Pack for five problems first: getting through the door, keeping your phone powered, walking and standing for hours, meeting your personal needs, and carrying only the equipment for activities you actually plan to do. That usually means your badge or ticket, required identification, a charged phone, its cable, a portable power bank, a compact easy-to-screen bag, broken-in shoes, medication or accessibility equipment, and an accepted payment method.
Everything else is conditional. Water bottles, food, cosplay props, tabletop supplies, cameras, handheld consoles, extra clothing, and recording gear depend on the convention, venue, weather, and your schedule. Check the current official event and venue rules before you leave; policies can differ even between events held in the same building.

Start with the rules, not the shopping list
Open the convention’s current official information page and the venue’s entry policy before packing. Confirm the rules that can stop you at the door or force you to discard something:
- Badge, ticket, wristband, QR code, registration pickup, activation, and identification requirements.
- Bag dimensions, screening procedures, and whether backpacks, rolling luggage, folding chairs, or oversized equipment are restricted.
- Food, drink, bottle, refill-station, and medical-exception rules.
- Cosplay, prop, weapon, peace-bonding, and security-inspection requirements.
- Photography, recording, streaming, tournament, and panel restrictions.
- Accessibility accommodations, wristbands, quiet spaces, and advance-request procedures.
The 2026 FINAL FANTASY XIV Fan Festival North America guidance illustrates why this check matters: it states that bags may be inspected before entry and at any time inside the event, permits empty reusable bottles for venue refill stations, and requires cosplay props to be checked and peace bonded by security staff. Those are event-specific policies, not universal convention rules.

Your core convention day bag
Badge, ticket, and identification
Put the credential that grants entry in an outer pocket or badge holder. Depending on the event, that may be a mailed badge, wristband, mobile ticket, QR code, registration confirmation, or pickup record. Bring the exact form of government-issued photo ID or other identification listed by the organizer. A confirmation email is not automatically interchangeable with a physical badge, and a screenshot may not satisfy an activation or pickup requirement.
If the event uses a visible credential, a lanyard or holder can make it easier to display and protect, but check whether the organizer supplies one or specifies a particular placement.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesPhone, cable, and portable power bank
Your phone may function as your ticket wallet, schedule, map, messaging tool, camera, and source of emergency updates. Charge it before leaving and carry the cable that fits it. For a full convention day, a portable power bank is sensible insurance, especially when you will use brightness, camera, maps, wireless data, and the official event app continuously.
Choose a power bank by capacity, weight, connector compatibility, charging speed, and the venue or travel rules that apply to batteries. There is no universally sufficient capacity: a lightweight unit may be easier to carry, while a larger one may provide more recharges but add noticeable weight. Keep the power bank and cable in an accessible pocket rather than under merchandise, and charge the bank before the event.
A compact, screening-friendly bag
A small backpack, sling, or crossbody bag is generally easier to carry and inspect than a large travel bag. Look for comfortable straps, a stable fit in crowds, compartments for quick access, and enough room for your credential, phone, power bank, personal items, a program, and a few purchases. Leave some empty space instead of filling every pocket at home.

| Bag choice | Advantages | Trade-offs | Best fit |
|---|---|---|---|
| Small backpack | Balanced weight, hands free, room for a light layer | May require removal or extra screening; can feel warm | Long days with moderate carrying |
| Sling or crossbody | Fast access and easy to keep in sight | Less capacity; one-shoulder load | Minimalists carrying only essentials |
| Large backpack or travel bag | High capacity | Heavy, cumbersome, and more likely to violate size limits | Only when the event explicitly permits it |
Do not infer a universal size limit from one convention. The Fan Festival guidance says bags should be no larger than around a standard backpack; another venue may set a measured dimension, prohibit backpacks, or screen every item. Pack so you can open the main compartment quickly.

Broken-in walking shoes
Conventions involve walking between transit, parking, registration, exhibit halls, panel rooms, hotels, and food areas, often with long periods of standing. Wear shoes you have already worn for a full day. A convention is a poor place to discover that new footwear rubs your heel or lacks support.
Supportive insoles, blister bandages, or a spare pair of socks are useful if you know you need them. Select footwear for walking comfort, support, weight, weather, and the fact that it is already broken in. Avoid bringing a second pair unless changing footwear solves a known problem; extra shoes consume valuable bag space.
Food, water, medicine, and comfort
Water and snacks
Hydration is important, but bottles and food are policy-sensitive. Check both the convention rules and the building’s rules. A venue may require bottles to be empty at entry, prohibit outside food, or provide exceptions only for documented medical or dietary needs.
If the rules allow it, an empty reusable plastic or insulated bottle can be filled after security. The official 2026 FINAL FANTASY XIV Fan Festival guidance specifically permits empty reusable bottles and identifies venue refill stations. Do not arrive with a sealed drink assuming that policy applies everywhere.

Pack a small snack only when outside food is allowed and you have a practical reason to carry it, such as a long schedule, dietary restriction, or limited meal options. Otherwise, identify permitted food areas and plan a break rather than carrying a heavy supply.

Medication and personal medical needs
Keep prescribed medication, an inhaler, epinephrine, medically necessary food, glasses, hearing devices, and other essentials accessible and in their normal protective packaging. Follow the organizer’s accommodation process for medical items instead of relying on an improvised explanation at the door. If a particular medicine or device could be questioned by security, review the event’s documentation requirements in advance.
Accessibility and sensory equipment
Bring the mobility, communication, sensory, or medical equipment you personally use: mobility aids, hearing protection, communication cards, a cane, prescribed devices, or a plan for quiet breaks. Contact the event’s accessibility team before arrival if you need seating, an accommodation wristband, elevator access, sign-language interpretation, or another service.
The Fan Festival guidance recognizes accessibility accommodations and describes additional wristband handling for attendees who need them. The exact process varies by organizer, so the current accessibility page for your event is authoritative.
Small comfort items
Useful additions can include tissues, hand sanitizer, lip balm, a pen, a small notebook, earplugs, and a light layer for aggressive air conditioning. These are optional. Bring items you expect to use and keep them compact enough that your bag remains comfortable and easy to screen.
Payment
Carry the payment method accepted by the venue and vendors. Some events or venues are cashless, while individual exhibitors may have different arrangements. A physical card can be useful if your phone battery fails; cash may be useful only where the event confirms it is accepted. Avoid carrying more valuables than you can secure in a crowded hall.
Pack for the activities on your schedule
Tabletop gaming
For a scheduled tabletop session, bring only the supplies that session requires: dice, pencils, cards, tokens, a character sheet, or a small game. Check whether the convention provides tables, terrain, a game library, or loaner supplies before carrying a complete collection.

Cosplay can turn a light day bag into a specialized transport problem. Read the current costume, prop, weapon, and peace-bonding rules before packing. A prop accepted at one convention may be prohibited at another, and a realistic-looking item may require inspection or documentation.
Leave time for security inspection and peace bonding. Carry any required pass or documentation where staff can reach it, and do not bring a functional weapon. If a costume restricts vision, movement, or sitting, plan how you will navigate queues and take breaks.
Cameras, handheld consoles, and other electronics
Bring a camera, handheld console, laptop, microphone, or recording rig only when you have a specific plan to use it. Each extra device adds weight, charging needs, and loss risk, and may be subject to venue or security rules. For most attendees, a phone is enough.
Owning recording equipment does not grant permission to record. Check the rules for panels, tournaments, exhibitors, performers, and demonstrations, and obtain the required permission before publishing footage. Recording a creator or attendee without consent can create a separate privacy problem even when the venue allows general photography.
What to leave at home unless the rules approve it
- Oversized bags, rolling luggage, folding chairs, and bulky equipment that the venue restricts.
- Functional weapons or cosplay props that have not been inspected and peace bonded.
- Food and drinks prohibited by the venue or event.
- A sealed water bottle when entry requires bottles to be empty.
- A full game library or several devices without a specific use plan.
- New shoes that have not been tested for a full day.
- Expensive, irreplaceable items that would be difficult to secure in a crowded hall.
How to choose between competing options
When deciding whether an item earns space in your bag, score it against these questions:
Best Value
- Spacious Design: Measuring 21.1" wide and 12" deep, our lap desk comfortably fits most laptops up to 15.6". Extra room for accessories ensures convenience.
- Enhanced Functionality: Packed with handy features, including a 5x9" precision tracking mouse pad and a built-in phone slot for seamless work or video calls. Plus, enjoy laptop support with the integrated device ledge.

- Policy fit: Does it comply with the current bag, screening, bottle, food, prop, recording, and accessibility rules?
- Carry comfort: Can you carry it through queues and halls for the entire day without pain?
- Access: Can you reach it quickly when staff, a low battery, or a medical need makes speed important?
- Compatibility: Does the cable fit your phone, does the power bank support your device, and do your tabletop supplies match the scheduled game?
- Conditions: Will rain, heat, outdoor queues, cold air conditioning, or long periods standing change what you need?
- Security and replacement cost: Would losing it ruin the day, and can you keep it physically secure?
| Need | Lean choice | Add only when justified |
|---|---|---|
| Power | Phone, matching cable, charged portable power bank | Extra adapters or a second battery for a specific device |
| Hydration | No bottle until the policy is checked; then an empty refillable bottle where allowed | Additional drinks only when explicitly permitted |
| Games | Supplies for the session you booked | More games, terrain, or consoles for a defined meetup |
| Weather and comfort | Light layer and personal comfort items | Umbrella, spare clothing, or extra footwear when the forecast and schedule justify them |
Three practical packing lists
First-time general attendee
- Badge or mobile ticket, required ID, and registration information.
- Charged phone, cable, and portable power bank.
- Small backpack, sling, or crossbody bag.
- Broken-in walking shoes.
- Accepted payment method.
- Medication, glasses, hearing protection, and a light layer if needed.
- Empty refillable bottle only after confirming the event permits it.
Tabletop attendee
- Everything in the general list.
- Only the dice, pencils, cards, tokens, character sheet, or game required for the reserved session.
- Confirmation of the session time, location, check-in procedure, and seat requirement.
Cosplayer or creator
- Everything in the general list, adapted to the costume’s mobility and storage needs.
- Prop documentation or pass required by the organizer.
- Time buffer for inspection and peace bonding.
- Recording equipment only when the venue and subjects permit it.
- Secure storage plan for valuables and a way to recharge devices.
Event-day sequence that prevents avoidable problems
- Before leaving: Verify the official page’s badge, ID, pickup, app, bag, food, bottle, prop, recording, and accessibility instructions. Charge your phone and power bank.
- At home: Put credentials and medication in the most accessible pocket. Remove unnecessary electronics and leave room for merchandise.
- At entry: Have your credential and identification ready, open the bag for screening, and follow bottle or prop instructions rather than arguing from another event’s policy.
- Inside: Save the day’s schedule, identify refill stations and food areas, and establish a meeting point in case your group loses signal.
- During the day: Recharge before the phone reaches an emergency level, take walking and food breaks, and keep valuables secured when buying merchandise or joining a crowd.
Common problems and fixes
“My bag is too large at the door.”
Do not count on an exception. Check for the venue’s storage or coat-check option if one is officially provided; otherwise, you may have to return the bag to your hotel, vehicle, or another permitted location. Future trips should use the stated dimensions, not a generic “standard backpack” assumption.
“Security says my bottle or food is not allowed.”
Follow the current venue rule. If empty bottles are allowed, empty yours before re-entry and use the designated refill station. For medical or dietary needs, use the organizer’s documented accommodation process rather than concealing the item.
“My phone is nearly dead.”
Move the phone to low-power mode, reduce screen brightness, close unnecessary apps, and use the power bank. If you have no battery left, keep your credential information, schedule, meeting point, and essential contacts available offline or on paper before entering.
Free tools Windows power users keep installed
One-click scans. No signup required.
“My shoes or costume are causing pain.”
Stop early, treat blisters, change into planned backup footwear if you brought it, and use accessibility or first-aid services where available. A costume is not worth ignoring an injury or mobility limitation.
“I want to record a panel or performance.”
Check the specific panel, performer, publisher, and venue rules first. If recording is not explicitly permitted, do not assume that owning a camera or receiving general photography permission covers it. Separate permission to record from permission to publish.
