same account, or sign-in reports that the account is blocked, unlicensed, or out of storage.
  • Several users lose connectivity at the same time.
  • A Microsoft 365 organization may have a service-health incident, Conditional Access rule, Autodiscover problem, tenant configuration issue, or licensing change.
  • A VPN, proxy, DNS, firewall, or web-filter policy is controlled by someone else.
  • A third-party provider rejects the password, requires an app password, or reports a server-side outage.

Give support the exact Outlook client, account type, status label, webmail result, time the problem began, and whether another device is affected. That information prevents a support team from treating a tenant-wide failure as a local profile problem.

Frequently Asked Questions

Can I keep reading email while Outlook says Disconnected?

Usually, yes: cached messages already stored on the device can remain readable. They may be stale, however, and actions such as moving or deleting mail may not reach the server until synchronization resumes.

Will reinstalling Office fix a disconnected Outlook account?

Usually not as a first step. Reinstallation does not correct a blocked account, expired license, provider outage, full cloud storage, VPN policy, or a corrupted mailbox; establish whether webmail works before considering it.

How can I prove the problem is limited to one computer?

Sign in to the same mailbox through webmail and, if possible, test Outlook or another mail client on a second device using a different network. A working second device points toward the original computer’s profile, add-ins, security software, or network path.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What information should I record before opening a support ticket?

Note the Outlook edition, exact status text, account type, first time noticed, webmail result, whether messages are stuck in the Outbox, and whether coworkers or another device are affected. Include any recent password, MFA, VPN, or policy change.
