The data flow

Use the right WooCommerce interface
WooCommerce’s Store API is intended for public, customer-facing cart, checkout and product functionality. It is not the appropriate back-office interface for sensitive EDI traffic. Use authenticated REST API access or a provider connector for orders, customers, products, inventory and fulfillment data. Protect credentials, restrict permissions to the minimum required operations, and keep EDI traffic separate from unauthenticated storefront requests.
Which EDI documents and standards should you support?
Retailer implementation guides determine the exact documents, qualifiers, code lists, envelope requirements, acknowledgement rules and test cases. Do not assume that every partner uses the same subset. Build a requirements matrix before selecting a provider or writing a connector.

Common syntax options include ANSI ASC X12, EDIFACT and XML. A partner may use one standard for purchase orders and another for invoices, or require a particular version and envelope structure. Record the partner’s version, sender and receiver IDs, test mailbox, production endpoint, delimiter rules and required code lists in your matrix.
Prerequisites to gather before you build
- Every retailer or trading-partner implementation guide, including document versions and mandatory segments.
- Partner identifiers, qualifiers, ship-from and ship-to codes, warehouse locations, carrier codes and units of measure.
- Required transaction set, acknowledgement deadlines, test cases, certification steps and target go-live date.
- A complete WooCommerce catalogue with stable SKUs, descriptions, barcodes or other partner item IDs, prices, tax classes and packaging data.
- Reliable address, shipping-method, inventory and order-status values that can be mapped without manual interpretation.

Evaluate candidates on more than document names. Implementation: a step-by-step sequence
1. Build the partner requirements matrix
Create one row per trading partner and one column per required transaction. Capture syntax and version, sender and receiver IDs, mandatory fields, code lists, control-number rules, acknowledgement expectations, transport channel, test cases, certification contact and go-live date. Mark whether the partner expects an ASN before carrier pickup, an invoice after shipment confirmation, or a particular inventory cadence.
2. Select the architecture and assign ownership
Decide what runs in WooCommerce, what runs in the EDI platform and what remains in your warehouse, accounting or shipping system. Document who owns credentials, maps, retries, partner communication, production approval and incident response. A managed service is not a substitute for an internal owner who can correct a bad SKU, address or inventory quantity.

3. Stabilize WooCommerce master data
Before mapping, remove duplicate SKUs and define a durable identifier for each sellable item. Normalize product names, variants, barcodes, units, case packs, tax classes, ship-from locations, shipping methods, customer addresses and order statuses. Decide how discounts, coupons, freight, tax-inclusive prices, partial shipments, cancellations and returns will be represented. If a retailer uses its own item numbers, maintain a controlled cross-reference rather than overwriting your store SKU.
4. Map to a canonical and partner-specific model
Map products, SKUs, prices, addresses, tax, shipping, inventory, order statuses and fulfillment events from WooCommerce to the provider’s canonical schema. Then apply each partner’s required qualifiers, units, code values and formatting. Define transformations for currency, decimal precision, time zones, date formats and address truncation. Keep mapping versions so a partner change can be tested and rolled back.

For inbound 850 orders, validate the document before creating a WooCommerce order and reject or quarantine lines that lack a known item, price or ship-to code. For outbound acknowledgements, send only after the order has passed your business checks. Generate ASNs from confirmed shipment data, including carton and tracking details when required. Generate invoices from the approved order and shipment state, not from an uncommitted cart. Publish inventory from the agreed source of truth and cadence.
6. Add reliability controls
- Idempotency: key processing on partner control numbers and document identifiers so retries cannot create duplicate orders or invoices.
- Retries: retry transient network failures with backoff, but route validation failures to a human queue instead of endlessly resending them.
- Alerting: notify named owners when an acknowledgement is late, a document is rejected, credentials expire or inventory falls outside tolerance.
- Reconciliation: compare inbound orders, WooCommerce orders, shipments, invoices, acknowledgements and inventory totals at an agreed interval.
- Auditability: retain the original document, transformed payload, response, timestamps and mapping version for each transaction.
7. Configure transport and security
Use the channel required by the partner or provider—REST API, HTTP polling, AS2, SFTP, VAN or another supported method. Separate test and production credentials and endpoints. Rotate secrets, restrict network access, verify certificates where applicable, and record endpoint or credential changes in a controlled change log.

8. Test with every trading partner
Run the partner’s actual test cases, not only a successful order. Cover accepted and rejected lines, unknown SKUs, price mismatches, partial quantities, cancellations, split shipments, tax and freight, invalid addresses, duplicate documents, late acknowledgements and inventory corrections. Compare the generated EDI to the implementation guide, confirm that the partner can ingest it, and resolve every validation error. Obtain explicit partner approval before enabling production traffic.
9. Launch in a controlled window
Choose a cutover point that avoids open orders crossing two systems. Freeze mapping changes during the window, verify credentials and endpoint selection, process a small production batch, and reconcile each document from receipt through acknowledgement. Keep a manual fallback for urgent orders while the first production cycle is observed.
10. Operate and improve after go-live
Monitor acknowledgements, rejected documents, duplicate-order attempts, shipment and invoice status, inventory drift, processing latency and credential or endpoint changes. Review exception trends with the partner and update maps through versioned, tested changes. Retailer guides change; treat every new partner, item catalogue change or warehouse process as an integration release.

Separate one-time and recurring costs in every quote. One-time work may include discovery, WooCommerce connector development, partner mapping, item setup, testing, certification and data cleanup. Also budget internal time for catalogue maintenance, exception handling, retailer changes and reconciliation.

Ask providers to show what happens when you add a partner, exceed a document allowance, change a warehouse, need a new transaction, or leave the service. Confirm whether mappings, raw EDI and audit history can be exported in a usable format. A low monthly starting price can still produce a higher first-year cost if onboarding, testing and partner setup are billed separately.
Decision framework
- Choose managed EDI when retailer compliance and partner onboarding are the priority, your team wants one support path, and you accept sales-led pricing.
- Choose an API-first platform when you have developers, want one canonical schema and need programmatic control across several systems; validate WooCommerce connectivity before purchase.
- Choose custom middleware only when you can permanently staff standards expertise, monitoring, partner testing and maintenance.
Regardless of model, require authenticated WooCommerce access, the transaction set each partner specifies, validation and acknowledgements, duplicate protection, retries, monitoring, exportable audit data and a documented approval process.
