To capture content directly in Microsoft Office, place the cursor where the image should appear and choose Insert > Screenshot. In Word, Excel, and Outlook, the command is in the Illustrations group; in PowerPoint, it is in Images. Select an open window from Available Windows for a full-window image, or choose Screen Clipping and drag around the exact area you need. Office inserts the result as a picture automatically. On Windows, Snipping Tool and the PRINT SCREEN shortcuts are useful when you need to edit, save, or paste a capture outside the current Office file. On Mac, use the system screenshot shortcuts, then insert the resulting file through Insert > Pictures > Picture from File.

What does Screenshot or Screen Clipping do in Office?

Office’s built-in Screenshot command captures another open application window or a selected portion of the screen and places the result directly in the document, worksheet, slide, or Outlook message you are editing. It is available in Excel, Outlook, PowerPoint, and Word across Microsoft 365 and several perpetual editions, including Office 2024, 2021, 2019, and 2016. Microsoft lists Mac editions where the command is supported, but the exact menu availability can vary by edition and update.

The command has two distinct modes:

  • Available Windows: inserts an entire open window as a picture.
  • Screen Clipping: lets you drag over a rectangular region of the first gallery window and inserts only that region.

The Office-native method is different from a normal system screenshot. Office places the image at the insertion point without requiring an intermediate save or paste step. You can then use the picture-formatting tools in the Office app to crop, resize, position, or otherwise edit it.

How do I insert a full window in Word, Excel, Outlook, or PowerPoint?

Use this workflow when the complete application window is relevant, including its title bar or surrounding controls.

  1. Open the source window. Display the application or page you want to capture. Leave it open and unminimized; a window minimized to the taskbar cannot be captured by Office’s gallery.
  2. Set the insertion point. Click in the Word document, Excel worksheet, Outlook message, or PowerPoint slide where the image belongs. In PowerPoint, select the slide rather than an individual object if you want the screenshot placed on the slide canvas.
  3. Open the command. Choose Insert > Screenshot. In Word, Excel, and Outlook, look in the Illustrations group. In PowerPoint, look in the Images group.
  4. Choose a window. Under Available Windows, click the thumbnail for the source window. Office inserts the complete window at the cursor or selected location.
  5. Format the picture. Select the inserted image to access Picture Tools. Crop away unnecessary edges, change text wrapping or alignment, and resize from a corner to preserve the image’s proportions.

The gallery shows windows that are currently open and eligible for capture. If the application you need is missing, bring it to the foreground, confirm that it is not minimized, and reopen the Screenshot gallery.

How do I screen clip only part of a window?

Screen Clipping is the better choice when browser controls, a desktop background, or unrelated panels would distract from the instructions or evidence you are presenting.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Prepare the source. Arrange the source window so the desired content is visible. Click that window last. Microsoft says the most recently clicked source moves to the first position in the Screenshot gallery, which is the window Screen Clipping uses.
  2. Start Screen Clipping. In the Office file, choose Insert > Screenshot > Screen Clipping.
  3. Select the region. The screen becomes temporarily opaque and the pointer changes to a crosshair. Press and hold the left mouse button, then drag across the area to capture.
  4. Finish the capture. Release the mouse button. Office inserts the selected rectangle as a picture in the document, sheet, slide, or message.
  5. Refine the result. Use the picture-formatting controls to crop a small amount more, set wrapping, or move the image into its final position.

Screen Clipping captures a rectangular drag selection rather than an irregular outline. For a free-form shape, use Windows Snipping Tool instead.

Where is Screenshot located in each Office app?

The command name is the same, but the ribbon group differs in PowerPoint.

Office app Ribbon path Window capture Region capture
Word Insert > Screenshot in Illustrations Available Windows Screen Clipping
Excel Insert > Screenshot in Illustrations Available Windows Screen Clipping
Outlook Insert > Screenshot in Illustrations Available Windows Screen Clipping
PowerPoint Insert > Screenshot in Images Available Windows Screen Clipping

In Outlook, click inside the message body before opening Insert; otherwise the picture may not be placed where you expect. In Word and Excel, click the target location first. In PowerPoint, make sure the intended slide is active.

Can I add more than one screenshot in a single operation?

No. Microsoft documents one screenshot per Screenshot operation. After the first image is inserted, repeat Insert > Screenshot for each additional window or clipping. This lets you place each capture at a different insertion point and format them independently.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If you need a series of captures, prepare the source windows first and capture them one at a time. Give each image a meaningful caption or nearby explanation so readers can distinguish the steps.

What are the Windows alternatives to Office Screenshot?

Windows provides capture tools that work in any application. Use these when you want to edit or save the image before inserting it, or when the destination is not an Office file.

Snipping Tool

Press Windows+Shift+S to open Snipping Tool’s capture overlay. It supports rectangular, free-form, window, and full-screen modes. The capture is copied to the Clipboard and can be edited or saved in Snipping Tool, then pasted into Office with Ctrl+V or inserted into another application.

Choose:

  • Rectangular snip for a precise box around text, a chart, or a control.
  • Free-form snip when the subject has an irregular outline.
  • Window snip for one application window.
  • Full-screen snip for everything visible on the display.

Snipping Tool is preferable to Office Screen Clipping when you need to mark up the image before placing it in a report, or when you need a file that can be reused in several programs.

PRINT SCREEN and ALT+PRINT SCREEN

PRINT SCREEN copies the entire screen to the Clipboard. ALT+PRINT SCREEN copies only the active window. Click the destination in Office and press Ctrl+V to paste the capture. These shortcuts do not require the Office Screenshot command and are useful when the source is difficult to select from the gallery.

A keyboard with a dedicated Print Screen key is optional hardware, not a requirement: Office Screenshot and Snipping Tool work without buying new equipment.

How do the Office method and Windows tools differ?

Choose based on where you want the image to go and how much control you need before insertion.

Need Best method What happens Main trade-off
Insert a complete open window directly into an Office file Insert > Screenshot > Available Windows The full window is inserted at the current location Unminimized windows only; one image per operation
Insert a rectangular area directly into Office Insert > Screenshot > Screen Clipping Drag over the region and Office inserts it automatically Uses the first gallery window and does not provide a free-form outline
Edit or save a capture before using it Windows+Shift+S (Snipping Tool) Capture goes to the Clipboard and Snipping Tool editor Requires a separate paste or save step
Capture the active window quickly ALT+PRINT SCREEN Active window is copied to the Clipboard No built-in selection or editing before paste
Capture the entire display PRINT SCREEN or full-screen snip The complete screen is copied or captured May include unrelated windows or desktop content

How do I capture a screenshot on a Mac and insert it into Office?

On Mac, Microsoft documents the system screenshot shortcuts and a file-based insertion workflow.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Capture the entire screen: press Shift+Command+3.
  2. Capture a selected portion: press Shift+Command+4, then drag over the region.
  3. Capture a window or menu: press Shift+Command+4, then press Space and select the window or menu.
  4. Review the result: use the thumbnail that appears to edit the capture if needed. The saved image is typically available on the Desktop or in Recents, depending on your macOS settings.
  5. Insert it into Office: in Word, Excel, PowerPoint, or Outlook, choose Insert > Pictures > Picture from File, locate the screenshot, and insert it.

This Mac workflow creates a normal image file first, so it is useful when you want to retain the capture outside the Office document. The exact save location can be changed in macOS screenshot options.

What should I do if Screenshot is missing or captures the wrong content?

The command is not visible

  • Confirm that you are using Word, Excel, Outlook, or PowerPoint and that the Insert tab is active.
  • In PowerPoint, look in Images; in the other three apps, look in Illustrations.
  • Check your Office edition and platform. Microsoft lists the feature across Microsoft 365 and Office 2024, 2021, 2019, and 2016, with Mac support listed where available.

The source window does not appear

  • Restore the source if it is minimized; minimized windows cannot be captured.
  • Click the source window immediately before opening Screen Clipping so it becomes the first gallery window.
  • Close duplicate windows if the thumbnails are difficult to distinguish, then reopen the gallery.

The clipping is wrong

Press Esc before completing the drag if you started over the wrong area, then activate the correct source and run Screen Clipping again. The command inserts the selection when you release the mouse button, so a new operation is the reliable way to replace an inaccurate capture.

The pasted image is not where expected

Click the exact destination before invoking Screenshot or pressing Ctrl+V. In Outlook, place the cursor in the message body; in PowerPoint, activate the target slide. After insertion, select the image and use the layout or alignment controls to position it.

How should I prepare screenshots for readable Office documents?

Capture only the information the reader needs. Screen Clipping is usually clearer than inserting a full desktop when menus, notifications, or unrelated applications are visible. For a full-window capture, crop excess margins after insertion and add a caption that identifies the application and task.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Keep text large enough to read at the image’s final size. If a screenshot contains several small controls, place it near the explanatory step rather than shrinking it to fit a crowded page. In a slide deck, duplicate the image only when the second copy serves a different purpose; otherwise, reuse the original picture and crop it for detail.

When documenting a procedure, capture each state after the preceding action has completed. This avoids screenshots that show a transient menu or an unfinished selection and makes the sequence easier to follow.

Use Snipping Tool when you need free-form selection, annotation, or a reusable saved file. Use PRINT SCREEN or ALT+PRINT SCREEN for quick Clipboard captures, and use the documented Shift+Command shortcuts on Mac before inserting the saved image through Picture from File.

Frequently Asked Questions

Can Office capture a window that is minimized?

No. Microsoft states that only windows not minimized to the taskbar can be captured by the Office Screenshot gallery. Restore the window before opening Insert > Screenshot.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Why does Screen Clipping open the wrong application?

Screen Clipping uses the first window in the gallery. Click the intended source window most recently, leave it visible, and then start Insert > Screenshot > Screen Clipping.

How can I insert several screenshots into one document?

Office adds one image per Screenshot operation. Repeat the command for each capture, clicking a new insertion point before every operation.

Can I edit a capture before putting it in an Office file?

Yes. Windows Snipping Tool copies the capture to the Clipboard and provides editing and saving controls before you paste it with Ctrl+V. The Office Screenshot command inserts directly, after which you can edit the picture with Office’s picture tools.
