Why Excel Says “All the Merged Cells Need to Be the Same Size” — and How to Fix It

Excel displays “This operation requires the merged cells to be identically sized” when the range you selected contains merged areas with different dimensions, or combines merged and ordinary cells. A merged area that covers two rows by three columns cannot be processed in the same rectangular operation as one covering a single row by three columns. The reliable fixes are to unmerge the affected range or resize every merged block in that operation so each occupies the same number of rows and columns. Save a copy first, locate every merge, check the complete range used by the command, then retry the operation.

What does “all the merged cells need to be the same size” mean?

Excel treats a merged area as one larger cell made from two or more ordinary cells. Internally, however, the worksheet still has a grid of rows and columns. Commands such as sorting need a regular rectangular grid, so Excel checks that each merged area crossing the selected range has identical dimensions.

The error appears when any of these conditions is true:

  • The selected range contains both merged and unmerged cells.
  • Two merged areas cover different numbers of rows.
  • Two merged areas cover different numbers of columns.
  • Your selection cuts through only part of a merged block instead of including the whole block.

Microsoft’s troubleshooting wording is exact: “This operation requires the merged cells to be identically sized.” Although sorting is the most familiar trigger, the same structural conflict can affect other commands that require a consistent rectangular range.

Why does Excel block sorting when cells are merged?

Sorting moves complete records through rows. A merged heading or label interrupts that one-row-per-record structure, and differently sized merges give Excel no unambiguous way to move the affected cells together. Microsoft identifies two common layouts behind the warning: some cells in the sort range are merged while others are not, or all the merged areas exist but have different sizes.

For example, suppose a worksheet has one label merged across columns A:C and another label merged across A:D. Selecting both labels and the rows beneath them creates a range with incompatible widths. A different problem occurs when a title is merged across A:C but the data rows below are ordinary cells; including the title in a sort selection mixes a merged block with unmerged cells.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A selection that starts inside a merge is also invalid for many operations. Excel must receive the complete merged area, not a partial slice of it. Selecting the full rectangular region again can reveal that the apparent error was caused by the selection boundary rather than by the entire worksheet.

How does merging affect the contents of a worksheet?

When Excel merges cells in a left-to-right worksheet, the upper-left cell supplies the visible content. Any content in the other cells of the selected area is deleted as part of the merge. This matters when deciding whether to unmerge: the operation changes layout, but the original merge may already have discarded text or formulas from the non-upper-left cells.

Before changing a report or template, save a separate copy. After unmerging, inspect labels, formulas, borders, alignment and row heights; a heading that looked centered in one large cell may need a new alignment or a different layout once it becomes several ordinary cells.

How can I find every merged cell in the workbook?

Use Excel’s format search rather than checking cells one by one. The desktop interface can list all cells that use the Merge cells format.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Save a copy of the workbook.
  2. On the Home tab, choose Find & Select > Find.
  3. In the Find and Replace window, select Format.
  4. Open the Alignment tab.
  5. Select Merge cells, then confirm the format choice.
  6. Choose Find All.
  7. Review the results list. Clicking a result selects the corresponding merged area on the sheet.

The results show where merges exist; they do not by themselves identify which merge conflicts with your command. Compare the listed areas with the exact range you are trying to sort, filter, copy, insert or format.

What should I check before repairing the error?

First identify the command that failed and its full input range. Then check the following points:

  • Complete boundaries: Does the selection include every row and column of each merged area, or does it stop in the middle of one?
  • Dimension consistency: Do all merged blocks in that range span the same number of rows and the same number of columns?
  • Unmerged cells: Are ordinary cells mixed with merged blocks in the same rectangular selection?
  • Layout role: Is a merge merely a decorative title, or does it contain a heading, formula or label that must remain visually grouped?
  • Scope: Are you accidentally including a page title or section banner when the operation should apply only to the data rows?

These checks distinguish a bad selection from a workbook design that genuinely needs repair. If the operation is a data sort, exclude decorative headings and select only the consistently structured records. If the heading must be included, use one of the repair choices below.

How do I fix the error by unmerging cells?

Unmerging is the standard repair when the range is data that must be sorted or filtered. It removes the merge setting from the selected area and restores individual grid cells.

  1. Select the complete affected range, including the full boundaries of every merged block.
  2. On the Home tab, open the Merge & Center control (or the Alignment controls).
  3. Choose Unmerge Cells.
  4. Check the resulting cells for headings, formulas, alignment and borders.
  5. Select the intended rectangular data range again and retry the command.

Microsoft’s general solution is to clear the Merge cells setting for the full range. Do not select only one visible portion of a larger block: leaving another merge in the operation can reproduce the same warning.

When is unmerging the better choice?

  • The range is a table that users need to sort or filter repeatedly.
  • Merges are being used only to center a title or make columns look wider.
  • The workbook will be edited by several people and should have predictable row and column behavior.
  • You can replace the visual effect with alignment, borders, row height or a separate title row.

Unmerging can change the visual layout, so review the copy rather than assuming the report still looks identical. If the upper-left cell was the only cell with content, the text normally remains in that cell after unmerging; the other cells are empty unless they had content that survived before the merge.

How do I keep merged cells and make them identically sized?

If the visual design depends on merged blocks, retain the merges but make every block included in the operation cover the same number of rows and columns. For instance, if each section label spans one row and three columns, every comparable section label in that selected range must also span one row and three columns.

  1. Use the Find All results to identify every merge in the operation’s range.
  2. Record each block’s row and column span by checking its start and end boundaries.
  3. Resize or recreate outlier blocks so their dimensions match the common pattern.
  4. Ensure the command’s selection includes whole merged blocks and no unrelated unmerged cells.
  5. Run the operation again on the complete rectangular range.

Matching dimensions can allow the operation to proceed, but it also imposes a maintenance rule: any future section added to that range must use the same shape. A single differently sized banner can reintroduce the warning.

Which repair should I choose?

The right choice depends on whether the merge is part of the data model or only part of the presentation.

Situation Preferred repair Reason
Data rows need regular sorting or filtering Unmerge the affected data range Ordinary cells preserve a consistent row-and-column structure.
A report requires repeated visual section labels Keep merges but use one identical row-by-column shape The layout remains merged while Excel receives uniform blocks.
Only a title is merged above a data table Exclude the title from the operation, or unmerge it The data range can remain regular without changing the title.
A selection intersects only part of a merge Reselect the full merged area or remove the merge Operations must not cut through a merged block.
The workbook contains important labels or formulas Save a copy, then inspect after either repair Changing merge settings can alter layout and reveal misplaced content.

How do I retry sorting or another blocked command?

After repairing the structure, start with a fresh selection rather than reusing the old one.

  1. Click outside the previous selection.
  2. Select the complete rectangular range that the command should affect.
  3. Confirm that no merged block is partly included and that all remaining merged blocks have equal dimensions.
  4. Run the command again, such as Sort, Filter, copy, insert or formatting.
  5. Review the result for shifted labels, formulas and borders.

If the warning returns, use Find & Select > Find > Format > Alignment > Merge cells > Find All again and compare every result with the selected range. The remaining conflict is usually a merge that was outside the first repair selection or a block with a different height or width.

Does the fix differ between desktop, Mac and web Excel?

The underlying rule is the same: a command cannot use a range containing incompatible merged geometry. Interface names and the location of the merge control can vary by Excel edition, so look for the Home tab’s merge/unmerge command and the Find and Select format search. If a command is unavailable in a particular interface, open the workbook in an edition that exposes the full merge and format-search controls, make the structural repair there, save it, and then continue editing in the preferred edition.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Regardless of edition, preserve a copy before unmerging and verify the resulting layout. A workbook can display correctly while still containing a hidden merge elsewhere in the range that blocks the next operation.

How can I prevent the message in new workbooks?

Use merges for presentation-only headings, not for the body of a sortable data table. Keep one record per row and one field per column in operational ranges. Put a title or section banner in a separate row above the data, or use alignment and borders to create a grouped appearance without changing the grid.

  • Define the data range without decorative headings before sorting.
  • Apply one consistent merge shape to repeated report sections.
  • Check new labels against existing merge dimensions before copying a section.
  • Run the Find All merge search during workbook cleanup.
  • Keep a clean, unmerged data sheet and a separate formatted presentation sheet when both goals are important.

This separation prevents a visual heading from becoming part of the record range and makes future sorting, filtering and copying predictable.

What should I do if unmerging changes the appearance?

First undo immediately if you are still in the same editing session and the result is clearly wrong. Otherwise reopen the saved copy and plan the repair with the layout in view. After unmerging, restore the intended appearance with horizontal and vertical alignment, borders, column widths, row heights or a dedicated title row rather than recreating inconsistent merges inside the data range.

Check every formula and label that was visually centered in the old merged cell. Because only the upper-left cell represents the visible merged content, the value you need may now be at the first cell of the former block. Validate the report before distributing the repaired workbook.

Frequently Asked Questions

Can I sort a range that has one merged title above it?

Yes, if the title row is excluded from the sort range. Select only the consistently structured data rows; including the merged title in that rectangle can trigger the warning even when the data itself has no merges.

Will unmerging restore text that was in every original cell?

No. During the original merge, Excel kept the upper-left cell’s visible content and deleted content from the other cells. Unmerging restores the grid, but it does not recreate text or formulas that were removed.

Why does the error appear after I add a new section to a report?

The new section may use a different merge width or height from existing sections. Compare its boundaries with the established pattern and either make the dimensions identical or leave the section outside the operation’s selected range.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Is a merged cell the same as a larger column?

No. A merge combines multiple grid cells into one display area while preserving the underlying row-and-column structure. Widening a column changes its display width without creating a multi-cell block, so it does not create this particular merge-dimension conflict.
